Dear Parent/Guardian
Welcome to the new Mini-rugby season at Ards R.F.C. The coaches and I are glad to see you back at the club for another year.
This year a player registration day will be held on Sunday 30th August between 2pm and 3.30pm. The cost of registration will be £30 per child. The option to pay in instalments will continue, however I would ask parents to continue with the instalments until all monies due are paid.
To help players register I would ask if as many parents as possible could print the required form from the Club’s website, www.ardsminis.com (Click About us followed by club documents).
I would also like to bring the following points to your attention;
1. It is essential that you supply an e-mail address for contact with parents/guardians. It will help me to keep in contact with you more easily. Please PRINT your email address CLEARLY on the registration document. I will also endeavour to send notes home with the players, to inform you of forthcoming events. However, I would ask that you could keep in touch with your child’s coach as it is easier for you to make one phone call than your child’s coach to make twenty calls! Details will also be printed each week in the mini rugby section of the Newtownards Chronicle.
2. The catering arrangements this year will remain the same. We are asking for volunteers to help with catering on home match days. We will be asking parents to supply sandwiches/refreshments on a team rota basis for visiting teams at all home matches. We have found in the past that parents of players are more than willing to do this and it has been greatly appreciated. I would be very grateful for any help you can offer.
3. I am also looking for sponsorship, either on a corporate or individual level to help with kit and other planned activities for the children. If anyone can help, or can enlist the help of someone else, I would love to hear from you.
4. PLEASE NOTE THAT IN KEEPING WITH THE CURRENT CHILD PROTECTION GUIDELINES, CHILDREN MUST BE COLLECTED FROM THEIR COACH AFTER/TRAINING OR MATCHES. CHILDREN WILL NOT BE ALLOWED MEET THEIR PARENT IN THE CAR PARK. THERE WILL BE NO EXCEPTIONS TO THIS PROCEDURE. IF YOU ARE GOING TO BE LATE PLEASE CONTACT YOUR CHILDS COACH OR ALTERNATIVELY MYSELY ON 07917646980. Parent/Guardians are asked to complete the attached form listing those people who are authorised to pick up their child from rugby training/matches. Coaches will not release a child to any person not on this list unless the child’s coach has been notified in WRITING OR TELEPHONE. Please speak to your child’s coach to obtain contact numbers if you don’t already have one. When children are brought to training/matches they MUST be brought to THEIR coach. Full details of Ards RFC’s child protection policies are available on the website www.ardsrugbyclub.com and click on ‘child protection’. While we are mindful that these procedures may be inconvenient, it must be stressed that their implementation is to ensure the safety of your child.
5. The IRFU has decreed that children should NOT wear boots with blades for Mini Rugby. Only full metal studs should be worn.

Use of Images (photographs, video etc)
Ards Rugby Club recognises the need to ensure the welfare and safety of all young people in sport.
In accordance with our child protection policy we will not permit photographs, video or other images of young people to be taken without the consent of the parents/guardians/carers and children.
Ards Rugby Club will follow the guidance for the use of photographs set out below which is recommended by the Child Protection in Sports Unit (see www.thecpsu.org.uk)
· Avoid using children's names (first name or surname) in photograph captions. So if the child is named, avoid using his or her photograph. If the photograph is used, avoid naming the child.
· Use a parental permission form to request and record parental permission to use an image of their person. This ensures that parents know that an image of their child is being used to represent the sport.
· Ask for children's permission to use their image. This ensures that they are aware of the way their image is being used to represent the sport.
· Only use images of children in suitable dress to reduce the risk of inappropriate use. Images should focus on the overall activity, not on a particular child. The age of children is another factor to be considered when deciding what is appropriate.
· Create a recognised procedure for reporting the use of inappropriate images to help reduce the risks to athletes.
Ards Rugby Club will take all steps to ensure these images are used solely for the purposes they are intended. If you become aware that these images are being used inappropriately you should inform Ards Rugby Club immediately. Ards Rugby Club would use appropriate images primarily for inclusion on its website (www.ardsrugbyclub.com) and/or for publication in the Newtownards Chronicle. The use of video images or footage is intended for training and coaching purposes only.
