Purpose of the Job
  • To lead and be responsible for development and day to day organization of out of school care provision at the Whiteinch Centre providing high standards of care and play opportunities in a safe and secure environment for primary school children aged 4-12 (P1 to P7)
  • To provide line management to a team of project play workers, volunteers and trainees

Tasks Expected / Performance Standard Expected
Project delivery
Planning, organising and managingout of school care, holiday play scheme and other relevant out of school programmes
Supervising activities and ensuring that children are involved in, and benefit from, high quality creative play opportunities in a safe and caring environment
Ensuring the project is adequately and appropriately staffed, at all times meeting child/staff ratios
Developing, implementing and regularly reviewing all policies and procedures related to the day care of children to ensure that they reflect current legislation and best practice while meetingthe needs of the project.
Day to day administration and maintenance of all records relating to the management and monitoring of the project, ensuring confidentiality and data protection of the children, their families and members of staff
Attending WCL staff meetings and providing regular reports and updates to Centre Manager and Board
Ensuring the participation and involvement of parents including development and support of a Parents Partnership
Developing and implementing a ‘buddy’ system to ensure that children new to the service feel supported and welcome
Monitoring and evaluating the quality of the service and developing best practice
Ensuring due regard for safeguarding and promoting the welfare of children and young people and following the child protection procedures, advising of any improvements that can be made
Ongoing liaison with the Care Inspectorate, local Childcare Forums and other relevant organisations
Ongoing liaison with relevant schools with regards to the needs of the children who attend the service / In line with WCL business plans and Centre Manager guidance

Financial management
Developing and monitoring project budgets, ensuring that activities are self-sustainable and contribute to the operational and administrative costs of the Centre
Effective administration of bookings and collection of fees, ensuring that payments are collected timely and debt resolved quickly
Keeping parents up to date with information about available support with the cost of childcare (e.g. vouchers and government support)
Liaising with relevant WCL and WSHA staff to ensure proper financial management of the service
Supporting fundraising efforts and helping to complete funding applications
Ensuring rigid financial control of the project budget including the ordering and purchasing of equipment, supplies and resources / In line with Business Plan and with Centre Manager direction

Health and Safety
Ensuring high standards of safety and hygiene are maintained at all times, including the completion of appropriate risk assessments and recording and reporting of hazards and accidents
Ensuring that all staff work within the policies, guidance and procedures of WCL
Making sure that project staffing meets required ratios at all times and developing and implementing safe procedures for the transport of children to the Centre
Compliance with and regular review of WCL child protection policies and procedures and keeping abreast of legislation and best practice / In line with legislation, Centre policies and best practice and Health and Safety Control Manual

Staff Management
Recruitment, induction and training of staff
Line management of project staff, volunteers and trainees, providing leadership and guidance in promoting high standards of care and service delivery
Ensuring all staff are aware of their objectives and have sufficient training and support to meet these
Performance management including development of an appraisal process and training plans, grievance and disciplinary matters
Responsibility for personal development including participation in own annual appraisal and necessary training, attending Childcare Forum meetings and keeping abreast of all current issues relating to providing day care services for children / In line with Centre policies
