Corporate Governance and Services
The Corporate Governance and Services Group’s key purpose is to drive organisational excellence. Enabling the Guild at all levels to achieve its objectives through its strategic and forward looking focus in its functional areas. By doing so, it is ensuring that the Guild remains financially viable to support Guild Members within the network.
The Group is comprised of three teams, working together to assist and support all other Groups within the Guild:
- Human Resources and Administration
- Finance and Corporate Governance
- Information and Communication Technology
The underlying aim for the Group is to be intelligence led in both strategy and operations.
Role Responsibilities ofthe CGS Project Manager
The Project Manager reports to the National Manager ICT(NMICT) and is responsible for assisting both the Chief Operating Office (COO)and NMICTwith the development of the ICT programme of work. It is also responsible for the management of all ICT related projects across the Groups and supported Branches. Occasionally, the role may be required to provide project management assistance for Guild’s strategic projects. Additionally, the role is responsible for the provision of business analysis skills during the project planning stage as well as supplier relationship management and procurement contract management.
The core duties of theProject Manager are to:
- Maintain and report on the Guild’s ICT program of work
- Deliver and manage assignedICT and non ICT projectsin line withthe Guild’s project management methodology and reporting requirements
- Coordinateinternal and external resources associated with the delivery of allocated projects
- Manage and monitor detailed budgets and financial reporting for each project, including preparation offinancial status reports for the NMICT, COO, Executive, CGS Committee and National Council as required
- Coordinate procurement activity (including change proposals) associated with the delivery of projects and ensure all relevant policies and procedures are adhered to
- Draft change management and transition plans with respect to projects
- Undertake testing activities, where required, to ensure that the developed systems / improvements meet business requirements
- Develop and facilitatebusiness and technical requirements, Request for Tender (RFT) and Statement of Works (SOW) documentation
- Manage ICT pilot programs to facilitate the ability of the Guild to evaluate new technologies for viability, cost and benefits to the organisation
- Develop quality improvement strategies and processes to improve the delivery and success of projects over time
- Supporting the Guild in the development of base line project management skills and knowledge
Organisational Relationships
- Reports to National Manager ICT
- Works with CGS Group and National Secretariat staff
- Provides advice to National Secretariat Staff
- Manages external relationships with ICT suppliers and service providers, branch staff and external ICT partners
Role Specific Capabilities
The following work experience / knowledge would be desirable / is required:
- Program office experience in managing and delivering multiple projects simultaneously
- Project management with a focus on technical ICT projects
- Stakeholder liaison and management
- ICT procurement, contract negotiation and supplier management
- Development of project documentation as well as business requirements, SOW and RFT/RFP documents
- Change management including release and deployment
- Project standards, security and governance development and implementation
- Microsoft Project and SharePoint experience

Authorities List
This position has the following authority approval:
- Liaise and negotiate (with National Manager ICTapproval) with external bodies regarding the Organisation’s ICT related projects
- Make recommendations on the development, implementation and management of ICT projects to the National Senior Executive Team
- Order ICT related products and services (via online shop or purchase order) that are under $1,000 (ex GST) where supported by an approved ICT Project Budget
Qualifications
The following qualifications are essential for this position:
- Formal qualifications in Project Management;
- PRINCE2: 2009 Practitioner certification (or equivalent);
- ITILv3 Foundation Certificate in Service Management.
The following qualifications are desirable for this position:
- ITIL v3 Service Capability – Service Offering & Agreements;
- Business Analysis;
- Financial Management.
