The Receptionist/Administrative Assistant will report directly to theGeneral Manager, Winnipeg and performs both reception and administrative duties. This position may involve dealing with confidential and private information and as such absolute discretion is required.

Responsibilities:

  • Greet guests, suppliers and tenants at the front reception area.
  • Answer telephone enquiries. Provide information and refer callers to other appropriate individuals, if matters can be responded to elsewhere.
  • Distribute mail and organize couriers as required.
  • Coordinate logistics for meetings by booking rooms, reserving audio-visual equipment; ensuring refreshments are ordered, etc.
  • Develop and maintain positive working relationships with employees and tenants.
  • Assisting with parking inquiries, contract set up, and monthly corporate invoices.
  • Provide general administrative support for all Bentall Kennedy staff in all areas such as: opening mail, opening files, filing, file retrieval, typing memos, faxing, photocopying, scanning, drafting correspondence as required, etc.
  • Code of invoices, expense reports, corporate credit card expenses, and cheque requisitions.
  • Assist with monthly rent reconciliation reports, tenant insurance certificates, vendor management and tenant contact lists.
  • Maintaining office, kitchen & photocopier room supplies and office equipment (photocopiers, printers, fax machines and cellular phones).
  • Ensure proper coverage of reception during breaks.
  • Prepare and distribute Quarterly Newsletters to building tenants.
  • Embrace and proactively support Bentall Kennedy's culture of environmental responsibility and social responsibility.
  • Other duties as may be assigned

Qualifications:

  • 1 - 2 years related office experience.
  • Post-secondary business education preferred.
  • Strong interpersonal skills and the ability to develop and sustain cooperative working relationships and conduct activities with a professional presence.
  • Highly reliable, organized and detail oriented.
  • Relationship Skills - Ability to communicate effectively, both oral and written; ability to develop and sustain cooperative working relationships; confidentiality and absolute discretion is required.
  • Organizational/Multi-Task Skills - Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; detail oriented.
  • Computer Skills – Strong skills in Excel, Word and Internet/E-mail programs; minimum typing speed of 40 WPM.
