WELCOME TO APPLEDORE OUT OF SCHOOL CLUB

Introduction

Appledore Out of School Club provides a safe and secure environment in which children are provided with stimulating activities that will build their self-esteem and enhance their learning and development. Appledore Out of School Club realise that a high quality service is essential. We are registered with OFSTED to ensure that the premises are suitable and that no more than the recommended number of children attend at any one time. We are registered for children between the ages of 3 and 11 years old. We are able to offer activities in the safe, secure grounds of Appledore School, where children are supervised at all times by experienced staff who are all CRB checked. Our comprehensive range of policies and procedures ensure maximum safety and security all of children attending.

Who runs Appledore Out of School Club?

The Appledore Out of School Club is run by an elected committee. We are responsible for our own funding and reliant on fees, fundraising events, donations, and certain grants which we may qualify for if we meet certain criteria. Your support and help in all club matters is an essential part of helping to sustain our service. We therefore welcome any support that you as parents may be able to offer.

When and where do we operate?

Breakfast Club will meet daily between 7.45am and 8.45am

Afterschool Club will meet daily between 3.30pm and 5.45pm

Holiday Club will meet daily between 8.00am and 5.30pm

All clubs run form the Out of School room, which is situated next to the nursery room on Appledore Primary School site. Your child is welcome to attend any or all of these sessions if a place is available. All booking and payment must be made on the Friday before the week that you require places.

£20 for full day Holiday Club/ £11 half day

Bookings

Please book places using our booking forms located outside the door. It would be appreciated if fees could be paid every Friday for the following week. Fees should be paid for every session that the child is registered for. Please pay by cheque, cash or using our new online payment system (information available on booking forms). Non-payment of fees will result in the loss of your child’s place in the session.

Enrolment

We must ask you to complete a registration from before your child can attend our club for the first time. This provides us with essential information such as emergency contacts, medical needs and other information about your child.

If your child suffers from any allergies, epilepsy, asthma, eczema or other medical needs, please advise the Playleader and complete the relevant sections on the registration form.

Collection

Children must be promptly collected by 5.45pm for Afterschool Club and 5.30pm for Holiday Club.

A register will be kept of the children attending each session. If due to unforeseen circumstances, you are not able to collect your child at the end of each session e.g. accident, breakdown etc., two members of staff will remain with your childon the premises, until the situation is resolved or you arrive. Children in our custody may leave the premises with the person named on the child’s registration form, and our staff must be satisfied with their identity. If you or your nominee is collecting your child for the first time, please make yourselves known to our staff. If you wish someone, not named on the registration from, to collect your child, we must be satisfied that this is with your permission and that the person collecting the child knows the agreed password. If you telephone the club to make this arrangement, we will ask you for a password and this will then be written in the diary and passed onto the Playleader when collecting your child from the club.

If we believe your child to be unwell we will contact you to come and collect them.

If you are unable to collect your child on the day, you must let us know who will and use the password system.

In the event that your child is not collected by 5.45pm and we have not been contacted by a parent/carer, we will first attempt to contact the parents/carers. If we fail to make contact with them, we will then attempt to contact the named person on the registration from who is authorised to collect the child and ask them to do so.

During Club hours, you may contact us on 07811024032. A message can be left on this number at out of hour’s times and someone will return your call during opening times or in an emergency contact the school on 01237474365 during term times.

Registration

At the end of the Breakfast Club session the children will be escorted to their classrooms by a staff member. At the start of Afterschool Club the children will be collected from their classroom by a member of staff and escorted to the Club. Children attending after school activities e.g. football, netball, tag rugby, parents should inform the club beforehand. The Playleader can arrange for them to be collected from the clubs (please note we can only collect from clubs that are on school grounds).

We are responsible for children who are booked in, paid for and in the custody of our staff. If your child is booked in to the After School Club but goes to a friends’ house after school instead, it is important that the Afterschool Club is informed of this.

For the safety of the children: NO SMOKING is allowed on the premises; NO HOT DRINKS are to be taken into the children’s play area; EXIT DOORS WILL BE LOCKED at all time when the session is running and front door is security key code locked.

We will advise you in newsletters of any items which may be of interest or importance to you and your child.

If you have any problems/ queries, please do not hesitate to discuss these with the Playleader at any time. We are here to help you and your family and confidentiality is practised amongst our staff.

Behaviour contract

We strive to deal with behaviour consistently at the Club so that the children and you, as parents/carers, are very clear about what we have agreed to be acceptable behaviour. The great majority of children in the out of school clubs are well behaved, know when they have done something wrong, and are able to apologise straight away. However, there is a small minority of children who are unable to accept the out of school code of conduct, and as a result, stop other children having fun and equally stop staff in out of school club from doing their job. It has been made clear that all adults in out of school club should expect the same high standard of behaviour from all the children.

The following are not acceptable in the out of school club:

  • use of language that is offensive in any way, including answering back.
  • threatening or bullying behaviour either to other children, or any members of staff.
  • Behaving without considering the needs and views of others.
  • Damaging school property

The children will have a clear warning from the member of staff concerned that their behaviour is not acceptable. If they continue with any kind of unacceptable behaviour, the child will be moved to the red on the traffic light behaviour system that we use and will be sat out for a maximum of 5 minutes (depending on their age – 1 minute for every year of their age). If the behaviour still continues, then the parents/carers will be phoned and asked to pick their child up. They will then be potentially excluded from the club. Any act of violence towards a child or member of staff will result in immediate exclusion.

The standards of the club are set out formally in a number of policy statements and will be provided on request from the playleaders.
