Meeting 3: November 5, 2013; Hard Rock Cafe

1.  Call to Order 6:00

2.  President’s Report 6:00 – 6:50

a.  October Recap: Superhero Day, KaBoom, Oktoberfest, Haunted House

b.  YMF Strategic Plan 2013-2018: Jim, Lauren, Matt K. – Section Wide Survey for eWeek. Suggested surveying the Section to see what questions we need to ask and raffling off an iPad to person who successfully completes the survey. Membership Committee may be asked to assist. JR will provide at least two weeks’ notice.

c.  Annual Report: Due November 14, 2013

d.  ERYMC: Registration only online this year details to follow. Information just came out today. Early bird registration is Nov 14 ($185) and jumps to $200 after.

i.  Nominations for awards (print outs)

1.  Tim Brett of Lennon Smith for private

2.  Adi Menon of PennDOT for public

3.  Linda K for practitioner advisor

4.  No oine for Community Service award, so if you know anyone feel free to nominate.

5.  Peers Award: We must defend our title!

e.  Legislative Fly-In, Washington D.C. March 18-20th : Travel stipends are available. Allocation deadline is December 2. Will add to weekly email if there’s enough interest in attending.

f.  Low Attendance at events, thoughts? Suggestions included weddings, oversaturation w/social and community activities, bad timing, and the “unpredictability of human nature”.

3.  Section Update

a.  ERYMC – Section Board supports will endorse letter of support. Ralph will sign it shortly.

b.  2013 Residents’ and Governors’ Forum – Thanks to Greg Rumbaugh for putting together the interview workshop best practices. Well received at Forum.

c.  Region 2 Assembly – Nov. 16th Penn. College of Tech, Williamsport, PA – Linda, Angela. 3 ppl attending, 2 Pitt Students, 1 CMU. 0 UPJ (Bill Asked).

d.  2013 Outstanding Section Award Nomination – Due Oct. 30th – Lauren T.

e.  Geo. Institute – Nov. 14th Rehabilitation of Thom Run Dam by Jim James

f.  SEI – Nov. 19th Dinner Meeting at Cefalo’s in Carnegie – BRADD Updates, speaker Jay Fitzgerald from PennDOT

5.  Vice President’s Report 6:50 – 6:55

a.  Newsletter update: Looking to events for November to promote deadline 11/15. Newsletter is not to be used to promote upcoming events since the timing usually does not work well.

b.  CANstruction “Thank You” letter from the Brashear Association. Linda K has it if you’d like to read it. All thank you letters to sponsors have gone out.

6.  Treasurer’s Report: We need Money. 6:55 – 7:00

a.  Current Balance: $1342.87

b.  Outstanding Collections / Disbursements – $0.00

7.  Secretary’s Report 7:00 – 7:10

a.  Informal Survey of Meeting Locations – Not particularly thrilled

b.  Mail Chimp Application –

i.  Last mailing had 54 people reading the email. Average is about 30% of d-list (industry average is ~21%).

ii. Suggestions for improving communications included

1.  Checking spam filters

2.  Emailing from old address to let mail recipients know about new system

3.  Alternate what gets top billing on the emails

4.  Add table of contents to the top

5.  Continue gathering data to see what to do with it.

8.  Committee Reports

a.  Sports 7:10 – 7:15

i.  Dodgeball (Start-February) – Lou Champion / essential fundraiser. Emailed Chris E. of CMU but hasn’t heard back yet. Bill C. needs to know when the deposit is due since it may be a pinch with the December Dinner. Dodgeball and Pen’s raffle should be worked together.

