ADMISSIONS OFFICER
RICKMANSWORTH SCHOOL

DUTIES
- To process applications to the School for Secondary transfer.
- To liaise with the Local Authority (LA) to provide accurate lists of applicants under the School’s admission criteria in order of eligibility.
- To liaise with other schools’ Admissions Officers in the Consortium (Watford Grammar Schools, Parmiters, Queen’s, Bushey Meads and St. Clement Danes) with regard to assessment procedures and other related matters and to attend an annual meeting of the same (usually held in December).
- To respond to enquiries from the parents of prospective applicants both in writing and in person.
- To manage all enquiries for places in Years 8 – 13 and those for Year 7 after Secondary Transfer, which collectively are termed In Year Admissions.
- To liaise with the LA for the Secondary Transfer Appeals and the In Year Admission Appeals and prepare all supporting documentation. Secondary Transfer Appeals are typically five full days in late May or early June the and In Year Appeals are held on an ad hoc basis.
- To liaise with the Office of the Schools’ Adjudicator and the Schools’ Ombudsman as necessary under the direction of the Deputy Headteacher.
- To maintain an up-to-date and accurate database of applicants for whom the School has received “offer accepted” status from the LA.
- To liaise with SLT, Heads of Key Stage and Attendance regarding Leavers, Joiners and Managed Moves.
- To liaise with LA with respect to the publication and dissemination of the School’s admission arrangements and:
- to ensure that the School complies with statutory requirements in these respects;
- to make any amendments to the explanatory notes; and
- from time to time review the School’s admission arrangements as required by and in accordance with statutory law.
- To provide the Admissions Committee with reports as required. Typically, these will comprise an analysis of applications under different criteria.
- To provide SLT with statistical analysis and reporting of historical/up to date admissions as required.
- To attend the School’s Open Evening (usually in October) and the Admission Test day (usually the second Saturday in September) and the Music Aptitude Assessment tests (typically from 4.00 p.m. – 6.00 p.m. in September immediately following the Admission Test day) and Reserve Test Day or Additional Test Day as required by the Consortium.
- To undertake all clerical duties associated with the Admissions Tests including, but not limited to:
- schedules of invigilation;
- allocation of marking;
- labelling of desks;
- labelling of marking envelopes;
- marking attendance of candidates;
- taking telephone notification of non-attendance; and
- providing written notification to non-attendees of reserve date.
- To complete transcription of score sheet test data to spreadsheet for submission to the Consortium.
- To maintain a continuing interest list for both Secondary Transfer and In Year applicants in line with the School’s policy.
- To undertake administration of Transition to include:
- Organisation of Transition visit schedule;
- Organisation of Transition visit meeting for small cohort schools;
- Attending large cohort transition meetings with DoL Y7 to assist in note-taking and liaison with Y6 teaching staff/SENDCo staff.
- Organisation and administration for CATs test (attendance registers etc.);
- Organisation and administration for July Transition Day;
- Collation of Transition Pro Forma information;
- Liaison with SLT and Uniform Shop regarding Pupil Premium students;
- Allocation of Form Groups
- To maintain clear records and undertake regular archiving of those records.
- To assist generally when possible and work schedule permitting with administrative tasks such as:
- cover in the general office;
- amendment of reports/stat analysis; and
- exam invigilation.
PERSONAL QUALITIES
The person appointed must possess the following qualities which are not specified in order of priority:
- Accuracy and an eye for detail.
- Excellent word processing skills and data base management. (The post requires a large amount of data to be entered in a short space of time.)
- Excellent knowledge of grammar, spelling and punctuation.
- The ability to work under pressure.
- The ability to deal calmly, sensitively and occasionally firmly with parents on the telephone and in person.
- Commitment to the School’s interests.
HOURS OF WORK AND PAY
- This post is very busy at certain times of the year and less so at others.
- The Admissions Officer must be available for 20 hours per week (four or five part days) and additionally during school holidays which may be conducted on a flexible hour’s contract basis.
- The Admissions Officer must be available all through February half-term to liaise with County Hall. Furthermore,liaising with County Hall throughout the summer holidays to offer places made available by withdrawals in order to have a full complement of pupils at the start of September and attendance in person at school during the last week of the summer holidays to prepare for the Academic and Music testing days.
- The AdmissionsOfficer’s holidays must be taken during the school holidays.
- Additional payments commensurate with those for other staff will be made for attendance at the Assessment Tests, but not for the Open Evening. The Admissions Officer must expect that the weeks following the Open Evening will be very busy indeed.
