JOB DESCRIPTION

Job Title: Administrator

Salary: £15,794

Hours: 30hrs per week (Monday – Friday, may include some evening and weekend work)

Annual Leave 25 days annual leave plus 11 statutory days

Location: 218-226 Falls Road, Belfast, BT12 6AH

Contract: Fixed term to November 2018 subject to funding

Responsible to: West Belfast Partnership Board (WBPB)

Reports to: Belfast West SIF Numeracy & Literacy Project Coordinator

Job Purpose:

The Belfast West SIF Numeracy & Literacy Project Administrator will be central to Belfast West SIF Education structure and the post will primarily involve: administrative support to the SIF Numeracy & Literacy Project Coordinator and associated staff, provision of secretariat services to the Belfast West SIF Project and various committees; maintenance of administration support systems for the SIF Numeracy & Literacy Project Coordinator to ensure the successful delivery of the Belfast West SIF Numeracy & Literacy programme of work.

Key Tasks:

·  To act as administrator and provide administrative support to the SIF Numeracy & Literacy Project Coordinator.

·  To arrange meetings, circulate agendas and papers; take minutes and prepare a follow up action list; coordinate diary appointments.

·  To collate Belfast West SIF Numeracy & Literacy Project papers and distribute in advance of meetings – liaising with the Project Coordinator.

·  To assist associated staff with creating and maintaining a Personal Record File for each participant.

·  To maintain up to date and accurate filing systems and databases.

·  To ensure that documentation and computer records relating to individuals are securely stored

·  To ensure that all participant files, and administration records are maintained, sufficient and accurate in order to meet contract requirements

·  To deal with routine correspondence and enquires in an appropriate manner.

·  To organise and/ or provide administration support to the relevant associated stakeholder groups.

·  To assist with the preparation and distribution of: - letters, photocopying and to assist with filing.

·  To liaise with the Project Coordinator in order to assist in the delivery of the Belfast West SIF Numeracy & Literacy Project.

·  To participate in meetings and supervision

·  To comply with West Belfast Partnership Board’s policies and procedures.

·  Any other duties as required to support the needs of the post and WBPB.

Person Specification

Essential Criteria

1.  Stage II typing or word processing, NVQ Level 2 in Business Administration or equivalent.

AND

2 years’ experience providing administrative support in a busy office environment

2.  English and Maths to GCSE level or equivalent level at Grades A*-C

3.  Demonstrable experience of competently using a full range of Microsoft Office programmes (Word, Excel, Access, Powerpoint, Publisher, Outlook).

4.  Demonstrable experience of maintaining comprehensive databases.

5.  Demonstrable experience of working independently and using initiative to deal with complex issues.

6.  Demonstrable experience of co-ordinating meetings and minute taking.

7.  Demonstrable evidence of good oral and written communication skills.

8.  Excellent organisational and administration skills.

9.  Ability to work effectively as part of a team.

10.  Flexible approach to working hours, including some unsocial hours to meet the requirements of the post.

Desirable

1.  Experience of working in an education environment

2.  Experience of working within a community or voluntary or similar type organisation
