AIA Board Meeting, Sunday, July 13 2008

Sixth Board meeting

Points discussed:

Present:Rita Singh, Kamlesh Saini, Shyam Koppikar, Anuradha Palaparti, Badrinath Lankella, Amit Mangar, Prabhakaran, Randeep Talwar, Nihal Ahmed, Nitin Saini

Absent with Apologies: Aruna Chakravarty, Umesh Agarwal, Sanjay Limaye, Rajaraman, Vijay Setluri, , Kumud Gupta Krishna Sejapati,.

Picnic Preparation:

Main Food Items (Pot-Luck Items)

A checklist will be sent to the AHA, AIA and WITS members to list volunteers for pot luck preparation, for about 120 persons

·  2 boxes (50 pieces) Corn on the cob + 6 Lemons + Salt + Pepper- Prabhakaran

·  6 Whole (seedless) Watermelons-Prabhakaran

·  10 + 10 Large Pizzas (Little Ceasers)-Amit Mangar

·  5 Bags (10 loaves each) Nan- Prabhakaran

·  5 lbs Baby Carrots + 3 tubs of Veggie Dip- Prabhakaran

·  5 Bags of Potato Chips + 100-120 Cookies- Prabhakaran

·  2 Boxes (40 each) Caprisun Fruit Juice pouches- Prabhakaran

·  2 Tubs of Ice-cream- Prabhakaran

·  100 cans of Soda (Coke, Sprite, etc) - Prabhakaran

·  100 cans of Beer (at a charge of $1 per can at the Picnic)- Prabhakaran

Cost of the above will be shared between AIA/AHA/WITS.

·  Cricket (Salim Ahmad, Naren Sharma? ?),

·  Musical Chairs (We will need some portable chairs and a boom box)

Other Participants may bring following need to bring following items, if possible:

Bugs Spray, Portable Barbeque stands, boom box, their favourite dish to share

Burrows Park has a shelter with about 10 tables and built in benches. It can accommodate 110+ persons.

The Picnic will be from 11.00 am to 4.00 pm.

Finance:

Badri has still not received the Mothers day hall expense bill. Alka Sharma was contacted to follow up and send to Badri/Shyam.

After that Badri to finalize the Mothers day account, including the raffle account (50% of Raffle money will be donated to charity)

Badri to transfer $3,000 from checking into CD account (six months) and $100 into savings account, leaving the balance into checking account and let the board know of the accurate balances in each account.

Other Details:

Kamlesh mentioned some new members not receiving the welcome emails. Shyam asked Kamlesh to email the list of these members as he had emailed welcome letters to all the new members as per the list provided by Badri.

Prabhkaran has not been getting Shyam’s email. Therefore in future Amit manger will redirect all Shyam’s email to Prabhakaran to ensure that he gets them.

Prabhkara will purchase the items mentioned above and Shyam to pick them up on Friday evening.

AHA, WITS and other associations leaders (Bengali, MATA, Punjabi, Gujarati, GSA etc) to forward these minutes to their members requesting their members to bring their favorite dishes to share with others.
