Job Title: Accounts Administrator - Payments

Reporting to: Finance Officer

Direct reports: None

Based at: BibleLands’ Buckinghamshire UK Office

Post Grade: New bands under review, likely starting salary

£10,826.40 (£17,962 pro-rata)

Job purpose:

To assist in the day to day management of BibleLands’ financial and administrative activities.

The Major Responsibilities of the Finance Team are as follows:

1.  Managing BibleLands financial resources.

2.  Developing and delivering financial and administrative policies which are consistent with the strategic vision and direction of BibleLands.

3.  Managing and safeguarding the organisation’s assets and providing financial management information to maintain budgetary control.

4.  Providing and developing effective information systems.

The post of Accounts Administrator – Payments contributes to the fulfilment of these responsibilities by carrying out the following key tasks:

1.  Managing the financial resources.

a)  Ensuring Financial Control policies and procedures are adhered to when

a.  Processing Purchase Orders

b.  Posting invoices and other payable vouchers and processing payments to the accounting system

c.  Posting adjustments and other vouchers to the accounting system

b)  Administering Purchase ledgers

c)  Posting non purchase ledger payments to the nominal ledger

d)  Preparing online banking, cheques and cash payments

e)  Administering the fulfilment company relationship with the Trading Company

a.  Monitoring weekly reports from the company

b.  Checking to monthly invoices from the company and following up on queries

c.  Posting details to ledgers in accordance with procedures

d.  Liaise with the Accounts Administrator Revenues regarding Alternative gifts and charity Donations received through the fulfilment company

f)  Maintaining Petty Cash impress funds

g)  Assisting with bank reconciliations

h)  To assist in the preparation of periodic financial statements and year end accounts:

a.  Liaising with UK and overseas auditors

b.  Producing account exhibits and summaries as required

2. Developing and delivering a financial and administrative policies.

a)  Assisting in producing and implementing policies and procedures as required.

b)  Monitoring and evaluating activities on a regular basis against agreed procedures.

c)  Assisting in the development of budgets and monitoring actual results against them

3. Assisting in managing and safeguarding the organisation’s assets maintaining budgetary control.

a)  Preparing regular financial reports as required by Senior Managers

b)  Acting as back up and deputy for the Accounts Administrator Revenues

4. To assist in the provision of effective information systems.

a)  Assist in the maintenance and integrity of the accounting systems and any reports and spreadsheets derived from or for import into those systems.
