Board of Directors, Charles County Literacy Council (CCLC)

Position Descriptions

Committee Chairs are appointed by the President of the Board of Directors, and include, but are not limited to, the Student Assessor, Social Media, Publicity, Workshop, Fundraising, Grants, and Performance and Salary Review Chairs. Committee Chairs are members of the Board of Directors and are required to attend monthly Board meetings, unless they have an approved excused absence. Chairs are volunteer positions, and shall serve one-year terms running from January 1 through December 31. An annual review of Committee Chairs will be performed by the Executive Committee before the end of each calendar year.

Chairs and duties are as follows:

1.  Student Assessment Chair:

a.  Interviews and assesses potential students according to the Laubach Way to Reading System (LWR).

b.  Trains new assessors, keeps record of assessments requested and completed.

c.  Files completed assessments with CCLC office for matching with tutors.

2.  Social Media Chair:

Overview: Manages the literacy council’s Facebook, Twitter and Blogger accounts. Creates newsletters on a bi-monthly basis and news blurbs as needed using Constant Contact, Facebook & Twitter. Accounts are linked so whatever is posted on one appears on the other. Attempts several posts a week (quote, success story, fundraising, etc.) to spread the word about the Literacy Council.

Newsletters: Using Constant Contact, create a bi-monthly large newsletter incorporating any success stories that the Program Director has passed along, new items for the council, ways to help the council, upcoming events and any other items that might be of interest to our base (library events, local events, etc.).

Blogger: Currently in the test phase, but the blogger account will be used to feed the news section of the CCLC’s website. Once out of the test phase, will update account with whatever news bullets sent from the Program Manager. Other: Interact with the staffers from Southern Maryland Regional Library Association Help Desk as needed to insure settings and permissions are correct for optimal interaction between the social media accounts and the Charles County Literacy Council’s website.

3.  Publicity Chair:

a.  Working with the Program Coordinator, prepares and distributes news releases about Council events, monthly meetings, and articles of news or interest to or about the Literacy Council.

b.  Schedules dates for display cases in PD Brown, La Plata and Potomac branches of CCPL. Set up display (photo in office files) and take down on dates agreed upon with library. (No display case at Waldorf West.)

c.  Working with other members of BoD, posts flyers in restaurants, stores, libraries and other public places concerning upcoming CCLC events and finding adult learners, refreshing as required.

4.  Workshop Chair:

a.  Is responsible for arranging and conducting semi-annual, nine-hour Tutor Training Workshops (usually given over three, three-hour evenings, 6 – 9 p.m.). Tasks include:

i.  Propose and confirm dates for the next workshop, arranging availability of space with the Lifelong Learning Center well in advance, usually as soon as one workshop has been completed.

ii. Work with the Program Coordinator, Publicity, and Newsletter Chair to recruit future tutors via mass mailings to community centers and local churches, newspaper announcements, and notification of all active and inactive tutors.

iii.  Begin preparation at least two and one-half months in advance, assembling the program, contacting speakers via email or phone, developing and distributing flyers, and updating registration and evaluation forms.

iv.  Recruit speakers to present training for the various sections that are presented at the Workshop. Speakers should be solidly confirmed at least one month in advance, and should be encouraged to make requests for handouts, scripts, A/V equipment at the time they are confirmed.

v. Work with the Program Coordinator to assemble the Tutor Training binders and other training materials.

vi.  Recruit and appoint a volunteer hospitality coordinator to purchase and serve food and soft drinks during the break for each evening’s dinner (usually sandwiches, pizza, and chicken).

vii.  Set up and take down the classroom at each session. Arrive at the Lifelong Learning Center one hour before each Workshop session begins to set up and resolve any last minute problems. Arrange help to clean up after each evening’s training session.

5.  Fundraising and Outreach Chair:

a.  Works with the Vice President to identify and conduct fundraising opportunities for the Literacy Council.

b.  Prepares and distributes fundraising flyers and promotional materials for the Council.

6.  Performance Evaluation and Salary Review Chair:

Working with the Board of Directors Executive Committee, monitors and evaluates the Program Coordinator and any other paid staff, initiating an annual review and recommending salary action.

7.  Grants Chair:

Working with the Program Coordinator and Treasurer searches for and identifies grant opportunities, completes grant applications in a timely manner.