Selected date to host at CMU: Saturday, March 1st

b.  Technical 7:15 – 7:25

i.  Roaming Leadership Development Series – Program is available until March. Let Jim R. know if you’re interested in hosting.

ii. Greg Scott/Angela – Presentation (LDI) Initiative tentative. Details coming in the Spring

iii.  Post Disaster Assessment Workshop – Learned about at 2013 ERYMC. Still collecting information but need at least 15 people to bring in speaker who will teach certification course on conducting structural site assessments. Cost around $100. 6 people showed interest during the meeting. Should probably schedule this for a Saturday.

iv.  May consider event to help YMFers learn to speak to their legislators.

c.  Community Service / Team Building 7:25 – 7:30

i.  December Dinner Toy Drive – Will coordinate w/Brashear Association. Tracy was the CANstruction contact.

ii. Kaboom playground building went well and would do it again (no buy-in). Lots of Duquesne politicians showed up.

d.  Membership – A continued work in progress. Where is Zerby? 7:30 – 7:45

i.  Roaming Happy Hours; early November (date? = No good, plan for January).

1.  Bocktown in Robinson

2.  Ice Skating (Rivertowne may be an ice rink)

ii. Supporting the section with Member Survey

iii.  Office Champions – Sponsors/Advertise for December Dinner – Cross Reference Linda’s Office Champions list with YMF D-List.

e.  Social 7:45 – 8:00

i.  Carnegie Science Center 21+ night – November 15th. Includes $15 slot play @ River’s. Tickets are $10 online, $15 at the door.

ii. December Dinner: December 5th

1.  NEED SPONSORS PLEASE TAKE A LETTER – These can be mailed

2.  Need to advertise, please take a flyer and hang it up in your office. Put .pdf flyer on the website.

3.  Working out catering contract

4.  AV rental equipment – Borrow from Geo Institute? May need to rent, prices start at $35.

5.  Need raffle gifts. Jimmy T. is asking for suggestions.

6.  Jesse’s working on the alcohol and confirming validity of PDH’s in PA.

f.  Outreach – Planning meeting to occur 11.13 @ Gannett @ 5:30 pm 8:00 – 8:10

i.  ACE Geotech Session Nov 20th – looking for Volunteers – Don Splitstone and Sebastian have volunteered

ii. ”Ask an Engineer” Panel/Program

iii.  STEM Career Symposium at the Allegheny Intermediate Unit at The Waterfront - Feb 3, 2014

h.  Website/Facebook – Looking for future successor 8:15 – 8:20

i.  Integration/dissemination of Information for website award

ii. How would you like to see our Facebook page used? It may be working against us.

i.  Fundraising: GOAL: $1,500 8:20 – 8:30

i.  Pens Raffle – LT secured 4 tickets for 3/18 against the Dallas Stars. Drawing to happen during Dodgeball.

ii. Other suggestions for fundraising include: Bowling; March Madness (tentative GO); Tim T. mentioned slaughtering chickens; any other ideas can be emailed to Jimmy T. and Bill C.

j.  ERYMC 8:30 – 8:35

i.  Preparation of Presentation for Indianapolis - Karen M. meeting with Sara M. and M. Panzitta next week. Coordinate with Maseo to see if there’s a presentation available.

ii. Tentative deadlines

1.  January – Latest to submit Draft Resolution & Letter of Section Support

2.  February – Present Pittsburgh to the ERYMC Business Meeting

3.  May – Notification from ASCE National of selection

k.  Student Affairs 8:35 – 8:45

i.  Pitt: Sending 2 students to Region 2 Assembly; Matt G. may attend. Did community service project picking up trash in Oakland.

ii. CMU: Sending 6 students to Region 2 Assembly; Camp KOK Trip: Nov 23rd Contact Millard McElwee ; Try to solicit judges through the Section website; CMU EWB Gala Nov 23rd

iii.  Geneva: Coordinating with CMU workday

iv.  UPJ: 10/24/13 – Discussion Board recap (Canceled) Bill C. pointed out that since the UPJ students come out to us so often, it would be nice if we would attend more of their events. Will be hosting National Concrete Canoe Competition in May/June.

v. Point Park: Doug () new President of Student Chapter

1.  Mickey O’Rourke (AECOM) new liaison. Got sick and was out today.

2.  Potentially sending delegates to Region 2 Assembly
