Advanced Computer Applications
Creating Slides:
Ø Slide layout – Format, Slide Layout, select a layout (or right click inside a slide)
Ø Formatting text – same as a Word (underline, bold, align, Font size color)
Ø Moving items on the slide – select box around item, drag and drop
Ø Removing items from a slide – select box around item and press delete. (Note: when some items are deleted, an empty box appears. Delete the empty box also)
Ø Adding a new slide – Insert, New Slide
Ø Copying existing slides – select slide, right click, copy, paste
Ø Moving slides – select slide, hold down left mouse button, drag and drop at desired position.
Adding items to a slide:
Ø Text box – Insert, Text Box, click anywhere on slide, hold down left mouse button and ‘draw’ text box, type in text.
Ø Word Art – Insert, Picture, WordArt
Ø Table – Insert, Table, select number of rows and columns
Ø Chart – Insert, Chart, modify data in datasheet.
o Right click in the chart to modify the chart options.
Ø Pictures (clip-art/internet) – Insert, Picture, Clip Art or From File
Ø Diagram or organizational chart – Insert, Diagram, select diagram type
Ø Media clip (movie, sound) – Insert, Movies and Sound, Movies(or Sound) from Clip Organizer or Movies(or Sound) From File
Other Slide features
Ø Background color – Format, Background (or right click inside a slide)
o Select color (more color or Fill effects),
o Apply (to one slide) or Apply to All (slides in the presentation)
Ø Footnotes - notes typed in the text box below the bottom of each slide.
Side Transitions – set the way each slide is presented
Ø Slide Show, Slide Transitions, select a transition,
Ø set speed of transition and sound effects.
Ø set method of advancing slide
Ø Apply to current slide or all slides in presentation
Custom Animation – set the way any item on a slide is presented
Ø Slide Show, Custom Animation
Ø Select any item on slide. Can be a single line of text or an entire text box.
Ø Click Add Effect, Choose Entrance, Emphasis, Exit or Motion Path
Ø Select animation
Ø set speed of transition and sound effects
Ø set method of advancing slide
Ø Apply to current slide or all slides in presentation
Timing – preset the amount of time spent n each slide/item on slide before automatically moving on.
Ø Slide Show, Rehearse Timings
Ø Slide show begins with the first slide
Ø A timer appears in the top left-hand corner of the screen.
Ø After the desire amount of time, press enter or left click mouse to move to the next item/slide
Other PowerPoint features
Ø Annotation Pen – a tool to mark up slides during a slide show
o Right click, Pointer Options, Pen,
o hold down left mouse key to draw on slide
o type the letter ‘E’ to erase writing from a slide
o writing will erase between each slide
Ø Changing slide view – icons located on the bottom left hand side of the screen above the Draw menu.
o click first icon for Normal View- one slide displayed on the main screen, remaining slides down left hand side of screen.
o click middle icon for Slide Sorter View – up to 16 slides displayed on the main screen
o click third icon for Slide Show – Run slide show beginning at the current slide
Ø Printing slides – There are several options for printing out slides
o Slides - default is to print one slide per page.
o Handouts – prints up to 9 slides per page.
§ 1-3 slides per page will print a ‘notes’ section to the right of each slide
o File, Print, under Print what change ‘slides’ to ‘handouts’, and change ‘slides per page’ to a maximum of 9.
o Click Preview instead of OK to see what the pages will look like.
