APRC TIMELINE FOR THE REVIEW OF PROGRAM MODIFICATION PROPOSALS

Introduction

Proposals for program modificationsmust be approved by the end of the fall semester to be implemented the following fall. The sample timelineoutlined below will ensure timely review and implementation. Note that modifications resulting from program review have an expedited process.

Proposal authors canbegin by first submitting a query to the APRC to determine whether the modification is substantial enough to require a comprehensive APRC review, or,they may begin by directly submitting a fuller program modification proposal. Please refer to the guidelines for a Query to Modify an Existing Program, andfor aProposal for the Modification of an Existing Program for detailed information on the required proposal components.

Sample Timeline for an Intended Fall 2019Implementation

Spring 2018– Fall 2018 / Planning & Consultation
In preparation for drafting the proposal, consult with stakeholders (e.g., faculty and administrators within and outside the program; library; administrative units) who will be directly impacted by or involved in the modification, regarding the purpose and goals for the change. Contact the chair of the APRC to discuss the proposal guidelines and the review process. Begin the initial draft after consultations.
October 1, 2018 (If submitting a query) / Proposal Submission
Submit query to the APRC for initial review. The APRC may request additional information or a fuller revised proposal.
October 15, 2018(If directly submitting a fuller modification proposal; earlier for more complex programs) / Proposal Submission

Factors Impacting the Timeline for APRC Review of Program Modification Proposals

The timeline for APRC evaluation of new or modified program proposals is impacted by factors external to the committee, such as:

Registrar’s Office

All new curricula or modifications to curricula must be submitted to the Registrar by the end of January so that the appropriate changes can be implemented in Banner prior to spring registration. As a result, no proposals can be considered in the spring for fall implementation in the same calendar year.

Provost’s Approval

The Provost must approve all new or modified curricula before they are sent to the Registrar. To allow at least two weeks for the Provost to review and approve the proposal by the Registrar’s deadline, the APRC needs to send its recommendation to the Provost by the end of fall semester.

*The Provost may request an earlier deadline for his approval of the new or modified program if there are significant implementation issues to address prior to launching the program. In such cases, the Provost typically requests the APRC recommendation by October 1.
