Approve a Job Opening
In this example, we will review and approve Job Opening, 1094.
1. / Because the Dept. Authorizer is able to access the Job Opening to review several ways, the first few screens in this example, might appear different than the way you might access your Job Opening..Each time a Job Opening is submitted,an automatic email is generated to the Department Authorizer notifying them that review and approval is needed. The email contains a link that can take the Dept. Authorizer directly to the Job Opening.
The Job Opening will also appear in the Authorizer’s Worklist.
In this example, we will use the option of logging into HCM, clicking the Recruiting link to access TAM and then clicking onPending Approvals to find the Job Opening that needs our review.
2. / Click the Pending Approvals link.
3. / The Pending Approvals page opens.
It is possible that there might be a list of severalJob Openings and Job Offers needing review and approval.
In this example, there is only one item listed.
Click the Job Approval:Custodian- Night shift link.
4. / We are on the Job Details page of the Job Opening.
Review every field on this page to ensure accuracy and completeness.
If there is a mistake, you can edit the Job Opening or Deny or Approve or ask the Department Originator to make the changes and resubmit for Approval.
If there are any comments at the bottom of the page, please review them. If you need to add any comments for Employment Services you can do so at this point.
5. / We have reviewed this Job Details page and are ready to review the Job Posting page.
Click the Job Postings link.
6. / The Job Postings sections have been collapsed into a single posting link ("Custodian-Night shift").
Be very careful that you do NOT click on the trash can, as it will delete all of the previously entered information on the Job Postings page.
It is very important NOT to select the "Add Job Postings" link. If you do that, it will appear as if you are creating a second Job Opening.
7. / To review the Job Descriptions and Job Posting Destinations, click the Job Posting Title (In this example,it is the "Custodian-Night shift" link under Job Postings.)
Click the Custodian- Night shift link.
8. / The Posting Information subpage appears. Review the Posting Title and the Job Descriptions. Make sure all 6 required Job Description Types are listed and are visible to both Internal and External candidates.
Review Job Descriptions for content, grammar and spelling.
Department Authorizers can modify the Job Descriptions.
9. / You will need to scroll to the bottom of the page in order to review all the information on this subpage.
Review Job Posting Destinations to ensure that the job will be posted on jobs.berkeley.edu and will be seen by both Internal and External applicants.
"*Berkeley Job Site" must be listed for both External and Internal candidates in order to be seen by any interested parties on jobs.berkeley.edu or through the Careers link on BLU.
Postings that appear on External sites (such as Monster.com) need only be listed with an External view.
10. / We have reviewed the Job Posting Descriptions and Destinations. We will now check how the posting will appear to both Internal and External applicants.
Click the Preview button.
11. / This view is what External applicants will see. Review all the information.
We want to also review what Internal applicants will see.
Click the Switch to Internal View link.
12. / Make sure all the necessary information will display to Internal applicants.
Click the Return to Previous Page link.
13. / We are finished reviewing the Posting Descriptions and Posting Destinations subpage.
Click the OK button.
14. / We will review the Hiring Team.
Click the Hiring Team link.
15. / Review the Hiring Team page. The information on this page can be modified throughout the recruitment.
16. / We have reviewed the Job Opening and are happy with it.
We are ready to go to the Approvals page.
Click the Approvals link.
17. / The Approval page appears.
Notice that the Job Opening is "Pending" and lists the Department Authorizer.
18. / If there is some reason the Job Opening should not be approved,you can "Deny" this Job Opening. A "Denied" Job Opening can be re-edited and re-submitted.
In this example, we are happy with the posting and will Approve the Job Opening.
Click the Approve button.
19. / Notice the Job Opening: Approved section has been collapsed in this example, as shown by the side pointing arrow.
20. / You may need to click on the Expand triangle in order to see the Approval Information.
Click the Expand button.
21. / Notice the Job Opening is showing that it has been Approved by the Department Authorizer.
An email has been sent to Employment Services alerting them to the fact that this Job Opening has been Approved and needs their review.
Remember this Job Opening will not be posted until Employment Services approves it.
22. / You have finished with the Approval process and can continue to take other actions in HCM or sign out.
23. / Congratulations!
You have successfully Approved a Job Opening!
