TERMS & CONDITIONS of applying to Voices & Visions at Worcester Cathedral 2017

Pre- application (general):

  • Ensure you can confirm your availability to attend on the performance date/s selected. Flexibility would be much appreciated.
  • Before submitting your application, check that the school will grant permission for participating students to be off timetable for most/all of the day and that parents have made a diary note that their children will be involved. The performers have normally left the Cathedral by approximately 8.20p.m. They will not go home between the end of school and start of performance.
  • Ensure that other staff members, office staff and the Head Teacher are involved in the submission process from the outset so that there is no misunderstanding about involvement and commitment to the Voices and Visions project.
  • Please note we have a large volume of applications and can only select 8 of those per performance evening due to space limitations, available rehearsal time and audience capacity.
  • We operate a reserve list (operating on a first come first served basis, depending on date of application) for any schools who would like to be kept on record in the event of not being included in the initial shortlist. Please make sure you tick the box on your application form if you wish to be added to this list. We will notify you as soon as possible if a performance vacancy becomes available on your selected date.
  • Ensure you will have enough devising/rehearsal time to submit a performance of high quality.
  • Do not apply unless you are confident of support, availability and permissions from relevant staff, students, parents and Head Teacher.
  • Please note that applications or requested information received from you after any given deadline date/s could jeopardise your place (or offer of a place) in the Voices & Visions performance.
  • If you are shortlisted to perform at Voices & Visions, please ensure you do everything possible to see through your performance at the event. Last minute withdrawals are very difficult to replace and can create various problems.
  • Please note, the cathedral space is too vast to accommodate digital projection or film. If this is what you want to submit, please apply for Voices and Visions at The Hive instead.

Arrival, rehearsal & performance times:

We have limited access to the performance space during the day and work to a tight schedule. Please ensure you can work to the timetable shown below on the performance day. Times may vary slightly.

  • 12.30pm-1.10pm Schools arrive, register, find allocated rest-space in the Chapter House, eat their lunch (if applicable), toilet & prepare for technical rehearsal.
  • 1.10pm-1.25pm Introductory talk then all groups make their way into the Nave (performance area);
  • 1.30pm-4.45pm Tech/dress run, normally in reverse programme order. All performers watch and support each other informally during this time and staff can video their group’s rehearsal;
  • 4.55pm - tea time/break/chill-out/toilets/preparation (bringing own refreshments including drinks);
  • 6.20pm - school groups leave Chapter House to take up allocated side pews in the Nave where they will remain throughout performance;
  • 6.30pm Cloister doors open to invited guests (for art exhibition/installation viewing only – no access to the performance area yet);
  • 6.45pm guests enter from Cloisters to take up their seating in the Nave;
  • 7.00pm performance starts (with introductory address/speech and welcome);
  • 8.00pm (approx.) – performance ends;
  • There will not be an interval or a bar.

Chaperones/Support teachers

  • Provision of chaperones and support teachers is the responsibility of each participating school group.
  • DBS(CRB) checks and safeguarding concerns are the responsibility of each school lead-contact.
  • Number of chaperones provided by each school will be dependent on agreed number of its performers.
  • Number of all attendees (children, staff and chaperones) to be given to Marie in advance of event and registers to be keptby individual schools to self-register before,during and on leaving the Cathedral.
  • Children’s behaviour is the responsibility of each school group throughout visit.
  • Schools are responsible for all parental/guardian permissions relating to the performers. In addition, a formal request will be made to the audience before the performance starts for no film or photographs to be taken and mobiles & cameras to be switched off. Official photographs may be taken by a County Council representative.
  • Please be aware that between our technical rehearsal and the performance, an evensong service with pre and post ‘quiet reflection’ times is held in the Cathedral. We will be in a closed room but sound travels so performers will need to talk quietly during these periods and be respectful of the building & space.
  • If the weather is good, school groups will be able to get some fresh air out on College Green before 6pm. Please ensure the children are respectful that this is not a playground area.
  • Chaperones & support teachers will remain with their students throughout the performance in pews/seating at the side of the Nave. This ensures quick and easy access to the performance space.

Transport:

  • Transport must be organised and paid for by schools (please see schedule above to help you plan for this). Details of nearby parking/drop-off points will be sent to you nearer the performance date/s.
  • If any children are leaving with parents rather than by school transport this must be pre-arranged with the lead teacher and is the sole responsibility of the school.

Costume and provisions:

  • Performers should arrive ready or almost-ready costumed as there are no formal changing facilities.
  • Please ensure participants bring extra layers of clothing as the Chapter House (our rest space) can be rather chilly!
  • Performers/chaperones should bring a packed tea, snacks, drinks and minimal luggage. You may want to bring packed lunch too, depending on how far you are travelling.
  • We will lock the Chapter House during rehearsals/performance but please do not bring anything valuable. Anything lost or stolen during the day/evening is not the responsibility of Voices and Visions management or the Cathedral.

Content:

  • Please ensure that performance content is well rehearsed and of high quality. It should also be suitable for a family audience; no swearing, innuendo or provocative language/action please.
  • Guests will be given a simple paper programme-guide using the information requested from you in advance.
  • Each performance piece will be introduced by a Compere.

