SUMMARY TERMS AND CONDITIONS AND JOB DESCRIPTION

ROLE: COMPANY ADMINISTRATOR

CONTRACT DURATION: Fixed Term 1st April 2018 to 30 June 2018.Subject to the award of Arts Council funding, result expected April 2018, this post will be extended to the end of March 2019.

HOURS:10.5 hours a week (6 days a month) worked flexibly

ANNUAL SALARY:£25,000 (pro rata)

ANNUAL HOLIDAYS:28 days plus Bank Holidays(pro rata)

PENSION:The Company offers workplace pensions (depending on eligibility)

PLACE OF WORK:From April 2018: Live Art Bistro, 1-2 Regent Street, Leeds, LS2 7QA

RESPONSIBLE TO:Artistic Director

PROBATION PERIOD:6 weeks

COMPANY CONTEXT

Theatre Company Blah BlahBlah is project funded, and has a flexible staffing structure to enable it to be adaptable to opportunities. The Company is led by the Artistic Director on two days a week, increasing hours at times of high creative output depending on project funding. The Company also works with a range of operational Associates who are freelance and who provide support in the following areas: income generation; communications and marketing. Creative Associates support the development and delivery of the programme of activities and the Company is overseen by a committed and experienced Board, currently made up of six Trustees.

The Company Administrator post is pivotal to the smooth administration and consistency of company core functions. It offers a great opportunity to work flexibly with an exciting and imaginative company, working closely with the Artistic Director.

Main Job Function

To be responsible for effective company financial management and administration; to ensure the efficient day to day administration of the company including compliance with all statutory, legal and funding requirements. The role is line managed by the Artistic Director.

Key areas of responsibility

  • To operate and maintain book keeping systems (e.g. SAGE) including all invoicing and payment of bills
  • To process workplace pension payments for permanent staff
  • To prepare end of year accounts, liaise with accountants over auditing and fulfil statutory financial reporting responsibilities e.g. The Charity Commission and Companies House
  • To oversee claims for Theatre Tax Relief
  • To operate banking systems and monitor bank balances, transfers etc.
  • To monitor cash flow
  • Payroll – to ensure PAYE payments are made at the required times
  • To work closely with the Artistic Director in the setting of annual and project budgets
  • To produce management accounts and revise projections where necessary for the Board and Core Funders
  • To collate figures and data for core statistical reports for funders
  • To provide relevant information to the Artistic Director or Associate Fundraiser relating to financial management to support the writing of funding bids
  • To oversee the day to day administration of the company
  • To act as the Company Secretary
  • To co-ordinate Board meetings and the preparation of papers
  • To draw up, issue and maintain contracts for all staff and Associates
  • To ensure the company maintains appropriate insurances and adheres to current legislation
  • To update, disseminate and monitor all company’s policies and act as the named contact for Health and Safety
  • To ensure compliance with Disclosure and Barring across permanent and associate staff, supporting the application process where required
  • To co-ordinate the Company’s technical support services, e.g. website hosting, computer systems, contract renewals and database software updates

GENERAL TO ALL ROLES

  • To carry out such responsibilities as the Board of Trustees may reasonably require within the job remit
  • To actively engage with all Company policies, procedures and ethos
  • To work within the team in the spirit of support and collaboration

PERSON SPECIFICATION

Essential Skills & Experience
1 / Demonstrable skills in bookkeeping, budgeting, accountancy and financial management
2 / Knowledge of bookkeeping packages including SAGE
3 / Excellent administrative skills
4 / Excellent communication skills
5 / Excellent computer skills (e.g. MS Word, Excel, Outlook)
6 / Commitment to and understanding of diversity and equal opportunities practice.
7 / Ability to work independently as a self-initiator of tasks
8 / Well organised, with an ability to manage multiple priorities
Desirable Skills & Experience
1 / Clean driving licence.
2 / Experience of working in a small voluntary organisation
