CAWA PRIVACY STATEMENT
The Chess Association of Western Australia Inc (CAWA) is a non-profit sporting association appointed as the governing body for the sport of chess in Western Australia.
It is not bound by the National Privacy Principles but recognise the importance of the Commonwealth Government’s Privacy Legislation.
The CAWA is a democratically formed body made up of an Executive Council consisting of the following elected representatives:
- President
- Senior Vice President
- Junior Vice President
- Honorary Secretary
- Honorary Treasurer
In addition, five other Council positions have been established to assist in the effective management of the State Association. These positions are also filled by elected representatives.
The CAWA is affiliated to, and operates in association with the National body, being the Australian Chess Federation Inc (ACF).
The aim of these two bodies is to provide an opportunity for the Australian and Western Australian community to participate in the sport of chess.
Within Western Australia the CAWA has affiliated clubs in the metropolitan area and country regions. The CAWA Council also ensures the provision of services to children under the age of 18 and have the responsibility to provide for the special needs of women and girls within the CAWA.
Collecting your personal information
The CAWA understands that members may have concerns about their privacy and the confidentiality and security of information that the CAWA may obtain about them. Our policy is to protect member’s privacy and personal information that it may collect from time to time.
The CAWA has undertaken to comply with the requirements of the Privacy Act, 1988 and the National Privacy Principles included in the Privacy (Private Sector) Amendment Act 2000.
Personal information is collected by the CAWA for the primary purpose of membership requirements and competition purposes. Information collected includes your name, address, signature, date of birth, gender, telephone number, e-mail address and eligibility for concession. A hard copy file containing the member’s application details are retained in a secure location in accordance with the Act and for a further seven years in accordance with current Federal and State legislation governing document retention, before being destroyed.
What if you do not provide the personal information we require?
Failure to provide the information sought by the CAWA for the purposes detailed above, may not enable the organisation to complete the membership process or include you in events that are ACF rated.
How does the CAWA secure your personal information?
To begin with, the CAWA does not collect “sensitive” information as defined by the Act. To prevent unauthorised access to your information that is collected, the Membership Officer holds the paper copy in a locked cabinet and the electronic data in a personal computer with adequate password security provisions.
Limited information is made available to Council members so membership services can be provided to you (ie eligibility to participate in competitions, to receive the Association’s newsletters etc).
To whom do we disclose your personal information?
A member’s personal information will only be used or disclosed by the CAWA as allowed by the Privacy Act, 1988 and the National Privacy Principles included in the Privacy (Private Sector) Amendment Act 2000.
To facilitate the CAWA delivering better services and benefits to its members, personal information collected may be shared with other affiliated organisations (ie ACF).
Withdrawing your consent

The CAWA will then ensure that your personal information is not used for this purpose. This exemption cannot apply where the organisation is required by law to provide such disclosure.
If you do not object to the uses or disclosures as stated above, the CAWA will accept this as having received your express consent.
What if you wish to access your personal information?
Members may, upon written request, access their personal information the CAWA has obtained from membership application forms and other related collection forms that it currently holds. To the extent possible, the CAWA will let you access your personal information, however there may be times the organisation is not in a position to do so (ie where it would be unlawful to do so). If the CAWA denies you access to this information, it will notify you of this refusal and the basis for it.

What if you wish to change some of the personal information held?
The CAWA endeavours to ensure that personal information held is accurate, complete and up-to-date. Where you believe that personal information held by the CAWA is not accurate, complete or up-to-date, then advise the Membership Officer and every effort will be made to correct the information.
