Venue Wantage Leisure Centre, Portway, Wantage, OX12 9BY

Pool A 6 lane 25 meters pool with anti-wave ropes

Timing Electronic start with manual timing.

Sessions Coaches/Lane Marshalls are to supervise swimmers during warm ups

Swimmers to Arrive : 5.45pm Warm-up: 6.00pm Session Start: 6:30pm

The session will end no later than 9pm. A maximum of 3 hours total duration

Closing date 23:59 hrs Friday 6th October 2017. Only in exceptional circumstances will entries be accepted after this time on this date.

How to enter Entries taken online via WWHSC Team Unify.

Entries are restricted to swimmers from WWHSC only. All entries received before the closing date will be accepted.

Entry Fee £3.50 per event.

How to pay You will be billed via your WWHSC TU account.

Officials WWHSC would greatly appreciate any assistance offered by officials and the support of parents. A form will be placed on the board at the Leisure Centre listing the positions that need to be filled. The club would be grateful if you could add your name to any vacant positions as the championships cannot take place without your support.

Coaches All coaches and chaperones must hold a relevant CRB/disclosure certificate.

Parking There will be ample parking spaces at the Wantage Leisure Centre.

Swim Shop There is usually a swim shop in operation before the start of swimming, selling WWHSC merchandise.

Photography Photography is not permitted, this includes use of mobile phones or other image capture equipment e.g. ipads

Results Results will available on the club website normally within 48 hours.

Registration All swimmers must be registered with the Amateur Swimming Association.

This is a cardless meet and all swimmers must ‘sign in’ on arrival at the Leisure Centre to confirm their participation.

Spectators Entry is free however the club would be grateful if you would purchase a programme of events. A programme costs just £1.00 and this includes a raffle ticket for the raffle draw. Further raffle tickets will be available to purchase during the evening.

The programme of events is subject to change and the promoter reserves the right to change spectator entry fees.

Spectators with disabilities should inform the promoter prior to the meet. A separate viewing area will be made available if required.

Seating for spectators is in the viewing gallery and along one side of the pool. Seats cannot be reserved and are on first come first served basis.

Refreshments Various vending machines in the Leisure Centre reception area dispense snacks and drinks.

Awards Medals will be awarded to 1st, 2nd and 3rd placed swimmers and ribbons to 4th, 5th and 6th placed swimmers within each age group. There are also trophies for the best overall boy/girl in each age group.

The age groups are 6-8, 9, 10, 11, 12, 13, 14, 15 and over (subject to entries).

Medals and ribbons will be awarded that evening. Trophies will be presented at a presentation evening following the championships.

Swimmers a) Swimmers must wear appropriate footwear whilst poolside e.g.flip flops, crocs etc.

Requirements b) Swimmers must wear a club swimming hat whilst competing

c) Swimmers must bring a t-shirt or WWHSC shirt to keep warm between events.

d) Swimmers must bring plenty of drinks to remain hydrated during the meet and also a snack (snack to be kept in a locker)

e) Swimmers must be on their best behaviour at all times

f) Swimmers must use the lockers provided to store clothing, bags etc. Items must not be left in changing cubicles.

g) No large bags are to be taken poolside

Competition Rules& Conditions

1.  License

a.  The competition will be held under ASA law and technical rules.

b.  This is a licensed level 4 meet (license pending).

2.  Acceptance of Entries

a.  All entrants must be members of an Affiliated Club as defined by ASA Law. ASA registration numbers must be included on the entry form/entry email. Entries must be received at the published address by 23:59 hours on the closing date. Any entries received after this time/date may be rejected.

b.  The promoter reserves the right to refuse or restrict entries.

3.  Withdrawals

a.  If for any reason it is necessary to withdraw from the club championships you must inform the promoter before 3pm on the day of the meet.

b.  Failure to sign in on the evening of the championships may result in the swimmer being unable to participate.

4.  Changes to the Programme

a.  The promoter reserves the right to change the programme of events to facilitate the smooth running of the meet.

b.  All changes will be notified on the WWHSC Swimming Club website.

5.  Responsibility for Swimmers

a.  Coaches, please note that you are responsible for your swimmers at all times.

b.  WWHSC poolside marshals will be responsible for ensuring swimmers are organized and are presented for each heat.

c.  Swimmers leaving poolside should inform a member of the coaching staff so there whereabouts is known.

6.  Access to Poolside

a.  Access to poolside is restricted to officials, meet admin staff, swimmers and coaches only. Please note parents are not allowed on poolside other than in the areas designated as spectators seating.

b.  Poolside is defined as all deck space commencing from lane 1up to and including lane 6, the marshaling area around the pool and the far side of the pool (referee, starters and system managers areas).

7.  Warm-Up

a.  Coaches are required to ensure that their swimmers adhere to the warm up procedures, as announced, or they may be requested to leave the pool.

b.  Lane marshals are responsible for individual lanes during warm up. Swimmers must adhere to instructions issued by the lane marshal.

8.  Meet Proceedings

a.  Heats will be swum with all age groups combined and swimmers seeded by entry times, with the slowest heat swum first. The last heat of HDW events will contain the fastest club swimmers in spear-head formation.

b.  Competitors must report to the marshalling stewards at least one event before their own event and must remain in the marshaling area until called to compete. The promoter reserves the right to withdraw a swimmer if this is not adhered to.

9.  Health and Safety

a.  All swimmers should have footwear when not in the changing rooms.

b.  For Health and Safety reasons at the end of each event swimmers must remain in their lanes in the pool until released by the referee.

10. Data Protection

a.  WWHSC Swimming Club uses a computer to manage entries and results. By submitting and accepting entries to the meet consent is hereby given, as required by the Data Protection Act 1998, to the holding of personal information on computer. Personal data handled such as name, age, club, entered and recorded times may be made public during or after the meet typically via the WWHSC and British Swimming websites.

11. Liability

a.  Wantage White Horses Swimming Club and Better (the operators of Wantage Leisure Centre) cannot be held responsible for any mistakes, omissions or any act beyond their control or responsibility.

b.  Neither Wantage White Horses Swimming Club nor Better (the operators of Wantage Leisure Centre) can be held responsible for the loss or damage to spectators’ or competitors’ property. Competitors are advised to use the lockers in the changing rooms (20p needed which is refundable). The changing rooms are a public area.
