I. OVERVIEW

A. WEBSITE LINK –

1. Link to the website surgeryfaculty.wustl.edu

B. IF I AM HAVING A PROBLEM

1. At anytime, if you have a problem there is a feedback button in the lower right hand corner of all screens

2. Hitting the “send feedback” button gives you two options

3. The first option “I have feedback regarding a specific part of this pages” allows you to pinpoint where on the page you are having the problem.

a) After you press option one then just click in a certain area and highlight on the screen where the problem is occurring.
b) Once you highlight where the problem is then you will get the text box below, just type in the problem and submit. This option sends data to assist us with correcting the problem.

4. The second option “I have feedback regarding this page or site as a whole” is if you are having generic issues with the site.

a) The text box below will occur, just type in the problem and submit.
b) Please include your email address so we know who to respond to with the fix or for further clarification.

C. DASH BOARD

1. The dash board shows the status of each faculty member in the career development process. A green button identifies that the task is complete.

D. SCHEDULE A MEETING FOR THE FACULTY AND CHIEF – Coordinators only

1. Once the message is sent from the Business Systems Office (BSO) then the coordinator can start scheduling meetings for the faculty and staff. This can be done by pressing the area below:

2. Once this button is clicked then you will be able to choose the date and time by clicking on the calendar and clock icons

3. Once the meeting is set then the dashboard will display that the meeting is set by highlighting button 2. If you hoover over that button then the date and time will display.

II. STARTING THE CAREER DEVELOPMENT PLAN

The faculty portal will provide one place to be able to get to important administrative systems. The four major areas of the portal include: fiannacial information, Career Devleopment, Compliance and Policies and Procedures. This document specifically outlines the career development process only.

A. Career Development

1. To start the career development plan, click the “Start now” button

B. Uploading a CV

1. You first will need to upload your CV to the portal. Click the “Go manage my CV documents”.

2. This button allows you to select the drive of your current CV (red arrow).

3. Once a document is uploaded then you must make it official (green arrow).

4. If this is not the correct document then you can delete it (yellow arrow).

5. Once it is “official” then click the go back button (green arrow).

6. You will be presented with a screen that allows you to confirm that this is your most current CV, “My Curriculum Vitae (CV) is confirmed as current” (green arrow).

7. If it isn’t your most current CV then you can click “Manage my CV document” (red arrow). The above process will start over for you to download another document.

C. FACULTY PORTION OF THE CAREER DEVELOPMENT PLAN

1. Once you confirm that your CV is current then you will be given the career development form

2. To start typing in your career development plan click the edit icon (red arrow).

3. To review your CV at any time click the CV icon (yellow arrow).

4. This is the faculty portion of the career development plan (green arrow).

5. The chief portion of the career development is not available for your review at this time.

6. When you click the edit icon (red arrow) at any of the questions then you will get a text editor. This allows you to type anything using the normal editing features (bold, underline, bullets, etc.) that MS Word allows.

7. Once you have answered the applicable questions then you have two options:

a) You must either “save your changes” (green arrow).
b) Or “close” the text box without saving (red arrow).

8. You must follow this same process for all of the applicable questions.

9. If you need to stop the career development process before you have completed the entire plan then click “Close without submitting” (red arrow). This will save your work up to this point in time.

10. Once your career development plan is complete click “Submit faculty portion” (green arrow).

11. You will then be asked to confirm that you want to submit to the chief.

12. Clicking “OK” allows your chief to review your comments (green arrow).

13. Clicking “Cancel” means your review is not yet submitted and the chief can’t review it.

D. CHIEF PORTION OF THE CAREER DEVELOPMENT PLAN

1. The Chief can start their portion of the career development process at any time. They go to that faculty member within their dash board and click the chief review button (green arrow).

2. The Chief will know that a faculty member has completed his review if the third step is highlighted in green (red arrow).

3. Clicking “Chief’s review” by the applicable faculty member name will give the chief a screen with their questions (green arrow).

4. If the chief needs to review the CV or the faculty portion of the plan they can click the appropriate area (red arrows).

5. To add comments to a question click on the edit icon (yellow arrow). This will give you a text editor that allows you to type anything suing the normal editing features (bold, underline, bullets, etc.) that MS Word allows.

6. Once you have answered the applicable questions then you have two options:

a) You must either “save your changes” (green arrow).
b) Or “close” the text box without saving (red arrow).

7. You must follow this same process for all of the applicable questions.

9. Once your career development plan is complete click “Submit Chief Portion”, (green arrow).

10. You will then be asked to confirm that you want to submit to the chief.

11. Clicking “OK” allows your chief to review your comments (green arrow).

12. Clicking “Cancel” means your review is not yet submitted and the chief can’t review it.

13. Once the chief submits their comments the faculty member can review them.

14. The submission by the chief is his electronic signature of the plan being complete at this time.

15. When the faculty member goes back to their portal they will see that the chief has submitted their comments (red arrow).

16. To review the comments faculty clicks “Continue Career Development Plan” (green arrow).

E. SIGN OFF AND SIGNATURE OF THE CAREER DEVELOPMENT PLAN

1. They are now able to sign off on the plan “I agree with the responses to Sections V- VII” (red arrow). This acceptance is their electronic signature.

2. Or request further discussion with the chief “I request further discussion about the responses to Sections V – VII” (yellow arrow).

3. They can see any of the documents at this point in time by clicking on the appropriate area (green arrow).

4. If you click “agree with the responses…” then the career development plan is complete.

5. When a faculty member request further discussion the coordinator is notified to schedule another meeting.

6. Another area for comments is given to the chief and the faculty to document their further discussion (green and red arrows respectively).

7. Once the chief or the faculty makes their comments then they can either “close without submitting” (yellow arrow). This saves their data without submitting it.

8. Or they can click “Completed Further Discussion with Faculty” (peach arrow).

9. Once the faculty member and/or chief complete the further discussion then they get a screen “Final Faculty Sign-Off” (green arrow).

10. “Close without submitting” (red arrow) means the added comments are saved but the review has not been submitted and therefore the process is not complete.

11. “Final Faculty or Chief Sign-Off” is their electronic signature. The review is complete.
