LODGE AGREEMENT

The Bishops Court lodge is available for use by all homeowners, tenants and their guests year round. The following are guidelines and policies for its use:

  1. The lodge may be reserved by request to the Management company at 486-6000, at least two (2) weeks in advance of the estimated arrival date.
  1. Only members whose Association dues are in good standing will be approved to use the lodge.
  1. Upon approval, a walkthrough of the lodge will be scheduled prior to use, at which time a key will be issued. The Lodge Agreement form must be received by the Management office prior to your guest’s arrival.
  1. The maximum number of people allowed in the suite will not exceed four (4). For social events held downstairs, the maximum number of people allowed will not exceed fifteen (15).
  1. Any activity which would result in an increase in insurance rates or liability to the Association shall not be permitted.
  1. No social activity shall be permitted in the facility after 9:00PM, so as not to infringe upon the “quiet enjoyment” rights of the community. Loud noises that will distract other residents will not be permitted.
  1. Check in time will be 2:00PM; check out time will be 11:00AM. The nightly rate to rent the lodge is $15.00 per night, not to exceed a stay of six (6) nights, seven (7) days. The key must be left on the counter at the front door on the day of departure.
  1. Any liability and/or damages exceeding the amount of the deposit shall be the responsibility of the sponsoring homeowner.
  1. In the event of an emergency, The Select Group, Inc. (757-486-6000), or a member of the Board may be contacted. The Select Group maintains a 24 hour system that will page the Emergency On-call Manager.
  1. The Association is not to be held liable for any injuries, or lost/stolen items during a guest’s or homeowner’s stay at the Bishops Court Lodge, or during any event in which the Lodge is reserved.

BISHOPS COURT LODGE & POOL UTILIZATION PLAN

The Bishops Court Lodge and swimming pool are provided as amenities to home ownership at Bishops Court. They are jointly owned by all Homeowners within the community and may be used for community activities, as well as for social events and other private functions sponsored by individual Bishops Court Homeowners.

LODGE SECURITY

Each household within Bishops Court is provided with a key to the Lodge that opens the side and backdoors of the building.

LODGE MAINTENANCE

Either a member of the Board or The Select Group arranges routine maintenance of the Lodge as well as cleaning services to clean the entire premises on a monthly basis (more often if necessary) during the summer when the swimming pool is open, and quarterly during the remainder of the year. In addition, sponsoring Homeowners will be responsible for providing cleaning services following private social events and overnight guest stays.

BISHOPS COURT MEETINGS & GROUP SOCIALS

There is no charge for use of the Lodge when it is used for meetings of the Bishops Court Board of Directors or its committees. The Chair of each Bishops Court group that meets in the Lodge will be responsible for ensuring that the building is left in acceptable condition, that trash is removed, and check the heating and air conditioning system thermostat.

There is no charge for use of the premises when used for social events open to all Bishops Court residents. Responsibility for leaving the premises in acceptable condition, and removing trash will rest with the sponsoring Homeowners (in the case of the social gatherings) and with the organizers of any other community social event.

PRIVATE USE BY HOMEOWNERS

Social Use:

The Lodge and pool may be reserved in advance (on a first come first serve basis, that is whoever signs up first has the Lodge reserved) by Homeowners for private social events such as parties, showers, family reunions, etc., by notifying The Select Group office.

Neither the Lodge nor the pool may be reserved for social events on Saturdays, Sundays or holidays. These days are specifically set aside for general use by the Homeowners. Although the pool may be used in conjunction with a reserved social event held at the Lodge, the pool itself cannot be reserved before 6:00PM on any day. These are the posted Homeowner use hours and cannot be restricted during these hours. The sponsoring Homeowner will pay a cost recovery fee of $20 for each such private use.

By reserving the facility, the sponsoring Homeowner accepts:

Full responsibility for the safety and conduct of all guests, to specifically include noise control.

Social activities after 9:00PM are strictly prohibited.

Full responsibility for any damages that may occur to the property.

The removal of trash from the premises and securing the building following the event.

Sleeping Facilities:

The second floor area will be furnished for use by Homeowners as an overflow sleeping facility for their house guests. Sleeping facilities may be reserved by calling The Select Group. A key to the front door and the walking gate will be provided to the sponsoring Homeowner for use by their guests during their stay. To further ensure privacy for overnight guests, the Homeowner should bolt the hall door leading into the downstairs area of the Lodge during their visit. A cost recovery fee of $15.00 per day will apply for use of the sleeping facility.

