Co-ordination of Earth Hour for WWF Scotland

TERMS OF REFERENCE

1.Background

WWF’s Earth Hour is an annual global celebration where people switch off their lights for one hour to show they care about the future of our planet.

Since it first began in Sydney Australia in 2007, the number of countries taking part in Earth Hour has grown to an incredible 178 countries and territories – a number that keeps rising every year.

Earth Hour is not about how much energy is saved during the hour. Rather, it’s a chance to put the spotlight on the issues facing the planet, and to inspire millions across the world to live more sustainably.

In Scotland, Earth Hour has received support from the Scottish Government, all five Scottish party leaders, local authorities and public bodies. In 2017, thousands of individuals and hundreds of schools, businesses and organisations joined over 100 Scottish national and local landmarks in turning off, including Edinburgh Castle, the Scottish Parliament, Forth Rail Bridge, SSE Hydro and EileanDonan Castle.

WWF’s Earth Hour 2018 takes place on the 24March.

2. The Role

WWF Scotland requires an external consultant to take on the strategy, co-ordination and delivery of specific Earth Hour activities from November 2017 to March 2018. We have already appointed an external consultant to work with us until the end of October to establish key plans and strategies for Earth Hour 2017. The development and delivery of these will be the responsibility of the successful consultant.

3.The Services:

To coordinate and deliver key aspects of WWF's Earth Hour activities in Scotlandand to provide support for the Head of Communications and other WWF staff in successfully delivering those activities.

The work will cover the following main aspects:

  • Responsibility for working with WWF Scotland’s key Earth Hour stakeholders, includinglocal authorities, public bodies, iconic buildings, businesses and others already identified to deliver on set targets
  • Responsibility for further development and delivery of plans to make Earth Hour in Scotland visually and creatively impactful
  • Providing support to WWF colleagues working on media, publicity, public affairs, corporate relations etc.
  • Management of the day-to-day activities of two Earth Hour interns during the period of Jan-March 2018
  • Providing regular updates on progress towards targets
  • Assisting with monitoring throughout and the completion of an evaluation report post-Earth Hour

4. Consultant skill set

Ideally you will have:

  • Proven experience of delivering country-wide projects or events.
  • Experience of working with the public, NGOs, media, councils.
  • Proven experience of promoting events and working with marketing, communications and advertising departments.
  • Excellent written and verbal communication skills
  • Excellent interpersonal and team working skills
  • Ability to plan, prioritise and manage a heavy workload while maintaining high quality.
  • Advanced IT skills including handling of databases.
  • An interest in, and commitment to, environmental and conservation issues

5.The location(s) where the Services are to be carried out:

The consultant’s place of work (though there will be the opportunity to work from the WWF Scotland office in Edinburgh).

There is likely to be a requirement to attend occasional team and stakeholder meetings in Edinburgh.

6.Timescale & Payment

The role is for the period of November 2017 until March 2018. The nature of the role requires a commitment to be available to work/be contactable two days a week in November and December (with the exception of the two weeks over Christmas and New Year) and then up to one day a week from January until March. Some flexibility to change set days and working pattern to reflect workload of project and to be contactable, where urgent, on other days would be beneficial.

It is anticipated that the consultant would therefore be contracted to work a maximum of 28 days. This would include being available on the day of Earth Hour itself.

Payment will be in arrears for days worked on receipt of a valid invoice(s). Office and travel expenses are to be met by the consultant.

The consultant appointed should be registered with HMRC, and be able to account for income tax and national insurance liabilities arising from the payments.

All prices quoted should be inclusive of VAT as required and this should be indicated as such.

Please be aware that WWF uses an online system for purchase orders and payments to suppliers that requires some limited supplier interaction, the consultant appointed would be required initially to create an account, and raise invoices via the system when due. When raised the purchase order will detail WWF’s standard term and conditions, and these are accepted by acknowledgement of the order on the system.

Expenses required for the provision of these services should be estimated and quoted for separately. Expenses incurred during the period of invoice must be shown separately and accompanied by all relevant receipts for such expenses. Expenses will only be paid in accordance with the WWF-UK Expenses Policy for Third Parties which is available from WWF-UK by request.
