Job Description and Person Specification

Context of RoleThis project aspires to address some of the effects of low level or non-existent digital skills which act as a barrier to obtaining work. This post forms part of Pembrokeshire CAB’s Digital Welfare team which includes volunteers. Digital inclusion will be encouraged and strengthened through a programme of digital activities and partnership working with the Department of Work and Pensions (DWP). It will fit alongside and enhance other services the Bureau offers which provide a wide range of generalist advice and information plus welfare benefits advice and debt management for clients. The project and post holder will be able to take advantage of the knowledge, support, supervision and training available withinPembrokeshire CAB.

LocationPembrokeshireCAB offices, DWP Job Centres, Libraries and other community locations as required

Salary FTE £15,478 - £16,521 (Pro Rata £8,366 - £8,930)

Role purposeAs part of the Pembrokeshire CAB Digital Welfare Team, the role is multifunctional. There are two main strands within the role

1.To provide practical and administrative support to the Digital Welfare Manager

2. To deliver digital support and guidance to individuals referred to the scheme

Delivery will be in accordance with the aims and objectives of Pembrokeshire Citizens Advice Bureau (Pembs CAB) and its partners

Key work areas and tasks:

Support and Administrative Tasks

  1. Devise and maintain a computerised monitoring system of participants and activities
  2. Ensure records are kept clearly and concisely for monitoring purposes
  3. To provide office admin support as required to include;diary management, correspondence, document and report preparation, photocopying, filing etc.
  4. Ensure project learning activities are well organised to include: arranging venues and relevant equipment to achieve efficient service delivery
  5. Develop and maintain volunteer rotas to enable effective service delivery
  6. Assist the designated team leader in the preparation and presentation of reports to relevant internal and external bodies including funders and other partners
  7. Develop literature to promote the project and carry out other marketing activities such as writing press releases and assisting in delivering presentation.
  8. Any other administration tasks as required by the Digital Welfare Manager

Support and Delivery Tasks

  1. Assist in delivering digital workshops to individuals and groups as referred by Pembrokeshire Job Centres and other project partners
  2. Assist in identifying training and learning opportunities for service users, individuals
  3. Work collaboratively with the Digital Welfare Managerto support a variety of digital inclusion activities
  4. Deliver designated workshop / sessions of the project programme as directed by the Digital Welfare Manager
  5. Assist in the training, support and coordination of volunteers

Other

  1. Attend all relevant internal / external meetings and training as required by the Digital Welfare Manager or Pembrokeshire CAB
  2. Ensure that equality, diversity, wellbeing and sustainability are valued and embedded into services whilst upholding the aims and principles of the CAB service and its equal opportunities policies
  3. Abide by health and safety guidelines and share responsibility for own safety and that ofcolleagues
  4. Carry out any other duties designated to be appropriate within the appointment grade to ensure the effective delivery and development of the service

Essential

  1. Education to appropriate standard to carry out the tasks required
  2. Proven IT skills for project delivery, monitoring and reporting (including competence in Word /Excel / PowerPoint etc)
  3. Skilled and competent in the use of current digital devices such as PC’s, Laptops, Tablets, Mobile Phones and other digital technology
  4. Highly competent internet user with the ability to engage people with technology
  5. Understanding and experience of working with variety of individuals, front line workers and community groups
  6. Ability to contribute to project monitoring reports in a variety of formats
  7. Ability to maintain accurate records of activity and participants
  8. Numerate to the level required by the project including delivery and reporting
  9. Experience of supporting and providing effective administration services to projects
  10. Able to work collaboratively and effectively with groups, partners and individuals
  11. Able to motivate people from a range of backgrounds and encourage participation
  12. Effective oral and written communication skills in a variety of situations
  13. Able to organise/prioritise work on own initiative and as part of a team demonstrating a flexible approach at all times
  14. Be able to monitor and be aware of any relevant health and safety issues, in and out of the office
  15. Understanding of and commitment to the aims and principles of the CAB service and its equal opportunities policies
  16. Own transport essential for role

Desirable

  1. Knowledge and experience of working with volunteers
  2. A broad understanding of digital exclusion issues and the barriers people face.
  3. Knowledge and understanding of the Universal Job Match website
  4. Recognised qualification in appropriate field i.e. Information Technology
  5. Ability to communicate through the medium of Welsh
