JOB DESCRIPTION

POSITION TITLE: Clubhouse Supervisor

REPORTS TO: Golf General Manager

SUPERVISES: Seasonal clubhouse staff including pro shop, concession staff, cart staff and golf course volunteers.

PURPOSE OF POSITION: The work involves supervising and operating a municipal eighteen (18) hole golf course and associated pro shop and concessions area. Public relations are a continuous requirement of this work. The incumbent will be required to work varied hours during the week, including evenings and weekends when necessary as well as perform duties on an on-call basis, as needed.

ESSENTIAL FUNCTIONS:

Assists the golf managers with the long and short range planning projects for the city golf courses, and assists with inspecting work that is in progress and resolving issues that arise.

Performs functions such as; training employees, supervises subordinate personnel, assists with staffing, work schedules, assigning work duties, and recommending disciplinary action.

Supervises and participates in the upkeep and maintenance of all golf course clubhouse facilities and equipment, driving range facilities, and cart barn.

Assists with the development and administration of the departmental budgets and maintains various financial records and reports; allocates various resources for use in projects and programs.

The clubhouse supervisor is required to supervise and oversee the selling, renting, repairing of golf equipment, clothing and supplies, sell instructional services in golf play, rent power carts, and operate the facility driving range.

The clubhouse supervisor is required to supervise and oversee the selling, distribution and inventory management of all concession activity while on shift.

The incumbent shall assist in any way possible in the conduct of golf tournaments including, but not limited to, providing starting time, golf carts, scorecards, cart rosters, posting promotional literature, etc.

Computes handicaps, tournament flighting information and other scoring/handicap systems for patrons/leagues/tournaments as needed.

Operates a concession counter, selling food and beverages to patrons as necessary.

Maintains accurate records or receipts, disbursements, and inventory, and prepares daily reports for the golf managers.

The clubhouse supervisor is responsible for the cleaning, upkeep and maintenance of the clubhouse facility on a daily basis to include but is not limited to, dusting, vacuuming all areas, cleaning restrooms, cleaning concession equipment, tidying up all patron areas, taking trash to dumpsters, picking up the clubhouse grounds and patios etc.

The clubhouse supervisor is responsible for the set up and tear down of all equipment utilized in the event of a tournament outing, special event or clubhouse/tent rental of any kind.

Attends various meetings as needed; answers inquiries and makes recommendations pertaining to the functions of the department.

Enforces, or seeks assistance in the enforcement of provisions of municipal codes pertaining to the operation of the city golf courses.

Answers inquiries from the general public; receives citizen complaints and handles situation and/or refers individual to appropriate city official for resolution.

Operates standard office equipment in the performance of duties, i.e. IBS system, copier, fax machine, personal computer, calculator, etc.

Establishes and maintains positive public relations with the general public, other employees, other governmental agencies and municipal officials.

MARGINAL FUNCTIONS:

Performs other duties as directed or as the situation dictates.

ESSENTIAL KNOWLEDGE, EXPERIENCE AND ABILITY:

Knowledge of and ability to apply federal, state and local laws and regulations related to city golf course operation.

Knowledge of and ability to learn and perform input ;and retrieval functions utilizing a variety of computer programs dealing with word processing, spread sheets and databases.

Knowledge and ability to perform accurate mathematical calculations using a calculator, ten-key adding machine or manually.

Knowledge of city responsibilities and ability to use independent judgment in the performance of duties.

Knowledge of cash handling, inventory, and cost control procedures.

Ability to train, schedule, provide work direction to, discipline, and oversee the work of subordinate personnel.

Knowledge of the rules of golf and the modes of play.

Knowledge of golf rules and golf etiquette.

Knowledge of tournament and special event planning and scheduling.

Knowledge of methods to promote golf within the community.

Knowledge of golf training techniques.

Skill in working with other PGA professionals and other golf courses.

Skill in working with other golf maintenance and recreation staff.

Ability to stimulate interest in the game of golf and the use of the City’s golf courses.

Ability to plan and oversee the operation of a 18- hole golf course program, including league formation, tournament scheduling, and tournament administration.

Ability to maintain accurate records of receipts, disbursements and handicaps, and to prepare reports detailing them.

Ability to communicate to respond to patron inquiries and explain and enforce golf rules and regulations.

Ability to prepare clear and concise reports.

Ability to operate vehicles, machinery, equipment and tools pertaining to the duties performed.

Ability to deal with the general public in a courteous and tactful manner.

Ability to perform job duties efficiently while managing frequent interruptions.

Ability to plan and organize a personal work schedule, set priorities and meet deadlines.

Ability to understand and follow both oral and written instructions.

Ability to communicate effectively, verbally and in writing, in English.

Ability to establish and maintain effective working relationships with the general public, other employees, and municipal officials.

ESSENTIAL EDUCATION, CERTIFICATION AND/OR LICENSES:

1.  Graduation from an accredited college or university with a Bachelor’s Degree in Golf Management, Business Management or like degree preferred or an equivalent combination of education, training and experience.

2.  Must have 2 years of experience in the area of Golf Management, Golf Course Clubhouse experience, Parks and Recreation management experience or Business Management experience with 2 years of responsible supervisory experience.

3.  Must possess a valid driver’s license.

ESSENTIAL PHYSICAL DEMANDS AND TYPICAL WORKING CONDITIONS:

Work requires extensive interaction with the general public and may be stressful when dealing with irate citizens.

Work is performed primarily indoors in an office/concession environment amid normal conditions of noise, fumes, odors, and dust.

Ability to stand and walk from 76 to 100% of the time; climb and reach from 26 to 50% of the time; and balance, bend, stoop, squat, kneel, crouch, push and pull up to 25% of the time.

Ability to move objects weighing up to fifty (50) pounds up to 33% of the time, weighing up to twenty (20) pounds from 34 to 66% of the time; and weighing up to ten (10) pounds from 67 to 100% of the time.
