Meeting date: October 17, 2013

Call to order: The meeting was called to order at 7:35 pm the pledges were read.

Clubs not in attendance: Elite Equestrians, Macedonia Pioneers

The minutes from last month were read and approved. Motion- Judi Adams Seconded- Denny Bittaker. Motion Passed.

Mike Hawsman Motioned to table the acceptance of the treasurer’s report until we can talk to Joani about the bills. Mike Farren seconded. Motioned passed.

Extension- (Jackie Kreiger)

  • Volunteer Leadership Program- a five one hour session held before saddle horse meetings. Topics that will be covered: November 21- Committees that Work: Common Traps Creative Solutions December 19- Organizational Finances 101 January 16- Risk Management for 4-H Clubs and Organizations February 20- Parliamentary Procedure

Committee Reports- Chris W.

We still need people to sign up for committees. We need one person for Ad book. One person from each club must be one of the three major committees (Rules, Fair, Open Show) this is something that will be watched. This is how we relay information to kids and it’s very important for advisors to be in attendance.

Fair Committee- (Debbie Hookway & Angie Hawsman)

Have three estimates for stalls:

TGS- $1,079 (65 stalls) 20% discount if the money is in by November 1st. We have used them for many years. $83/stalls $3,595 not including surcharge, won’t know that till installment. No penalty if we go to a lower stall number.

Sunset Valley metal craft- $5,525- wooden stalls, not canvas. $85/stall. No discount.

Jamaica Tent – If we go down to 50 stalls they would be $100/stall.

Jodi motioned to go with TGS Mary Ellen Seconded. Motion Passed.

Denny signed a check, and stalls will be ordered by November 1st.

Stall decorations- Discussion of if there should be a theme for fair stall decoration or not. (Who made motion?) Association voted on having unified theme or not. Motion passed to have a theme for fair stall decorations. At the next saddle horse meeting fair committee will have a theme picked. Any suggestions are still welcomed.

Ad Book- (Carla Kline) Info will be available next month. Prices & pries will stay the same. Three quotes from printers will be brought back- remember the better price is not always the best because of quality. Looking for more members!! The software that is needed to make the “good luck” pages is something that will be in the budget. It is something that we need.

Website- (Dianne Justice for Sara J.) It is going to need renewed soon.

Horse Bowl- (Dianne Justice for Sara J.) None.

Ribbons & Trophies- (Kelly Norville and Sara Justice) None yet. Brad Hillard suggested we talk to our Fair Board about the awards reimbursement that was too late to get last year.

Sunshine Club- (Mary Ellen Lowe) Looking for Andrea Shaffer’s’ address and will be sending a card to a long time storage customer who is very ill.

Fair Board (Mary Ellen Lowe & Denny Bittaker) Fall Festival this Saturday, no charge. Jr. Fair Board is doing this to raise money. Elections will be next month.

Project Award-(Chris Wokojance) None

PAS- (Chris Wokojance) None

Scholarship- (David & Laura Meade) None.

Judges- (Chris Wokojance & Carla Kline) None.

Finance- (Brad Hillard) Next meeting will be in two weeks.

Competitive Trail- (Dee Casteel) State competitive trail is looking for another place because the current place’s maintenance people are moving out of state.

Maintenance & Volunteer Hours - (Denny Bittaker & Mike Farren) The door for west side of barn 10 needs fixed. Work day is Monday October 21st at 4:30. Muscle is needed. Also weed eating is in need of being done so Mike Hawsman can spray with vegetation killer to make it better for next year.

Groom & Clean- (Denny Bittaker) Jr. Team went down and got 6th place out of 17 teams. One of the members it was her first year in 4-H!

Jr. Leaders & Horse Camp- (Rachel Schutte) There is no meeting on Sunday the 20th, it will be rescheduled for November. Sunday June 15- Thursday June 19th will be the dates for Horse Camp.

Rules- (Judi Adams for Sara J.)- all of the rules have been discussed by rules committee. Judi read suggested changes- Please see New Business.

Old Business:

Mary Ellen- Storage. We lost 11 customers, gained six. No one complained about the price increase. 2nd and 3rd of November is when they are moving in.

Jim Nixon- He is working with a company to get wireless headsets. Brad Hillard- do we have a ballpark of a price? Jim does not have prices yet.

New Business:

Lynn- a new horse park designed for desensitize training for your horse in Alliance.

Dee- Caballaros are having a fall festival at the farm $5 for kid and free for parents, indoor activities, hay ride, hay maze, scary hike.

Also having a fun contest show will be on November 2nd.

Carla- Gay Rodeo is having a rodeo the week after fair. All persons are accepted. Volunteers and participants are needed. Kids are welcome.

Debbie- Blue Lakes is having a tack swap on November 3rd 10-2.

Rules DRAFT Discussion Overview:

Carla- F20 #3 allowing juniors to remain intermediate is how the rule used to be because it takes away from the younger kids who want to show at the state level.

F23- In regard to splitting the English- if we don’t have the numbers to make the sport horse division and then we will have the same problem. In stead of splitting them, we let all the classes count, and we choose the top 7 classes.

Carla also suggested moving jumping earlier in the week to take the pressure off of the kids who are in need of points.

Mary Ellen- F8b Rotating trophies- suggested that the rule be in effect starting for 2015.

Angie Hawsman- F8 take out the March meeting.

Debbie Hookway- F20 #3- make our age the same as it is with the state. (13 and under not 14)

G3- Rules Acknowledgement have we signed this form before? Denny Bittaker suggested this should be taken out of fair packet and will be signed before the show season starts to make sure everyone is aware of rules prior to showing.

Brad Hillard- asked how we are going to enforce the persons of all ages wearing a helmet rule at open shows. Others agreed and said they would not want to go up to an adult and tell them they can’t show because they do not have a helmet.

Debbie- Clarification- F18 4- Stall deco why was #4 removed. Mike Hawsman informed us that this is a requirement from fair board. Dianne Justice- SinceI can remember, we decorate for the public by suggestion of fair board.

Brad Hillard- Liked the suggestion of Carla’s for fixing the jumping. Is this a decision that is decided on by us or by fair committee?

Carla- I don’t have an issue with sport horse, I just don’t think we have the numbers and don’t want to see it go back to the way that it was.

Dee- maybe allowing the new division to have fewer numbers because of it being new would take away from the numbers issue.

Judi- the reason Sara purposed this sport horse was to try and find a solution about the jumping. There is no perfect fix.

Dianne- it should be in the judge’s contract what the highest and lowest jump height should be.

Debbie- Maybe instead of games classes being called games, they are called fun classes.
