Preparation for and dealing with an incident/accident/evacuation – Guidelines for Coaches, Captains, Managers and Volunteers
Preparation
Before the session starts:-
- Ensure that you have a working phone and the team First Aid Kit with you.
- Have a copy of the membership list giving emergency contact phone numbers. Check that they are correct for that day.
- Check the condition of the pitch and means of vehicle access.
Dealing with an Incident/Injury
- Stay calm but act swiftly.
- Treat minor injuries at the pitch using the team first aid kit.
- In the event of an injury requiring specialist treatment, call the emergency services.
- Do not move someone with major injuries unless they are in serious danger of further injury. Wait for the emergency services.
Senior Members
- All injuries must be recorded on a club accident report form and for those listed below reported to emergency contact as appropriate.
- Injuries which prevent a person taking any further part in the activity
- Injuries which result in hospital treatment
- All head injuries/incidents.
- Where hospital treatment is required the following procedure must be followed
- The emergency contact must be notified immediately and provided with details of the Hospital the injured person has been taken to.
Junior Members
- All injuries must be recorded on a club accident report form and for those listed below reported to the parents.
- Injuries which prevent a person taking any further part in the activity
- Injuries which result in hospital treatment
- All head injuries/incidents.
- Where hospital treatment is required the following procedure must be followed
- A member of the coaching team or responsible adult must accompany the injured child to the hospital.
- The parents/emergency contact must be notified immediately and provided with details of the Hospital the child has been taken to. If the telephone number is not readily available contact the Club Welfare Officer, Ken Buckley 01527 879703.Hospitals can only treat children under the age of 14 if a parent/guardian is present to give permission or a ‘Parental Consent Form’ is produced.
If it necessary to evacuate the pitch, proceed to the facility assembly point and ensure that the group is adequately supervised
Information for BHC officers
Head injuries/incidents can result in a delayed reaction. Parents should be advised that they should monitor their child’s condition for at least 24 hours. If they have any concerns they should contact the hospital, their GP or NHS Direct - Tel 0845 4647.
Even a minor head injury/incident can develop symptoms which include
- Nausea
- Headaches
- Dizziness
- Vision problems (eg. double vision)
- Memory problems
- Extreme tiredness
- Anxiety and depression

- Leave the area in an orderly fashion and proceed to the assembly point.
- The assembly point is the overflow car park at the top of the bank overlooking the pitch.
- Leave the area in an orderly fashion and proceed to the assembly point.
- The assembly point is the grass area alongside the netball courts.
- Leave the area in an orderly fashion and proceed to the assembly point.
- The assembly point is the top of the bank outside the clubhouse overlooking the pitch.
Dependant upon the situation and weather conditions the person in charge of the activity may move people to the school sports centre. / Dependant upon the situation and weather conditions the person in charge of the activity may move people to the sheltered area outside the swimming bath. / Dependant upon the situation and weather conditions the person in charge of the activity may move people into the clubhouse.
In all cases
- Take a roll call to ensure all individuals are accounted for.
- Call emergency contacts to advise them of situation.
- No young person is to leave until permission given by or collected by parent.
- The person in charge of the activity will wait with the young people, wherever possible with other staff/volunteers/parents, until all have been collected.
