Responsibilities of Instructors

All Instructors are required to read this manual and be prepared for accidents, injuries, or similar problems which may occur during training. While each student assumes some risk when training in martial arts, the Instructor should be prepared to help and direct resources in the event of an emergency. The students’ safety is of paramount importance at all times.

All Instructors are required to fill out an Incident Report for any injury, damage, or accident which occurs while they are running a class.

All Instructors are required to read this manual on a yearly basis.

All Instructors are required to read the emergency preparedness plans at on a yearly basis.

Instructors involved in teaching on UGA (e.g. in the Tate Center), should alert Tate staff in the event of an injury or problem and should follow all procedures as stated by the Tate staff.

Instructors are responsible for providing students with a weapons authorization letter and confirming that the student has the letter on their person before engaging in weapons training at the Tate center.

Head Instructor

-The HI is the individual who takes responsibility for running the school. There is one HI at Athens Yoshukai.

-The HI is responsible for organizing practice space, submitting paperwork to WYKKO, scheduling tests, promoting under-blackbelt students, marketing the school, providing equipment to students, and providing leadership to the other instructors.

Ranking Student

-The RS is the highest ranked student who is not the Head Instructor. There is one RS at Athens Yoshukai.

-The RS is responsible for teaching material to the high ranked students in the school

-The RS is responsible for ensuring purity of all material taught throughout the school, and that techniques are being performed according to WYKKO standards

Senior Instructor

-The SI is appointed by the Head Instructor. The SI should be a high-ranking student with excellent attendance, leadership abilities, teaching experience, and knowledge of the art. There is one SI at Athens Yoshukai.

-The SI is expected to maintain excellent attendance (at least 2 classes/week). In the event that the SI has a shortfall of attendance for a month or more without prior notification to the HI, they may be summarily placed on leave and/or replaced as SI.

-The SI is responsible for administering the school in the HI’s absence. This may include all of the duties of the HI, at the discretion of the HI.

-The SI is responsible for ensuring good communication between the HI and Instructors and AIs.

Instructor

-Instructors are appointed by the Head Instructor. The Instructor should be a blackbelt ranked student with excellent attendance, leadership abilities, teaching experience, and knowledge of the art. There may be multiple Instructors.

-Instructors are responsible for primarily teaching at least one class a week. If they cannot attend that class, they must arrange a substitute.

-Instructors should attend at least 2 classes a month which are not their own class.

-Instructors who do not arrange substitutes or attend sufficient class within a month may be summarily placed on leave and/or replaced as Instructor.

-Instructors are responsible for supervising their designated class. This includes teaching required material in an appropriate fashion to students, notifying the HI or SI of student problems or excellence, and notifying the HI or SI if a student who attends only the Instructor’s class is prepared for promotion.

Assistant Instructor

-AIs are appointed by the Head Instructor. The AI should be a high-ranking student with excellent attendance and demonstrated interest in teaching. There may be multiple AIs.

-The AI is expected to maintain excellent attendance (at least 2 classes/week). In the event that the AI has a shortfall of attendance for a month or more without prior notification to the HI or SI, they may be summarily placed on leave and/or replaced as AI.

-AIs are responsible for assisting Instructors during class in training other students. They may be called on to open the dojo and run class in the absence of an Instructor.

Class Coverage Responsibilities

The Head Instructor and Instructors are responsible for making sure that there is an appropriate plan in place for every class on the schedule for the dojo.

In the event the Head Instructor or Instructor usually responsible for a class is unexpectedly absent from that class:

-The highest-ranked student bows in class

-The highest-ranked instructional staff then runs class. If no instructional staff is

present, the highest-ranked student runs class.

*These events should be very rare, and the Head Instructor or Instructor should

take every step possible to make sure there is an appropriate rank student

present and that the dojo doors will be unlocked.

In the event the Head Instructor or Instructor usually responsible for a class has a known absence from that class (trip, etc.):

-The responsible party should arrange a substitute for the class, ideally by an

instructional staff member. A lesson plan may need to be provided.

-The substitute then becomes responsible for the class, and should provide

coverage as described herein.

Regardless of who is responsible, if a class is not covered by the appropriate responsible party, the Head Instructor must be notified as soon as possible.

Accident/Injury

If an injury occurs:

1)Immediately stop all class activity and have the student sit or lay down.

2)If life threatening, immediately call 911

3)If not life threatening, or after calling 911, begin first aid interventions, which include (but are not limited to):

  1. Bleeding: Apply direct pressure
  2. Soft tissue/orthopedic trauma: Stabilize and apply ice
  3. Fainting/Shock: Lay student down and elevate legs

4)If necessary, transport the student to an emergency room for evaluation

5)When in doubt, contact ambulance service and recommend the student seek medical care ASAP.

6)Fill out an Incident Report. Make sure all parties contribute to what occurred.

7)If the injury is minor, have another student continue to run class for the other students.

8)If the injury is major or catastrophic, cancel class after handling the situation.

A first aid kit is located in the ballroom next to the fire extinguisher.

Once the student is stabilized or handed over to medical authorities, alert the Head Instructor.

Complete an Incident Report.

Fire

If you see a fire, smell smoke, or hear the fire alarm sound, warn everyone within hearing that there is a fire and have them evacuate immediately.

If you witness a fire start and it is relatively small (you can stand within 6’ of it), and you have a clear path of egress, and you feel it is safe to do so, you can use the fire extinguisher.

Extinguishers are located in the dojo, ballroom, kitchen, and each bedroom (n=7).

If the fire is large or cannot be contained, evacuate all individuals within the house. Be aware that people may be in the dojo, ballroom, or in their bedrooms. If possible and safe, make sure to alert everyone. Assist with evacuation, if necessary.

Make all students assemble at the mail box. Do a head count of all students to make sure they are present.

Once out of the house, call 911. If a student is missing, notify authorities when you call and tell them where the student was last seen.

DO NOT try to take equipment, personal items, or anything else if you are evacuating. Tell students to leave all materials and evacuate immediately.

The dojo can be exited through the door or any of the windows.

The ballroom can be exited through the door, the window, or up the stairs.

The living room can be exited through the front door or rear door.

Each bedroom can be exited through the door or window.

The kitchen can be exited through the archway or through the large window facing onto the deck.

Review the information at on a yearly basis.

Notify the Head Instructor once everyone is safe and authorities have been contacted.

Complete an Incident Report.

Other Disaster

First, make sure that all students are safe. Alert anyone in the house that a disaster has occurred.

Next, evacuate the area. Assemble by the mail box and count students to make sure all got out.

Call 911. If a student is missing, notify them when you make the call.

DO NOT try to take equipment, personal items, or anything else if you are evacuating. Tell students to leave all materials and evacuate immediately.

If there is a Tornado Watch or Warning, do not hold class. If the Watch or Warning occurs during class, move all students to the far basement room (with the wood shelving) and wait until an all-clear has been issued.

In the event of a blackout, gather all students together. Make sure all students are present, then cancel class and send all students home. Do not use candles for lighting.

In all cases, once clear of the event, contact the Head Instructor.
