1. Please provide a detailed plan of your event. This should include: topic and rationale, structure and organisation, invited or keynote speaker(s), and if available,a draft programme. Please also enclose copies of your Call for Papers and event flyer/poster where possible.

2. Please indicate your strategy for attracting delegates (particularly from other institutions), and planned numbers.

3. Please provide a detailed budget for your eventand indicate what specific purpose the Academic Strand Award will be used for.Please include: expected income/expenditure and fee rates for delegates (if applicable). Please also provide details of any other funding, secured or pending, which will be used for this event in addition to the Academic Strand Award – ‘in kind’ support will be considered favourably in terms of secured or pending support, e.g. discounted or FoC room hire.

UNIVERSITY OF CHESTER ALUMNI ASSOCIATION

CESTRIAN AWARDS: ACADEMIC STRAND SCHEME GUIDELINES

The University of Chester Alumni Association (UCAA)awards a small grant of up to £250 tocurrent University of Chester students who would like to organise workshops, seminars or conferences. This money can be used for a range of purposes, including paying speakers’ costs, providing refreshments or hiring facilities and it can be used alongside other awards – indeed, this fund will only consider funding up to 90% of any initiative or event. This should be an event organised exclusively by students, however we appreciate that mentoring or support from Academic or technical staff may be necessary for the successful and smooth running of such an event. The fund has been established with the aim that student organisers will gain valuable experience through this process.

University of Chester students who would like to apply for the Academic Strand Award should complete the application form to formulate a short proposal containing the following:

  • A detailed plan of the eventincluding: topic and rationale, structure and organisation, invited or keynote speaker(s) and, if available, draft programme. Please also enclose copies of your Call for Papers and event flyer/poster wherever possible;
  • Astrategy for attracting delegates (particularly from other institutions) and planned numbers;
  • A detailed budget showing what specifically the award will be used for and providing details of any additional funding secured (or pending) for this event. ‘In-kind’ support will be considered favourably in this section – it is up to the student organiser(s) to frame correctly the support gained in order to meet the criteria for the award funding only up to 90% of conference budget. For example, including that room use is discounted or FoC;
  • Astatement of support from your Head of Department or academic supervisor.

Conferences and initiatives covering any subject area within the University are welcome to apply; proposals which range across disciplines are particularly encouraged. Applications are welcome from all levels of study (UG, PGT, PGR) with the exception of Foundation level students. Applicants should not feel confined to standard academic conference or seminar formats (although these are welcome) as creative or experimental ideas are encouraged.

Proposals will be reviewed by the executive committee of the UCAA. Decisions will be communicated by end of November 2017. If your conference or initiative is being held before this, please allow 6 weeks between submitting an application and the event in order for us to reach a decision – we will endeavour to reach a decision as soon as possible.

Please note that whilst the maximum award available is £250, we anticipate to award funds less than this amount more frequently – we also reserve the right to award an application partially, considering the elements and budget of any given event or initiative, i.e. the Association may award a lesser amount than is applied for if deemed appropriate and/or necessary.

We will be running a second application window from January – March 2018, subject to approval by the UCAA executive committee; further details will be announced at this time.

INFORMATION FOR SUCCESSFUL APPLICANTS:

We ask that you help to promote the UCAA through your event by displaying our logo on your publicity materials and programme, distributing information about the UCAA at your event and implementing a reduced fee for University of Chester Alumni (if delegate fees are charged). We can provide logos and other information for online and print use.

Organisers will be asked to submit a brief report on completion of the event which should include your final budget with details of howAcademic Strand Award monies have been spent within 6 weeks of the event or activity. We would welcome reports in varying modes of communication, such as video. You will also be asked to write a blog entry for publication on our wordpress blog ( to inform alumni of the event and encourage future applications. Please illustrate your blog entry and article with photographs from your event – we may also consider your report for inclusion in our print magazine The Cestrian, so good quality images are important.
