Student Expectations

1.Always call in if you are unable to come in or if you are going to be late. Call well in advance so we can make other arrangements for work that needs to be done. Remember that you are part of a team that relies on you. Be sure that your supervisor has your current phone number in case he/she has to call you for any reason.

2.Stick to your schedule. If your work hours conflict with you study time or class schedule, revise your schedule with your supervisor so that it works best for both of you.

3.The second time you fail to notify your supervisor of your absence, or when you know you are going to be late will result in a written warning. If the problem persists, your employment will be terminated.

4.If you don’t have anything to do, always ask; other staff members may have projects on which you could work.

5.Be sure to sign in and out each day. This also includes lunch hours.

6.Remember to submit your time sheet to your supervisor on time so they can verify your hours and sign the time sheet.

7.If you have any questions, don’t hesitate to ask. Feel free to offer any suggestions you think would be helpful.

8.Incoming and outgoing personal calls made by student employees should be kept to a minimum.

9.Do not study or do homework during work hours unless you have permission to do so. This also includes the personal use of computers, the fax machine, or copier.

Supervisor’s Agreement of Responsibility

The purpose of this Agreement is to inform you, as a supervisor of student employees at USIU-AFRICA, of the duties and responsibilities of that role. Read, sign and date this Agreement.

Information submitted to Financial Aid and PACS Offices is strictly confidential. You must take the responsibility of keeping the information to which you may have access completely private. You are not allowed to release any information to anyone except to the student, unless we have the written consent from the student to do so.

PLACEMENT OF STUDENTS CANNOT BE APPROVED UNTIL THIS FORM HAS BEEN FILED WITH THE FINANCIAL AID OFFICE.

1.Provide the Financial Aid and PACS Offices with a Position Description for each position requested under your supervision.

2.Qualified students eligible to work on campus will be referred to you by the Placement and Career Services Office on the basis of your Position Description. You are not obligated to hire any student. Please call the Placement and Career Services Office to inform them of which student you decide to hire. A referral form will be issued once a student has completed all the paperwork. A student may not start working until all paperwork is complete and a referral form is signed.

3.Once you hire a student, you are expected to provide training, supervision, and evaluation. Establish a working relationship with the student that will ensure frequent and effective communication.

4.Duties assigned to student employees must be in accordance with those listed on the Position Description Form submitted by you and approved by the Dean/Department Head.Under no circumstances are student employees allowed to perform personal services for you or any staff or faculty member.

5.It is vital that you “set the tone” for each student employed. The student must be informed of the duties and responsibilities for his/her particular assignment. If your expectations are not met and the student employee has had ample warning and opportunity to meet those expectations, you must inform the Placement and Career Services Office so that the student can be transferred to another assignment or be removed from the program.

6.You are expected to monitorthe hours worked by the student employee. In completing and submitting the Time Sheets, observe the following:

a.Hours must be monitored by you. The Time Sheet provides ready reference and accountability. The student must sign in and out each time when reporting to or leaving from work, and when taking lunch breaks.

b.The Student Employment Referral Form, which the student brings to the supervisor, identifies eligibility for each term. Set the weekly work schedule based on the student’s eligibility to allow the student to work throughout the term.

c.The student’s work schedule may not conflict with his/her class schedule.

  1. The student may not work more than 8 hours per day, 40 hours in a week or 7 days a week. Undergraduate and International students are limited to 15 hours per week, and domestic graduate students are limited to 20 hours per week. Remember – NO OVERTIME!!

f.All data recorded on the Time Sheet must be in INK and corrections must be initialed by you.

g.Time Sheets not completed (all data must be listed) and signed by you will be returned.

h.Do not hold Time Sheets; Time Sheets must be submitted to Financial Aid office after every three weeks.

i.Supervisors are required to provide paid breaks at the rate of 10 consecutive minutes for each four hours worked, as near as possible to the middle of the work period. A supervisor may require student employees to remain on the premises during the 10-minute break period.

j.A shift of five (5) hours or more requires one unpaid meal period of at least 30 minutes during which the student employee is relieved of work. However, the meal period will count as time worked if the employee is not relieved of his/her work. An on-duty meal period is permitted only when the nature of work precludes relieving the student employee and he/she agrees in writing to the paid on-the-job meal period. Meal periods cannot be waived, except by mutual consent of the employee and the supervisor or when a work period of not more than six hours will complete the workday.

It is your responsibility to monitor, record, and advise students of their hours. Students may not work for more than their allotted hours. Students only receive payment for hours worked.

Important:While it is the Financial Aid Office that is responsible for determining the eligibility of students for the various student employment programs, you are responsible for monitoring hours worked by the student. In an audit, it is your signature on the Time Sheets, which holds you accountable. Supervisors must be regular / full time University employees.

I agree to meet the expectations set forth in the Agreement to ensure the integrity and effectiveness of the Student Employment Programs at USIU-AFRICA.