Technical details:

  • Technical rehearsals and the performance will take place in the beautiful surroundings of the Cathedral Nave.
  • The invited guests will be on tiered seating looking down onto the performance space. An area will be left at the front of the seating on ground level for any guests using wheelchairs and VIP’s.
  • Performance-space dimensions are: Width (stage left to stage right): 5m approx; Length/depth (stage front to stage back): 9m approx.
  • Recorded music will be played from a pre-made ‘show list’ created by Ade (our production manager) from the music you will have pre-sent via email attachment.
  • Schools are required to provide an inventory of any equipment they are bringing (instruments, props, music stands, music scores etc) to self-check in and out of the building.
  • All electronic equipment brought into the building must have evidence of an up to date PAT test.
  • Please note, all instruments including keyboards/electronic pianos and music stands must be provided by the school. If there is something you don’t have but need, another school from your local cluster may lend it to you.
  • The technical production manager may get in touch with some of you individually if he requires further technical information.
  • The performance floor is marble, so please bear this in mind, particularly if you are submitting a dance piece.
  • School teachers / support staff are invited to take photographs of only their school group (subject to permissions) during the afternoon technical rehearsals.
  • Please keep your performance to approximately 5 minutes duration; (it can be less).

Invited Guests/Audience:

  • The purpose of the Voices and Visions performances are for pupils, teachers, colleagues, guests and VIPs to share and celebrate young people’s creative achievements from across the county.
  • Guests will be given complimentary invites prior to the performance. The lead contact and head-teacher of each school will be asked to distribute the invites to each guest in advance (this can include performers’ family and/or anyone else you would like to see the work). We will send print-ready invites for this purpose.
  • Please ensure parents know seating is pre-allocated and the performances are not open to the general public.
  • The number of invites allocated to each school usually corresponds with the number of performers in a group. Audience capacity is limited.
  • Please note: teachers and chaperones who stay with performers during the event are not counted as ‘invited guests’. Invites can therefore be used solely for your chosen guests who will sit in the audience on tiered seating.

Arrival & performance:

  • Please expect to attend for the full morning programme in support of one another.
  • Because The Hive is a public space, there will not be any opportunity for rehearsals on-site, although we strongly recommend schools arrive 30 minutes prior to the scheduled start time of 10:00 so that performers can familiarise themselves with the space, use the facilities and settle in.
  • One of the management team will be at the main entrance of The Hive (from approx. 9:15 to meet and direct arriving schools and guests to the performance space (on level 0). Alternatively ask any member of the library staff, who should be able to help.
  • Performances/media should be suitable for a family audience; no swearing, innuendo or provocative language/action please.
  • Each group will be welcomed by a compere and while they set up the lead teacher is asked to provide a brief introduction to their group’s performance.
  • Guests will be given a simple paper programme-guide using the information requested from teachers in advance.
  • An indoor break of approx. 20 minutes will be scheduled into the morning. Performers are welcome to bring snacks and encouraged to bring drinks.
  • The performance will end between 12:00 and 12:30 and is informal with all groups watching each other.
  • If you would like to picnic-lunch on level 0 or outside The Hive following the event, we ask you to please vacate the building by 13:00.

Chaperones/Support teachers

  • Provision of chaperones and support teachers is the responsibility of each participating school group.
  • DBS(CRB) checks and safeguarding concerns are the responsibility of each school lead-contact.
  • Number of chaperones provided by each school will be dependent on agreed number of its performers.
  • Number of all attendees (children, staff and chaperones) to be given to Marie in advance of event and registers to be keptby individual schools to self-register before,during and on leaving The Hivel.
  • Children’s behaviour is the responsibility of each school group throughout visit.
  • Schools are responsible for all parental/guardian permissions relating to the performers, especially concerning photographs or films being taken during the performances. Because The Hive is an open public space, we cannot prevent people from recording performances on their personal devices, so permissions will need to be in place before bringing pupils into the venue. Official photographs may also be taken by a County Council representative.

Transport:

  • Transport must be organised and paid for by schools.
  • If any children are leaving with parents rather than by school transport this must be pre-arranged with the lead teacher and is the sole responsibility of the school.
  • Coaches should drop school groups off in the layby on The Butts adjacent to The Hive. Make your way up the outside steps (or lift) to the concourse and enter The Hive via the main doors on Level 1. Coaches can then park nearby until pick-up time.
  • Alternatively cars and mini busses can use the nearest pay and display car park (Croft Road only for mini busses due to height restriction in the car park immediately in front of The Hive). Croft Road parking is also cheaper but you will have to cross the road at a zebra crossing to access The Hive.

Costume and provisions:

  • Performers should arrive ready costumed as there are no changing facilities.
  • Performers should bring a drink. They are also welcome to bring snacks for break time.
  • Please encourage the performers to not bring anything valuable. Anything lost or stolen during the morning is not the responsibility of Voices and Visions management or The Hive.
  • Teachers and audience members will be able to purchase refreshments from The Hive’s café which is open from 8:30.

Technical details:

  • Pre-sent recorded music will be played on a portable sound system in accordance with the confirmed running order.
  • The performance will take place on level 0 of The Hive which is accessible by stairs and a lift.
  • Guests/public audience will be on chairs level with the performance space. Performers will be sat on the floor nearest performance area in groups.
  • Performance-space dimensions are approximately: Width (stage left to stage right): 4m; Length/depth (stage front to stage back): 3m. NB there is no formal staging or stage lights.
  • Due to space limitations and sight lines, we cannot accommodate really large groups at The Hive. Please ask if you’re unsure.
  • The Hive has a large screen for play back of film shorts, digital art and animations etc. Any digital work will be shown on level 0 alongside the live performance work.
  • Schools are required to provide an inventory of any equipment they are bringing (instruments, props, music stands, music scores etc) to self-check in and out of the building.
  • Please note, all instruments including keyboards/electronic pianos, PA’s microphones & stands, leads & attachments, and music stands must be provided by the school. If there is something you don’t have but need, another school from your local cluster may lend it to you.
  • Any electronic equipment brought into the building must have evidence of an up to date PAT test.
  • The performance floor is hard-wearing carpet, so please bear this in mind, particularly if you are submitting a dance piece.
  • Please keep your performance pieces up to a maximum 10 minutes duration.
