POSITION DESCRIPTION: BUSINESS OFFICE ASSISTANT (Burlingame Campus)

1.00GENERAL STATEMENTS

1.01POSITION SCOPE

a.Responsible for accepting student payments, cash receipting, daily deposits and assisting with third party billings, reconciliation of bookstore charges and with enrollment and registration processes.

b.The Business Office Assistant will participate in the formation of general college policies as a member of Standing Institutional Committees or through appointment to a task force or consultant group by the President.

2.00SPECIFIC STATEMENTS

2.01Position Function and Category

a.Reporting Relationship: Dean for the Burlingame Campus

b.Function/Category of Position: Administrative/Support Staff

c.Terms of Employment: 12 month hourly position

d.Salary Category: II

2.02Supervision

a.Supervision Received:

-The Business Office Assistant reports directly to the Dean for the Burlingame Campus and coordinates with the Comptroller.

2.03Key Areas of Responsibility

a)Receive and receipt monies for student accounts and make daily deposits at bank.

b)Assume responsibility for explanation of charges, adjustments and billings.

c)Maintain accounting of petty cash.

d)Assist with adjustments and corrections of student accounts.

e)Assist with the reconciliation of bookstore charges.

f)Perform and notify the Accounts Receivable Officer of refunds to students on the basis of credit balances.

g)Notify the Accounts Receivable Officer of student accountor bookstore holds. Remove student holds as needed.

h)Assist with collection of past due accounts.

i)Assistwith third party billing.

j)Coordinate billing campus and other student groups.

k)Maintain confidentiality while processing sensitive materials.

l)Cross-train with other college staff and serve as back-up for student services functions, course schedule building and book store operations.

m)Perform standard clerical duties and complete other duties as assigned.

n)Greet the public, students and staff in a positive and professional manner.
