This form is to be completed by the Usrah Coordinator with the assistance of the Usrah Organisernear the end of every semester, and with the consultation with Usrah members. It must be submitted to the Administrator at IFEW Family Usrahs 14 days prior to the last day of each term, together with a fee of $5 for each Usrah member that will be participating in Usrah for the Upcoming term.

This form will subsequently be used as the basis for creating a learning program for the Upcoming Term.

Please note that “Current term” refers to the term that is now ending, and “Upcoming term” refers to the next term that is about to begin. However, if you are, for whatever reason, late in submitting this form, the meaning will be different: “Current term” will refer to the term that has just been completed, and “Upcoming term” refers to the term that is about to start or has just started.

Upon consultation with Usrah members, if the aims/objectives/goals of the Usrah have changed, please restate your aims/objectives/goals here. This information will be used to develop a customised learning schedule. A Weighting (%) needs to be placed next to each aim/objective/goal to highlight those things that are more important against those that are less important. We encourage you to openly discuss the weightings that should be placed. The total sum of all the Weightings should add up to 100.

Rules and Responsibilities

  1. Any feedback from Usrah members should be forwarded by the Usrah Organiser to your assignedIFEW Family Usrahs Administrator.
  2. The Coordinator is the person who is in charge of running the Usrah for the duration of one year. The Coordinator works with the Organiser to ensure that the Usrah program is run in a smooth and efficient manner. This includes:
  3. Assigning a time in the week for Usrahs to take place.
  4. Ensuring that Usrah members turn up to weekly Usrahs on time.
  5. The Organiser and Coordinator must meet with yourIFEW Family Usrahs Administrator before the start of the term to finalise the learning program. The time and location of the meeting is to be arranged with your IFEW Family Usrahs Administrator. Please note that the location of the meeting is at the Administrator’s discretion.
  6. If the Coordinator or the Organiser are, for whatever reason, temporarily unable to fulfil their responsibility because of either planned or unplanned reasons, an alternative should be selected who will willingly and wholeheartedly perform that role for that temporary period. The person doing the work during this temporary period must not do the work selectively (that is, only do some things but not others). Instead, this person is to be entrusted to perform the full responsibilities of the role.
  7. Any change in the assignment of roles, either permanent or temporary, must be reported to your IFEW Family Usrahs Administrator.
  8. All communications with your IFEW Family Usrahs Administrator must be performed by the Organiser.

Some Suggestions

  1. Encourage, mentor and motivate Usrah members to commit wholeheartedly to the Usrah program.
  2. To ensure that the weekly Usrah is not disturbed, ensure that babysitting facilities are organised for children, performed either by an external party or a member of the Usrah, and that children are engaged in an enjoyable activity that they can look forward to during the week (e.g., rent a movie).
  3. Decisions should be made by the coordinator. When making decisions, the Coordinator should take the following into account:
  4. How Usrah members have voted.
  5. Give importance to the advice of elders in the Usrah.
  6. Overall, the Coordinator should decide how decisions will be made, and how much importance will be given to voting, elders advice, and the Coordinators decision.
  7. It is a good idea for the Usrah group to have a meal together before or after the Usrah. It is suggested that the meal be taken after the Usrah to ensure that members start the Usrahsession with a fresh mind.

We have collected membership fees from all members for the Upcoming term and are submitting those monies together with this document.

Current Term Feedback

It is the responsibility of the Coordinator to draw out feedback from Usrah members and present it to your IFEW Family Usrahs Administrator. This process will help in determining how well the material and scheduling stood up against the aims/objectives/goals of Usrah members.

This is a good opportunity for Usrah members (apart from the Organiser and Coordinator) to address any concerns they have. This feedback will be examined closely by your IFEW Family Usrahs Administrator, and will have a direct impact on the material and scheduling that will be handed over for the Upcoming term.

It is recommended that the Organiser fill out this form using the same or similar words used by the persons who provide the feedback. This ensures a more direct form of feedback, and that the meaning of the feedback will not be lost.

Members are also invited to use this space to ask any questions regarding the administration of the IFEW Family Usrahs program, or to provide suggestions on how it can be improved.
