CEU Provider Policy Manual
CEU Provider Policy Manual
January 18, 2016
Association of Image Consultants International
Introduction
The AICI CEU Provider program is well established. It was totally revamped in 2006 and is continuously updated so that our CEU-approved programs meet our member needs while simultaneously maintaining an excellent quality standard. On a regular basis, questions are posed by active and prospective AICI CEU Providers about the application and reporting processes that are in place. Over the years, decisions about appropriate practices have emerged and been approved by the CEU Committee and AICI International Board of Directors. The purpose of this manual is to provide, in one location, all the policies that have been established, so that there is a common understanding of the rules that govern the AICI CEU-approved Programs.
Preparing for an AICI CEU Program Application
- Eligibility
- CIM or CIP Certification is required for all presenters who offer CEU-approved programs that fall under the topic area of Artistic Aspects of Image (SeeSection I-D of AICI’s Core Competencies).
- Presenters, who are not CIM or CIP certified, may have a course CEU-approved on any other topic under AICI’s Core Competencies, if they can prove their expertise in the topic to be presented.
- An AICI CEU Provider may have additional trainersapproved to present his/her course if the following conditions are met: the AICI CEU Provider of the course must supervise any additional trainers, and provide a bio and three testimonials that attest to the trainers’ abilities, knowledge, and experience for teaching the course.
- AICI Conference presenters must meet the same eligibility requirements.
- Delivery Methodsand Title
- Applicants must stipulate in their applications which presentation delivery method will be used.
- If the course content is to be delivered in multiple ways, a separate CEU application, together with the appropriate fees, are required for each delivery method.
- Courses that are AIC CEU-approved must be at least sixty minutes in length
- Webinars and teleclassesmust be at least 60 minutes in length and no more than 120 minutes for one session.
- AICI CEU-approved webinars and teleclasseshave no limit on the number of participants enrolled. A completed worksheet is required at the conclusion of the delivery to indicate full participation. CEU Providers must retain the worksheets for one year.

3.1AICI CEU Program applicants must provide documentation proving they have presented the educational opportunity, for which they are applying, at least once.
3.2A minimum ofthree people must attend the pilot.
3.3The delivery method for the pilot must match the intended AICI CEU-approved course delivery method.
3.4A pilot is required for each delivery method used, even if the content is the same as an AICI CEU program that has already been approved. A pilot is not required if a CEU Provider, seeking approval for a webinar course, meets two criteria: 1.) has taught the content in a CEU- approved course before and; 2.) has previously conducted CEU-approved webinars.
- Testimonials
- Three written testimonials must be submitted with eachAICI CEU application.
- The testimonials must be written by individuals who have attended the course for which the presenter is applying.
- Documents to be Submitted
- Applicants must submit all the required documentationwith their application. (The only exception is the Statement of Proprietary Interest, which in some cases is not relevant).
- All documentation must be submitted in English or with an English translation provided.
- Application documents must be submitted at least six weeks in advance of the training event to ensure sufficient time to process the application.
- Approval of a course for AICI CEUs is valid for three years.
- An AICI CEU-approved Program is not valid until all fees have been paid to AICI HQ.
- After three years,AICI CEU Providers must reapply using the AICI CEU Provider Application process to have their program reapproved for CEUs..
- Calculation of CEUs
- AICI CEUs are calculated by the amount of trainer/participant contact time. Breaks and lunch times do not count towards CEU-approved time.
- Each hour of trainer/participant contact time is equivalent to .1 CEU. If the total number of hours includes extra minutes, less than half an hour is not counted, and more than half an hour is rounded up to the next hour.
During an AICI CEU Program Delivery
- Attendance
- In order to earn AICI CEUs, participants must attend the whole program that was AICI CEU-approved. No AICI CEUs are earned for partial course attendance. The only exception is for Chapter Education Days where there are multiple speakers. Attendees do not have to attend all sessions in order to earn AICI CEUs. They earn AICI CEUsonlyfor the sessions they attend.
- If there is a situation, beyond the participant’s control, that results in his/her inability to attend part of a course, anAICI CEU Provider can provide an alternative method for making up the missed part. Proof of the makeup work must be included with the participant’s completed Participant Training Evaluation form.
- No more than 15% of the AICI CEU-approved program can be missed.
- If more than 15% of the class is missed, the participant must attend the missed sessions when the class is offered again, in order to earn AICI CEUs.
- For personal study programs,AICI CEU Providers must be in contact with enrolled students at least every two weeks.
- Participants must complete a personal study program within one year of the start date.
- CEU Speech
- Prior to each CEU approved program presentation, the AICI CEU Provider must read the CEU Speech to attendees.
- Selling
- AICI CEU Providers must focus attention on student learning and not use presentation time, which is AICI CEU-approved, as a venue for selling their products and services.
- Evaluations
- Evaluations for the course must be completed at the end of the program by everyone who attends the course, whether they are AICI members or not.
Following an AICI CEU Program Delivery
Documents to be Submitted
1.1Following the delivery of an AICI CEU-approved training delivery, the AICI CEU Provider must submit a CEU Report to the CEU Administratorwithin three weeks of the completion of the course.
1.2The AICI CEU Report includes three items:
- A completed CEU Report form, which lists attendees who completed the program, their email and postal addresses, whether they are an AICI member and have requested an AICI certificate. The cover page of the report includes the name of the AICI CEU Provider, the course title and the number of CEUs, the location, and the dates of the delivery.
- The Participant Training Evaluations. If necessary, every effort must be made to translate comments into English.
- A completed Trainer Self Evaluation form (In a few instances, this requirement can be waived by the AICI CEU Administrator when an AICI CEU Provider delivers one-on-one personal study programs multiple times.).
- Failure to complete the AICI CEU reporting process will result in the loss of AICI CEUs earned by participants.
- In addition to the AICI certificate, which can be provided on request as indicated in 1.2.AICI CEU Providers may present students who have successfully completed their courses with their own business certificate. This AICI CEUProvider-generated certificate must not include the AICI logo or imply the course was produced by AICI, or indicate that the recipient has received CEUs.
Other Policies
1.1Participants cannot earn CEUs for attending a class a second time. The two exceptions to this policy are attending: the AICI International Conference CEU-approved sessions and Chapter Education CEU-approved programs. When participants attend an AICI Conference or Chapter Education Day, they may earn AICI CEUs for a program they have previously attended at an AICI Conference or Chapter Education event.
1.2Presenters cannot earn AICI CEUs for presenting a class.
