CLASS TITLE: CLERK SPECIALIST

This is varied clerical work performing duties which involve work assignments that require independent judgment to accomplish.

  • Maintains a library of tape and disc program documentation.
  • Organizes and maintains filing systems.
  • Performs quality control of computer input and output data.
  • Compiles monthly statistical data for budget processing.
  • Performs inventory control work implementing procedures and documenting and reordering accountable equipment and materials.
  • Schedules and monitors delivery of supplies.
  • Determines adequacy of inventory.
  • Types purchase orders and purchasing correspondence.
  • Answers questions pertaining to rules and regulations relative to the issuance of vehicle titles.
  • Gathers data from records and microfilm files.
  • Performs billing in accordance with standard procedures.
  • Maintains quality control of computer services documents.
  • Reviews and edits documents and forms for data processing.
  • Compiles reports and inventory data.
  • Processes and dispenses mail and related correspondence.
  • Maintains clerical documentation of data processing source materials.
  • Determines eligibility for licensing within established procedures.
  • Researches records and traces documents.
  • Grades and codes title applications.
  • Operates photocopying machines, typewriters, calculators, cash registers, camera equipment, computer video terminals, microfilm and microfiche readers, computer printers and related equipment with such accuracy as can be acquired on the job.
  • Assigns property numbers and tags to accountable equipment and records age, condition and value.
  • Provides information relative to rules and regulations pertaining to transfer of titles.
  • Maintains general books of accounts and related accounting records.
  • Receives funds, prepares deposits, reconciles bank statements and prepares payrolls and vouchers.
  • Performs incidental typing.
  • Performs related work as required.

KNOWLEDGE, SKILLS AND ABILITIES:

MINIMUM QUALIFICATIONS

  • One year of secretarial or clerical work experience.
  • Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.
  • A high school diploma or its equivalent can substitute for the required work experience.
