POST: Payroll Officer

SERVICE AREA:Human Resources

JOB PURPOSE:To process and administer all payroll, pensions, expenses and benefits information for the Calico Group of companies to ensure legal compliance and accurate pay and deductions

KEY DUTIES AND RESPONSIBILITIES:

  1. To ensure accurate and timely processing of all payroll and pensions information in accordance with payroll procedures and policies to ensure that all employees are paid correctly including timesheets, expenses and benefits, and deductions.
  1. To comply with payroll checking and audit requirements and ensure payroll policies and procedures are kept up to date.
  1. To record and monitor sickness absence using the HR and Payroll system, provide accurate information to managers and ensure statutory and occupation sickness is processed in line with legislation and company procedures and policies. To ensure accurate calculations including half pay for sickness and retrospective adjustments for leavers
  1. To implement and administer complex pension arrangements accurately and timely including auto enrolment, pension spread sheet uploads, data queries, APP and absence calculations. To ensure accurate provision of information and submission for new joiners, leavers, ill health and retirements. To carry out monthly reconciliations of contributions and payments to each pension company.
  1. Maintain and complete reward and recognition spreadsheet and other expenses and benefits in association with P11D, P46(car), PSA and Payrolling of benefits.
  1. To input staff changes on the Payroll and HR system Cascade including setting up new starters, entering leavers, changing hours, working patterns, job roles, hierarchy, pay and contractual entitlements including sickness, maternity and holiday pay schemes.
  1. To deal with all administrative arrangements associated with staff leaving the company including redundancy, PILON and leave pay.
  1. To prepare and issue leave cards for new companies and TUPE staff.
  1. Administer annual internal audit for payroll and assist with external auditors and HMRC compliance audits. To ensure all month end and year end tasks are completed including issuing pay-slips, P45’s and P60’s.
  1. Responsible for accurate and timely provision of data/information to external bodies and government departments including RTI submissions, CSA and court order payments and P32 reconciliation with government gateway entries.
  1. To ensure accurate and timely processing of payroll and pensions invoices for the accounts and finance team with appropriate backup information for sign off by the Pay and Benefits Manager.
  1. To deal with the accurate implementation of TUPE employees and their contractual terms, conditions and pay information in a timely manner.
  1. To recover overpayments of salary and holidays in accordance with legislation and company policies and procedures.
  1. To be proactively involved in the creation and improvement of new screens and processes within the payroll and hr software.
  1. To provide support, assistance and technical advice to the Human Resources Business Partners and the HR Support Services Team Leader and other areas as required.
  1. To work in partnership with the Human Resources Department to ensure all duties of the section are covered during peaks and troughs of workload and holiday cover.
  1. To provide guidance and support to employees on Payroll and PensionsAdministration issues and deal with queries via telephone, email and in writing.
  1. To be proactively involved in the work of a Corporate Group, in order to make an effective contribution to the successful achievement of the group’s aims and objectives.
  1. To carry out any other duties appropriate to this post, as necessary or asrequested.
