Portfolio Administrator

Position Summary

The Portfolio Administrator provides high-touch, personalized, direct client service. This position is the

day-to-day contact for clients and is responsible for account servicing. The Portfolio Administrator

implements and maintainsdiscretionary and non-discretionary high net worth and/or institutional client

investment recommendations in accordance with a client’s investment policy statement, as directed by the

investment advisor. This position assists with general account maintenance, and acts as the liaison between

the client and financial institutions, investment managers, and outside partnerships.

Essential Functions

  • Implementation of client portfolios:

The Portfolio Administrator will be assigned a specified account list consisting of varying portfolio complexities and types. Investments may include mutual funds, separately managed accounts, limited partnerships, private equity and private real estate investments.Implementation is accomplished via various custodial and manager relationships and requires letters of authorization, partnership subscription documents and/or investment management documents. Requires coordinating and following investment recommendations to completion.

  • Trading:

Responsible for implementing and maintaining client investment programs and placing trades, which involvesfunding and terminations of money managers for discretionary andnon-discretionary high net worth individual and/or institutional clients.

  • Client service and account management:

General servicing of high net worth and/or institutional clients including processing new account set up, account and/or fund transfers, wire requests, directives to money managers and custodians, preparing partnership documents, gathering AML identity documents, drafting of letters for clients regarding assignments and re-registrations, establishing standing instructions for accounts with recurring distributions and/or contributions as needed.Also may require assistance with asset allocation, rebalancing portfolios to target, and monitoring client cash needs.Requires the coordination of raising cash for private equity capital calls, distributions and other cash needs.

  • Private equity fund support:

Assist in the general servicing and implementation of private equity LLCs in client portfolios.Interface with administrator to create subscription documents and serve as liaison between the prospective investment and administrator.

  • General Support:

Enter and maintain account information, and input transactions; peer review client correspondence and performance reports; provide back-up to other portfolio administrators; other duties as assigned.

Qualifications:

  • Must have two to five years’experience working at a Registered Investment Advisor or brokerage firm(or experience in a similar capacity),as well as an understanding of financial markets and investment terminology and investment operations. Experience with alternative investments desired but not required.
  • Four-year college degree preferred.
  • High level of comfort and professionalism when interacting effectively with prospects, clients, custodians, CPAs, attorneys, investment advisors and other Arnerich Massena staff.
  • Excellent, polishedwritten and verbal communication and interpersonal skills required.
  • Demonstrated ability to prioritize, collaborate, and handle multiple tasks simultaneously, while tracking constantly-evolving detail.
  • Capacity to maintain flexibility while meeting deadlines; excellent organizational skills.
  • Proficiencyin a variety of computer programs, including Microsoft Office suite; must be familiar with CRMs and internet-based work.
  • Willingness to cross-train and support fellow team members and contribute to the team’s collective success.
