Minutes of CAWA Council Meeting held on Sunday, 6th April 2008

at Legacy House, 64 Mill Point Road, SouthPerth after the Special General Meeting

3. Minutes of the Council Meeting of 3 February 2008: moved Gaynor Wood, seconded Dennis

4. Business Arising from Minutes of 3 February 2008

-Property Officer

Discuss further at the next meeting.

Haydn Barber has prepared a list of trophies.

5. Confirmation of decisions made since 3 February 2008

Motion: That the CAWA Council approve the following decisions made since the CAWA Council

Meeting of February 3rd 2008:

a) The appointment of Dr Paddy Ramanathan as a CAWA Councillor

b) The appointment of Dr Paddy Ramanathan as the CAWA Marketing Officer

c) The decision to treat Paddy’s donation to WA Junior Championships as a guarantee only

d) The decision to cancel the CAWA Business Insurance Policy

e) Voting on ACF Email Motions:

- Voted to accept SACA’s application to run 2009 Australian Junior

- Voted to appoint IM David Smerdon to ACF Selection Panel

- Voted to appoint Ian Murray as Olympiad Appeal Coordinator

- Voted to support Selection Coordinator re Adrianne Caoili needing to play

20 rated games before end of June to be eligible for Olympiad Selection

- Voted in favour of following motion re 2009 Australian Open bid by Brian Jones:

Council resolves that:

1. Brian Jones be informed that we need a bid from him for the Australian Open

championship 2009 in accordance with the ACF By-laws to be made by him within

21 days of his being informed.

2. Brian be informed that, if there are any by-laws which he cannot, or does not wish to,

comply, he should say so, and why, as well as giving an alternative.

3. If Brian does not want to do this, or does not respond within the 21 day limit, a call for

bids be made forthwith to close on 30 June 2008.

f) The decision to add the Fischer Memorial to the CAWA Calendar

g) The decision to choose the Mt Lawley Senior High School as the venue for the WA Junior Chess

Championships. Moved Haydn Barber, seconded Mike McGregor, motion carried.

h) The decision to initiate printing of 5,000 self-carbonating score sheets.Gaynor Wood to send thank

you letter in writing.

i) The deduction of the DOP fee from the entry fees for Senior GP tournaments.

j) 03/01/08 Hayden Barbers email to councillors.

Noted: Andrew Hardegens refusal to apologise to the Choong family.

Motion: That Andrew Hardegen be removed from the positions of CAWA Tournament Coordinator and CAWA Junior Ratings Officer.

It was noted that further discussion was needed regarding Andrew Hardegens position on the council.

k)06/01/08 Haydn Barbers email to councillors.

Motion 1: That Andrew Hardegen be removed That Andrew Hardegen be removed from the positions of CAWA Tournament Coordinator and CAWA Junior Ratings Officer.

Motion 2: That all necessary steps be taken to remove Andrew Hardegen from the position of CAWA Council member.

Councillors were called to email their vote on the motions.

Results of voting

Motion 1 passed, 6 votes in favour, 1 against and 2 abstaining.

Motion 2 passed, 6 votes in favour, 1 against and 2 abstaining.

Haydn Barber to make Andrew Hardegen aware of the motions outcome and try and convince him to resign. If he doesn’t resign a Special General Meeting will need to be called. Once Andrew Hardegen has been notified Haydn would contact the Choong family.

6. Special General Meeting Report

Gaynor Wood to notify both parties in writing. Both motions passed.

7. Treasurer's Report

- Report on current position: 12,063.13

- Audit: Completed to June 2007

- ACF account: Motion to pay ACF outstandings of 2,133.50, Moved Haydn Barber, seconded

Natalie Thomas, motion carried.

- New system: Software/MYOB, Natalie Thomas entering data.

- CAWA Budget 2008: Carried forward to the next meeting. Account separation to be changed.

- Current status – 94 Junior Members, 45 Senior Members

11. Marketing Officer’s Report

- Marketing Dossier – needs to be prepared.

12. Tournament Coordinator's Report

- Kingsley Open – 32 players

- Gufeld Cup – 24 players

- Masters Games

- South West Open – May 17th & 18th

- Foundation Day Tournament – Upgraded to Class 4 by sponsorship of Australian Chess Enterprises

- Perth Open – 21 & 22nd June

- WA Championships – 1st July, guidelines need to be prepared. Haydn to survey Council members by

email

- Transplant Games – 6th of October, Forrest PlacePerth.

- Trophies – asked to be returned.

Motion: That the WA Womans Champion Trophy be dedicated to Mary Thomson, moved by

Haydn Barber, seconded by Natalie Thomas, motion carried.

- 2008 Calendar – is now basically complete.

- 2009 Calendar – Preparing now, planning to present to AGM.

13. Junior Tournament Coordinator’s Report

- HaleSchool JGP Tournament – 61 players

- Easter Junior JGP Tournament – 56 players

- WA Junior Championships – Mt Lawley S.H.S, Chris Thurtel to organise lunches.

- WA Junior Allegro Championships – discuss at the next meeting.

- SecondarySchoolInterschool – Motion: That Greg Hine be made Secondary School

Coordinator. Moved by Haydn Barber, seconded by Paddy Ramanathan. Motion carried.

- PrimarySchoolInterschool – Don Smith

- WA Junior Lightning Championships

14. Junior Chess

- Junior Training Squads – Check for Working With Children clearances, reports from coaches,

costs?

- Possible visit by GM Darryl Johansen – Motion: That we offer Darryl Johansen $2,000 + 50% of

any other money raised, to spend a week or so in Perth, coaching and promoting Chess. Moved:

Gaynor ?, Seconded: ? , motion passed.

- Junior Ratings Officer – Motion: That Dennis Holland be made the Junior Ratings Officer, and that

we adopt the USCF Rating System. Moved: Haydn Barber, seconded Jack South, motion carried.

- 2009 Australian Schools Championships - Adelaide

- 2009 Australian Junior Championships - Adelaide

- Selection of WA Team for 2009 Nationals – To be decided after State Junior Championships.

- DOP Fees - Motion: That the DOPs for Junior GP events be paid $100 each. Moved ?, seconded ?,

motion carried.

Motion: That the DOPs for the WA Junior be paid a total of $500, to be divided amongst them as

they see fit. Moved: Paddy, seconded: Mike, motion carried.

15. Harris/Edwardes Trophy Coordinator’s Report

There was a brief report from Gordon, in which he said that entries were down and each grade may

end up being a single match between two clubs.

16. CAWA Newsletter

- Production - The deadline for the next Newsletter is the end of May.

- Distribution - ?

17. ACF Items

- Olympiad Appeal - Olympiad Appeal – Mike reported that he had included a notice regarding the

Olympiad Appeal with a link to the Appeal Website.

- ACF Council Meeting – Haydn reported that there was a forthcoming ACF Council Meeting on

April 14th, to be held by telephone conference.

- Hosting future Australian Championships in Perth – discuss at the next meeting.

18. DSR Items

- Outstanding documentation – Haydn reported that some documentation was handed over by Jay

Lakner, but much remains to be done.

- Invite to breakfast on April 16th – Haydn Barber to attend

- Invite to WASF AGM on April 22nd - open invitation for a member of Council to attend.

19. General Business

-Next meeting - The next Council Meeting will be held on May 24th, potentially at a South Perth restaurant for a cost of $60. Paddy is to investigate and confirm this arrangement.
