CNSF Board Meeting

June 1, 2015

Colts Neck Court House

At 8pm President Jeff Sponder called the meeting to order.

Absent members, John , Rob, Eric, Michael, Brian, Thomas

David Bertone presented Concussion Care. He offers base line testing, for kids 10 and up used by Freehold, Manalapan and RBC. The base line provides a history in concussions for diagnosis that he provides the doctor. The cost of the program is $29.99 good for one year. He provides support and educational programs, Concussion protocol for the local community. Test 30 kids an hour.

The board is interested in offering the service at the Opening Day of Soccer September 12th for all sports. We will invite Football as well. Damon will check to see if the community center is available for testing and other safety issues. Star will notify David of our target date.

The Minutes were reviewed and minutes were passed unanimously.

Finance

Anthony confirmed we are being audited for a three year period. Documents are missing and they are tracking down required ones for the audit.. Snack Shed needs more checks and balances- such as a cash register for end of day report.

The finance committee will present a bill pay and payee database to automate the issues and other accountant support. They will also provide the process for fundraising and allocations to each sport.

Anthony will cut check May 8,15, 29 June 12, 26 ,July 17, 31 Aug 14, 28

Michelle offered to take over insurance after Frank’s resignation. The policy is up for renewal and she will find out the details of the policy.

Background Checks

After all new coaches completed background checks, only one came back with a problem with a 20 year old with a very low misdemeanor. Michelle will ask best practices from the certification program.

All board members will do background checks, Rutgers cert and cpr training.

Going forward we will start an annual review, by sport, for background check and Rutgers Certification.

We need a minimum of 25 coaches to have an onsite training session.

Michelle will set up 9/9 or 10 for an open Rutger’s Certification program training.

Saftety

The defibrillator at bucks mill needs to be mounted. Scott recommends that we mount it on a 2x4 closer to field. Maria will find a eagle scout or Brandt to complete.

Laird needs three mounted and should be completed by end of month.

CPR- training for new coaches as soon as the soccer draft if completed.

Emails and Board Communication

Star will handle all the non-sport specific emails and other communication.

Emails, PR and other communications continue to be an area of concern. Erik will send the executive board the list of who has what access to the website and email system. Clearance will be modified as needed.

A reminder to all that unless communication is sport specific commisioners and other board members are not allowed to send email blasts or posts on website without executive board approval..

DJ and Eric will have a secure ‘tab’ on the website for confidential information as well as review other private access, library of minutes and other possible business documents.

Fundraising and Events

Anthony developed a spreadsheet with vendor and itemized expenses to be submitted to the CNSF Google drive.

Mother/Son camping event will be June 20th. Rolling video games, snack shed, cotton candy, police officer $15 per child

October 24 partner with PTO for Fall festival with a Halloween carnival.

Will plan Father Daughter dance in October to secure a better location. Please send Joe any suggestions. Addison Park is now owned by a new CN Family.

PTO Color Run is still a possibility- possible dates to be proposed soon.

Blue Clays game on June 16th for the younger players. There will be a bar-b-que and presentation of trophies on the field.

We had a successful Memorial parade participation. We need a new banner with our new logo.

Soccer

Opening day is September 12th 10 weeks with last day and event to be coordinated with basketball opening day. Damon working with Henessey on parking and safety issues.

Registration will start next week through July 1. Rate $125 with late registration at $150.

Soccer emails were be sent through the CNSF by non CNSF senders. Jeff will speak to Damon regarding who is sending and the number of soccer emails.

The clinics will continue for younger children on specific days with flexibility for attendance.

Basketball

No report

Baseball

Season is winding down. Home Run Derby

Selection of All Star will start in 2 weeks. The process is each head coach votes for the top 10 players. The teams will form by the numbers of the teams and players.

Safety issues at Laird addressed by barriers and cones. More public awareness is important for the safety of the children.

Laird 3&4 has some progress but mounds are missing on 3.

All fields need to be dragged and turned.

Softball

Softball will have their last regular games this weekend. Several teams are in the play offs.

The All Star teams wills be selected in new two weeks.

Wrestling

No update and no proposal provided for the storage of the mats.

Golf Clinics

First clinic was full and the second is filling up. We plan to continue the clinics with a summer progam with discounts for member.s

Marketing and Community Relations

Memorial Day provide. We want to have players dressed to participate in the parade.

Scholarship committee of Rob, Eric and John, to select of 2 boys and 2 girls in 8th grade by June 1. Must be Cedar drive students.

The executive board met with the PTO executive board to develop a plan of cooperation for future events of both groups and also join forces to utilize the volunteers efficiently.

We will reinstate the post sports feedback for the improvement of each sport. The first one will be for soccer. Star will head committee with Maria and Jeanine

New Business

Fishing Derby this Saturday sponsored by the township.

Old Business

DJ is setting up a board only access on the website to review sports budgets and the capital budget for a check and balance of expenditures. DJ will review the process and access by the April meeting.

DJ and Eric will have a secure ‘tab’ on the website for confidential information.

Joe will provide a calendar of events for 2015 and major capital fundraising at the next meeting- Still not finalized.

Discussion to work with PTO on different projects including the Color Run

Motion was made to close the meeting. The motion passed and the meeting was adjourned.
