Placing a Hold
Overview
If a patron wants to check out an item, but the item is not physically available, they may place a hold on the item. An item might be physically unavailable for the following reasons:
§ Another patron has checked out the item.
§ The item is at another branch and needs to be paged from that location.
Alternatively, if a patron calls and asks us to place a hold and the item is on our shelf, we should place a hold on our item so that we can check it in and place it on the holdshelf.
We should place holds on the title (not the item) unless the item is on our shelf and we want to place it on the holdshelf, or the title is part of a volumned set and we need to select a particular volume. Otherwise, we place holds on the title, and allow the system to select which item to hold.
Once a held item becomes available (for example, the item is returned), the library notifies the patron and keeps the item on a holdshelf. If the patron has not picked up the item after a certain period of time, the item is removed from the holdshelf and moves on to its next destination.
DO NOT
Put holds on titles that are ILL.
Put holds on titles that are on-the fly!
Put holds on titles that are on order for POP.
Put holds on items which have these statuses:
CLMS RTD BILLED DAMAGED
LNP L&P
WITHDRAWN MISSING RPL
MISSING HOLD WEED
Placing a Title-Level Hold from the Patron Record (Add Holds)
1. Click on Circulation Desk in the navigation bar to enter circulation mode.
2. If the patron's record is not already displaying, retrieve it from your database.
3. Click on the Holds tab.
4. Click on the Add Holds button. The Browse dialog box will display.
5. Choose the Index you are searching by, and then type the search criteria in the text box.
6. Click the Search button. The Browse Display is presented.
7. Select the entry you want by double clicking on it or click to highlight the entry and click the select button.
8. Click on Hold Copy Returned Soonest.
9. The Place a Title-level Hold box opens:
10. Use the drop-down arrow to select where the item should be picked up.
11. Never fill in the Limit to Location text box!
12. Do not fill in not wanted before or after fields because the items will not be paged.
13. Fill in the HOLD NOTE with your initials and location. Ex: LEA@MN
14. You are brought back to the Holds tab in the Patron record. You should now see the hold you placed.
15. When finished placing a patron hold, click the Close button on the toolbar. This
will close the patron’s record.
