Changes Coming to Missouri Arts Council’s Online Grants System

Starting Friday, April 15, 2016, the MAC Online Grants System will have a new look and features.

NEW SYSTEM FEATURESwithin the forms

  • Navigation bar on left of screen.
  • Auto Save of data every 10 seconds after typing stops. (No longer required to press the save button.)
  • Icon on right of screen shows when data is being saved or modified.
  • Date/Time stamp at bottom of screen shows when data was last saved.
  • Feedback your opinion on system changes for computer developers.
  • Drag and Drop to upload attachments.
  • Upload Quota for attachments shows amount of space used.
  • Number of Uploads per file type.
  • Validation of data for any missing required fields.
  • Submit and the form becomes read-only and is locked.

Below are some examples of how the screens will look in the system. These will assist you in navigating the Application, Interim Report or Final Report.

SIGN UP – SIGN IN

The Sign Up or Sign In buttons are located in the upper right corner of the screen.

PASSWORD

Must be at least 8 characters long and contain an uppercase letter, a lowercase letter, a number and a symbol or special character ~ ! @ # $ % ^ & () _ - = {}.

If for some reason the applicant/grantee cannot get into the system with their current password, it may need to be reset to meet the new specifications.

DASHBOARD

After logging in, all MAC applicants/grantees will be taken directly to the My Data page of the Dashboard.

Click to access the application.View/Access a specific page of the application.

NAVIGATION

Once in the application, the Navigation Bar on the left of the screen serves as a table of contents. It allows you to navigate to a specific page.

AUTO SAVE

Every time you type into a field, the system will automatically save your data every 10 seconds after you stop typing. An icon appears on the top right side of the screen that goes from modified to saved. If you choose to manually save, the button still remains at the bottom of the screen.

DATE/TIME STAMP

The last save date/time will appear at the bottom of the screen.

FEEDBACK - Optional

On the right side of the screen near the middle, you will see a Feedback button. Click on this button and it will allow you to give the system developers your input on the upgrades. MAC will not see this feedback so it is optional.

UPLOADING ATTACHMENTS

Materials can be uploaded in two different ways –

  • Drag and drop (New Feature)
  • Select files from your computer

Support Material Upload box mayappear with Save Changes or Cancel. If this screen appears, wait for the system to process the upload, do not press a button. A new screen will appearwhere you can provide the Title and Description of the upload. Now press Save Changes. A thumbnail/icon of the upload will be on the screen. To edit an upload, click on its title/name.

UPLOAD QUOTA

This shows the amount of storage used for ALL uploads made in ALL fiscal years and ALL forms (Application, Interim Report and Final Report. The figure is a total of all uploads. This quota is not just for the form you are working on.

PIE CHARTS AND UPLOAD TYPES

This section shows the different types of uploads accepted on THISform. In the above example, 1 image was uploaded to THIS form. As more images are uploaded to THIS form, the count and graph will change. The 0 represents the minimum number and 10 the maximum number of images that can be uploaded to THIS form. The minimum and maximum number can only be changed by MAC.

VALIDATE AND SUBMIT

Once the form has been completed, press Validate and Submit in the left-hand column. The system will check your application for any missing required fields.

  • If all forms are checked Valid, press thegreen Submitbutton.
  • If any errors result, click on the link and make any needed corrections. Press Validate and Submit to recheck. Press thegreen Submitbutton.

Contact your Program Specialist only if you do NOT receive an email confirming your submission.

READ ONLY STATUS

If you have submitted your form or a deadline has passed, your form will become read-only.

The new UI lets you know when your form is read only in 3 ways.

  • On the DashboardMy Data tab your application will have a lock symbol next to the name.
  • In your form, there will be a read only icon at the top.
  • Fields within the form will not be editable.