Rules for use of the sleeping facilities will be posted on the second floor of the Lodge. To reduce the likelihood of fire, such rules will prohibit cooking in the kitchen and smoking in the Lodge. The Homeowner will address the thermostat setting and the removal of trash from the premises.

In addition to the responsibilities listed above under “Social Use,” when sleeping facilities are utilized, the sponsoring Homeowner agrees to:

Provide all necessary provisions, to includebed and bathroom linens and towels, in preparation for his/her visitor. NOTE: Bed size in the suite is a standard queen.

Check the refrigerator for food items that may have been left behind and clean the inside of the refrigerator if needed.

Meetings of Outside Groups:

On occasion, a Homeowner may wish to use the Lodge for meetings of outside groups, such as boards or committees of civic or charitable organizations. The Board will review and approve such meetings on a case by case basis. There will be no charge for use by such groups, provided they consist of 10 or fewer individuals and no food is served. If the group exceeds 10 in number, or if food is served, a cost recovery fee of $50.00 will apply.

The Homeowner who sponsors such a meeting must agree to accept all of the responsibilities listed under “Social Use.”

Swimming Pool Area:

Rules for use of the swimming pool are posted in the pool area and include minimum age limits without adult supervision, general safety regulations, and specifies that pets, glass beverage containers, etc. are prohibited. During posted hours the pool cannot be reserved. Neither may the pool be reserved any time on Saturdays, Sundays or holidays. There is no charge for the unreserved use of the pool by their household members and guests. There will be no lifeguard on duty, so individual Homeowners are fully responsible for the safety and conduct of their family and guests when they are using the pool.

The pool area may be reserved for use in conjunction with private parties by calling The Select Group. A cost recovery fee of $50.00 will apply, and the sponsoring Homeowner must agree to accept all of the responsibilities listed above under “Social Use.” In addition, a sign reading “Private Party” will be provided to the sponsoring Homeowner which can be posted after 6:00PM on the gate to the pool area.

Restrictions on Use of Lodge and Pool:

Neither the Lodge nor the Pool are to be used in any commercial activity or for the meeting of any organizational group engaged in any activity for profit.

Smoking is not allowed inside the lodge building.

No pets are allowed on the Lodge property.

As a safety measure for residents as well as guests, the following rules should be observed when using the pool:

No bottles, beverage glasses, or other glass containers may be taken into the pool area.

A responsible adult must accompany children under the age of 16.

Running and roughhousing is not permitted.

Diving is strictly prohibited.

No loud music or similar disturbances are allowed.

Acoustical or loud music is prohibited.

All social activities shall cease by 9:00PM.

TO OUR OVERNIGHT GUEST

Welcome to Bishops Court! We hope you will enjoy your visit and will want to return soon. The following guidelines have been developed to ensure your safety and comfort during your stay. Please take the time to read them carefully and review them with family members who may accompany you:

The Sponsoring Homeowner has provided you with a key to the front door of the Lodge and to the walking gate, as well as bed and bathroom linens and towels for your use.

Please keep the door between the foyer and the other downstairs areas locked during your visit. You should enter and exit the building only through the front door. This will help to ensure your privacy and the security of your belongings and will leave the downstairs area available for use by our residents.

The Lodge has been designated a non-smoking facility. Please be considerate of your hosts and other guests by refraining from smoking inside the building.

Pets are not allowed in the Lodge or around the swimming pool.

To reduce the likelihood of fire, our guests are asked not to use the kitchen range or oven. You are welcome to use the microwave oven, the coffee maker, and the refrigerator during your visit. Please check to make sure the coffee maker is unplugged when it is not in use.

Telephones in the lodge are intended for emergency use only. Long distance calls cannot be placed from them, and our Homeowners Association is billed on a per-call basis for all local calls.

In the event of an emergency requiring assistance of the fire department, police department, or emergency medical team, immediately call 911 and give the operator the address of the Lodge—4037 Upper Bishops Court, Virginia Beach. After placing the call for emergency help, contact your host family at once so arrangements can be made to open the front gate for the emergency team.

Feel free to enjoy our swimming pool during your visit. It is available for your use at any time unless a “Private Party” sign is displayed. No lifeguard is on duty, so please supervise your children closely whenever you are in or near the pool.

For your safety and the safety of others, please observe the following rules when using the pool:
