Artist Guidelines for Art Walk

Saturday, October 14th, 10am-5pm

Location Selection:

Locations, unless artist selects “other” during registration, will be at wine pouring locations.

Some locations have selected their own AAI Artists. The location host will contact these Artists.

Booth Set Up:

·  All booths are to be set up by 10:00am.

·  After dropping off supplies and art, artists are asked to move their vehicles to a side street. No vehicles are to be in booth area after 10:00am.

·  Site hosts will set up tables and tents for the wineries. Please leave ample room for attendees to gain access to the wine pouring stations, as many wineries will also be setting up a booth to sell wine.

·  Each artist will receive an overview of their location along with names of other artists sharing the general area.

·  Most locations are shared locations with more than one artist booth. When setting up, please be aware of your neighbors. Spaces will be marked off and available on a first come first served basis.

·  Artists are to provide their own display, including tent, table, etc. Tent is not to exceed 10’ x 10’ and legs MUST be securely WEIGHTED. (Note: Fire Department will be checking for weights on tents and will ask artist to remove tent if not properly weighted.)

·  All tables should have table cloths, preferably solid colored and to the ground. (Note: Sites are not necessarily flat. Artists are encouraged to bring shims to help level their tables.)

·  We do not provide electricity.

Medium of Work:

·  Art displayed is to be the creation of the registered artist.

·  We do not accept commercial, manufactured, mass produced, imported or purchased for resale work. Artists assume all risks and liability for claims alleging copyright or trademark infringement or the misappropriation of images or ideas.

Parking/Bathrooms:

·  Artists are asked to leave main parking areas along street free for event attendees. Unless an artist has an official handicap parking emblem, please park on side streets after dropping off display. All vehicles are to be moved out of the booth area by 10:00am.

·  Please introduce yourself to the site hosts, as many of them don’t have public bathrooms, but will accommodate the artists.

Break Down/ Load out:

·  Wine tasting is from 2:00pm – 5:00pm. Breakdown of artist displays and booth should not start until after 5:00pm. Loading of cars should not happen until after 5:15pm.

·  When breaking down, please be aware of and be courteous to your neighbors and attendees. Please pack all of your artwork and then bring your vehicle in to load up. When loading and unloading please allow passage for other vehicles and be aware of pedestrians.

·  After you have loaded your display, make sure that all debris and trash is picked up. Do NOT leave anything behind (boxes, wrapping, zip ties, etc.).

Insurance Requirements:

·  Each artist is responsible for their own display. Artists bear all risk and expense for any damage, loss, or theft of their own or others artwork or personal property or injury to any person, regardless of cause.

·  Art Alliance of Idyllwild, their directors, site hosts, and wineries do not cover artist displays, merchandise or any injuries/damage that your display may cause.

Marketing:

·  As part of our marketing campaign, you may be in one or more picture taken during the event.

·  All artists are asked to use their own websites and social media, including email invites, to get the word out about the artist booths and our galleries. Those who have Facebook accounts are asked to share the Art Alliance of Idyllwild Facebook page at facebook.com/artalliance.

Pets, Children, Drinking:

·  We discourage artists from bringing pets or children to the events.

·  Artists are not to be drinking during the event.

Inclement Weather:

·  Each artist should be prepared for rain and wind. If we have to cancel the event in extreme conditions, we will do our best to contact all artists in advance.

Sellers Permit / Sharing Booth / Sales:

·  Artists are to have a copy of their seller’s permit with them during the event. All sales are to be processed by each artist with applicable tax, as required by the county.

·  Artists may share a 10’ x 10’ booth, if they are both AAI Artists. Only one artist needs to register, although the name of the second artist will be requested during registration along with their seller permit number.

Maps:

·  Free maps pointing attendees to the galleries and art hot spots will be available in the middle of town around 54295 North Circle Drive, across the street from the Rustic Theatre.

Shuttles:

·  Free shuttles will start running at 10:00am. Parking is available at Idyllwild Elementary School and the shuttles will start from this location.

Badges / Name Tags:

·  We will not be providing identification for the artists. We encourage you to have a nametag of some sort letting attendees know you are the artist.

Security:

·  For those who wish to setup their tents on Friday night, as long as it is feasible, please note that we will not be providing overnight security.

·  There are security volunteers on site starting at 1:30pm.

·  We may be using the corners of your booths during the wine tasting to secure our barriers around the designated drinking areas. The barriers are NOT to be removed during the 2pm-5pm period. As artists, we ask that you help ensure that attendees stay within designated areas when drinking.
