Title of Position:Membership Clerk

Status:Part-time 32 hours per week

Starting Salary:$8.50-$9.00 per hour

Hours:Mon.-Fri. 12:00pm-6:00pm; (Academic Year) 9am-5:30pm Summer and Non- School Days (Hours subject to change)

Primary Functions:

Membership Clerk assists Membership Coordinator with accurate record keeping of attendance, membership information and fees, while adhering to policies and procedures. Along with clerical responsibilities such as answering telephone, filing, generating reports, typing documents. Warmly greet adults and members as they enter the Boys & Girls Club. Welcome visitors and provide assistance as needed. Enter data in to Visions Membership Tracking Software including but not limited to daily attendance and program attendance logs. Monitor memberships and remind parents about expirations and renewals. Maintain order and discipline of members. Membership Clerk works under the guidance and supervision of the Program Director assists with Club cleanliness, role modeling, member recruitment and member retention.

Key Roles: Essential Job Responsibilities:

I. PROGRAM INSTRUCTION

  • Prepare Youth for Success
  • Create an environment that facilitates the achievement of Youth Development Outcomes:
  • Register new members and participate in their club orientation process Promote and stimulate program participation
  • Develop relationships with all Club members, avoid playing favorites
  • Connect the Club values to the activities in a developmentally appropriate manner
  • Promote theme days or group traditions to help Club members feel united as a group
  • Help all Club members make friends and enjoy the Club experience
  • Display appropriate behavior (action and language) around club members, parents, and staff
  • Ensure program numbers are entered into the Visions PC on a daily basis.
  • Monitor and evaluate programs, services and activities to ensure safety of members, quality in programs and appearance of the branch at all times.

II. CHILD SUPERVISION AND GROUP MANAGEMENT

  • Ensure that positioning in the Club allows for constant supervision of the maximum amount of members
  • The supervision, safety, and well-being of all Club members, whether in large or small groups, at all times (on/off site)
  • Follow check-in/out procedures
  • Provide guidance and role modeling to members
  • Walk children safely between locations and on water/bathroom breaks
  • Assist Club members with belongings, lost and found, sunscreen/water, trash pick-up, etc.
  • Resolve disciplinary problems appropriately, complete Incident Reports as needed
  • Demonstrate good judgment
  • Enforce Club rules.

III. ADMINISTRATIVE

  • Demonstrate responsibility in regard to work schedule, meetings & trainings
  • Keep equipment, binder, and supplies in order, well maintained, and in the proper location
  • Complete and submit paperwork accurately (timesheets, lesson plans, certifications, etc.)
  • Dress in appropriate attire/uniform
  • Maintain a positive attitude while working, help wherever needed, work well with co-workers
  • Display good customer service skills
  • Accept feedback and makes necessary corrections
  • Follow all Boys & Girls Club of Langlade County policies and procedures

IV. OTHER

  • Perform miscellaneous tasks as requested by supervisor
  • Ability to relate well to children and previous experience working with children required

PREFERRED SKILLS/KNOWLEDGE

1High School diploma or GED

2Experience in working with children and adults

3Knowledge of youth development

4Ability to motivate youth and manage behavior problems

5Ability to deal with the general public

6Ability to plan and implement quality programs for youth

7Ability to organize and supervise members in a safe environment

8Obtain CPR and First Aid certifications within 3 month of employment

9Valid State Drivers License

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.

External: Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems.
