Region Meeting
March 18, 2017 @ 3pm
Garrison Arena, Clemson University
Present: Juliet Sadd (RS), Jay Ahlstrom (VRS), Sarah Deal (Secretary, YVHPC), Sandy Larson (RIC, GFPC), Laura Davidson (RRPC), Kellie Younger (HKRC), Dawn Longman (HKRC), Paige Jordan (LCPC), Emily Welch (LCPC), and Julie Jacobs (HMO)
USPC Annual Meeting
· Juliet reported on the USPC Annual Meeting that was held in late January in Los Angeles.
· Notes from the meeting were sent to DCs via email and are also posted on the Region’s website.
· Juliet highlighted a few things:
o USPC is working on a centralized bookkeeping/ reporting system that will streamline the accounting process for clubs.
o The Carolina Region is one of the top 5 largest regions in the country.
o USPC is encouraging clubs to revise their bylaws to be as similar across the board as possible. Templates are available.
o Horsemasters are a fast growing segment of USPC nationwide.
Rallies
· Quiz was held in February and hosted by Palmetto PC. There were 40 participants and the region made a little bit of money on the rally.
· Show Jumping/ Tet was underway. Paperwork and checks were discussed. It is important to have paperwork and checks to the Secretary by the close date.
· Paige suggested using venmo for electronic payments. Paige can explore and see if there is a cost or tax implication for Region. Discuss with Stefanie Faith CR Treasurer and see if feasible.
· Dressage Rally will be held April 28-30 at CHP and will be hosted by ETPC. Forms are online now. The secretary for this rally is going paperless. If it works well, Eventing may do the same.
· Eventing Rally will be held May 19-21 at FENCE in Tryon, NC. GFPC and RVPC are assisting Jay with the organization. Sarah Deal will be the Secretary.
· Champs will be held in July at Kentucky Horse Park. Any rider who meets the qualification requirements in each discipline can attend. There is no restriction on how many riders a region can send. Juliet asked for help with the paperwork/ entries.
Region Camp
· Camp will be held June 24-28 at FENCE. Flyer and application to be posted by Apr 9.
· Jay is the primary organizer for the event. There will be a camp committee formed. Volunteers needed to help organize everything from food, to crafts, and evening activities.
· There will be something for everyone: champs prep, UL certification prep, C certifications, arts and crafts, etc.
· Paige Taylor offered to help with arts and crafts.
Region Instruction
· Juliet was able to get the HB test moved to August. The HB Test will be Aug 4-6 at Riverbend. Candidates need complete online application 90 days prior to the test.
· Sandy Larson shared how their club does Upper Level preps. They invite a NE for the weekend. On Saturday, the NE gives mounted lessons ($80 for two lessons) and then on Sunday the NE does a prep for Upper level or HB candidates. They have found that the clinic on Saturday basically pays for the entire weekend.
· Juliet reported in Susan Montani’s absence that ETPC was working on setting up a Region XC clinic on 5/6 at Running Start Farm in Southern Pines.
· Susan Poulton has developed some specifically designed questions for polling purposes and will be calling all DCs in the next week or so. Please take the time to answer her questions.
Horse Management
· Julie Jacobs reported that all CHMJs for rallies have been secured.
· She suggested a HM session for parents at Camp.
· It was also suggested to have a NE do a certifications and standards clinic for members possibly at Fall Fling. (Hosted by Hidden K)
Club Administration
· Juliet asked that all DCs and Joint DCs do the required training and background checks.
· She also asked that DCs work on membership as well as financial reporting (USPC) and bylaws (USPC).
· We need more volunteers on a Region level. We need folks to learn scoring and HM; lead our communication and website efforts, a Camp committee, and help with Champs.
Other Business
· Brickhouse Equestrian Riding Center attended their first region rally at Quiz. We are hopeful they will be ready to participate in the Dressage Rally. Horse transport is a challenge for them.
