Meeting Date: March 21, 2013

Call to order: Meeting was called to order at 7:30 pm/Pledges were read

Clubs in attendance: All-Star Equestrians, BC Wranglers, Caballeros, Elite Equestrians, Equestrian Challenge, Equus Excellence, Horse Sense, Jr. Leaders, Lucky Levi’s, Royal Riders, Rough Riders, Saddle Seekers, Showman’s Corner, Trailblazers II

Clubs not in attendance: Knight Riders, Macedonia Pioneers, Mane Attraction, Sky Riders (Note: Show Stoppers no longer a club)

The minutes from last month were read and approved – Motion by Mary Ellen Low, Second by Debbie Hookway

Extension report: Brian no report- Mary Ellen Low talked to Jackie Kreiger, she is doing ok

President’s report: Brian excused Denny Bittaker and Chris Wokojance

Brian was approached by the fairboard that stated that they allow us to keep the storage fees for Barn 10, therefore we help them out financially as well. Normally we pay the fairboard $100 per open show to use the facility, however Fairboard proposed something different.

Fairboard wants to remove the $100 per show fee and replace it with Saddlehorse paying for the gas and electric for the Saddlehorse building as well as Barn 10. These fees would be for each month throughout the year with the exception of July as that is fair month. Brian also indicated that Fairboard pays for judges as well as ribbons and trophies. Discussion was held:

Sara Justice: Asked if the Fairboard pays for awards, why can’t they pay for high point trophies and belt buckles as well?

Mary Ellen Low: Fairboard pays for ribbons and trophies and gets reimbursed by the state

Joani Hedderick: What percentage do they get reimbursed for?

Sara Justice: We should ask Fairboard to pay for belt buckles, PAS signs, and high point trophies

Debbie Hookway: Who reimburses us for the ribbons? Answer: The state fair reimburses county fairs

Jacki Sampsel: What is the dollar amount they reimburse to:

Debbie Hookway: Asked Brian what it is the Fairboard is asking us to approve?

Brian Petroff: Fairboard is asking us to approve paying the gas and electric for Saddlehorse building and Barn 10 and remove the $100 per show fee we pay now

Judy Adams: Asked Brian if Fairboard approached him with this proposal? Brian answer- yes

Carla Kline: Does this benefit us? If so how? The money we pay needs to be designated for a specific cause therefore keeping our building current

Theresa Sondles: If this is approved, the checks need to be written directly to the gas company etc and not made out to Fairboard

Liz Bennett: We need to know how much these bills are a month

Brian Petroff: Suggested if we are going to pay these bills, no one but Saddlehorse can use the Saddlehorse building

Joani Hedderick: We keep giving to Fairboard

Mary Ellen Low: Fairboard keeps giving to Saddlehorse as well

Sara Justice: Someone from Fairboard needs to come to a Saddlehorse meeting and talk to us abou this, we need to get the facts before we vote

Judy Adams: Asked for a flat rate for utility bills previously and said the bills were too high for us to pay. Also, we need to get this proposal in writing from the Fairboard

Cathy McWhirter: There needs to be a separate meter on the buildings if we approve this so we know how much Saddlehorse uses

Carla Kline: Suggested we table this discussion for tonight and revisit it after a representative from Fairboard comes to the next Saddlehorse meeting and explains this proposal better

Brian tabled the discussion and Denny and Chris were brought back to meeting

Ad book- (Carla Kline) – The prizes for ads stops tonight even though there are still more ads coming in. Carla will accept ads until April 5th. Carla encouraged clubs to put ads in book. Carla reported she deposited $1920 in cash already, ad book sales thusfar total $22,590. Carla recognized and thanked the BC Wranglers who sold $4400 in ads as well as Horse Sense who sold $3000 in ads

Fair committee- (Debbie Hookway & Angie Hawsman) – Fair photographer will be Jeff Kirkbride – he will have sign up for individual pictures anyone may want, he is able to print the pictures as they are taken. Debbie got the paint donated for the barrels, they will be primered and ready to be painted on the scheduled work day in April as well as at Horsecamp and Cloverbud camp. Remember dates: Leases are due to extension on April 15th, Shots must given by May 1st and receipts saved, Fair packets are due June 1st, Project changes must be completed by July 1st. Discussion held about keeping horse project book judging on site at the fairgrounds on July 13th.

Horsebowl – (Sara Justice) –The Summit County team will be combining with the Licking County team. Sara is going to start Hippology again and is looking for participants.

Ribbons and Trophies – (Sara/Diane Justice) – nothing to report

Rules Committee – (Sara Justice) – Asked about ordering new letters for Dressage. Letters are $100 for cheaper ones and $300 for better ones. Joani Hedderick suggested waiting to order them until we see if we can get a grant for Hippology materials.

Sunshine committee – (Mary Ellen Low) – nothing to report

Rotating Trophies (Mary Ellen Low) – Sara Justice’s club is offering their Trail Trophy again for 2014. Barnstormers is also donating a rotating Showmanship trophy

Fairboard- (Denny Bittaker/Chris Wokojance/Mary Ellen Lowe) – nothing to report

Maintenance – (Denny Bittaker) – Need to rent a skidsteer to take stored units out of Barn 10 on April 6th and 7th. Sara Justice motioned to rent skidsteer, Theresa Sondles 2nd motion

Project award- (Chris Wokojance) – The Cheryl Edwards project award applications are out and available. Application will also be available on line. Also, PAS forms will be available on line and one per club available tonight. Applications for PAS are due May 1st and June 1st

Scholarships- (Judi Adams) – Asked when applications were sent out? Graduating seniors and post-graduates who are in their last year of 4H and will be or are enrolled in college or post graduate program are eligible for scholarships

Judges- (Judi Adams) – All judges except the 2nd PAS judge are hired, some of the contracts are back

Finance committee- (Michelle Walters) – Discussion was held about rail sponsors. Decision made to charge $150 for a 2 year rail sponsor and $200 for a 3 year rail sponsor. Brian Petroff proposed to raise program fees in order to offset cost of belt buckles. Proposal:

Competitive Trail from $20 to $25 Quailifiers pay own way to State Fair

PAS – Class fees from $5 to $10 Quailifiers pay own way to State Fair

Horsebowl – Each participant to pay entry fee Qualifiers pay own way to State Fair

Groom and Clean – Each participant to pay entry fee – Qualifiers pay own way to State Fair

Dressage Show - $40 to enter event

Motion to accept fee increase proposal Judi Adams, 2nd by Sara Justice

Judi Adams presented belt buckle prices from Discount Stable and Clippity Clop

Buckles ranged in price from $33.75 to $81.00

Open show- (Joani Hedderick) – The showbill is done for open shows. The committee will meet to assign jobs at next month’s committee meeting

Competitive Trail- (Dee Casteel) – In contact with the National Park to see if the ride can be held there. The Trail rides will take place on July 7th and/or August 17th

Maintenance- (Denny Bittaker) – Stall set up and grounds clean up day April 20th at 10:00 am. There will be plenty of work to go around, volunteers must sign in to get credit for being there. Discussion was held about the pond in front of the Saddlehorse building. Denny said it was top on his list of things to fix

Volunteer Hours- (Mike Farren) – nothing to report

Groom and Clean- (Denny Bittaker) – nothing to report
