GENERAL POLICIES

ADMISSION AND RELEASE PROCEDURES

In the event of a “No Show,” the situation is to be checked via telephone confirmation with the legal parent or guardian within hours of the child’s scheduled arrival at camp.

No camper is to be released to any person other than the legal parent/guardian without specific instructions from the legal parent/guardian; which may be made in writing and/or via telephone to the CampDirector. The person to whom the camper is released must identify himself/herself as the specific person that the legal parent/guardian has appointed.

CPR/1ST AID CERTIFICATION

In addition to having a full time RN/nurses assistant on the campsite 24 hours a day, AntiochianVillage camp requires that all staff and counselors be certified in CPR and First Aid.

SUPERVISION OF CAMPERS

If camp capacity is at a maximum, we will have 243 campers present. With 38 counselors on the staff, the ratio of campers to counselor is at least 8:1 for cabin living groups.During set morning and afternoon activities, counselors and staff get time off in staggered segments, during which times we maintain at least a 14:1 ratio. In the rare instance of a 3-cabin group for morning program, either two counselors will be assigned to the group, or one counselor and a volunteer or CIT.

For the larger cabins in Units 2 & 3 (Cabins 21, 26, 38), if a ratio of 1 counselor to seven campers is exceeded, a CIT or assistant counselor will be placed in the cabin.

The only exception to the above ratios is during the daily Staff Meeting. During this time, the campers are gathered for their afternoon snack and are under the supervision of the officially screened Volunteers, assisted by the CIT’s.

At least two counselors are always required to be at the following locations, activities, or situations:

Canoeing – at least one lifeguard and one counselor

Overnight Camping

Challenge Course – at least the Challenge Course Director or the Course Manager and at least one trained facilitator

Pool – at least one lifeguard and one counselor

VEHICLE PROCEDURES

  1. The following requirements are mandatory for those who are willing to be drivers for the camp:
  2. Drivers must be 21 years of age.
  3. A copy of drivers’ license must be kept on file in the camp office.
  4. A background check will be run to inquire about prior driving record
  5. Driver instruction and examination must be successfully completed before a staff member is certified to drive camp vehicles. This will include testing for:
  6. Parking lot maneuvering
  7. Highway driving
  8. Lane changes
  9. Backing up
  10. Quick stopping
  1. All Drivers must comply with the Vehicle Safety Procedures, as outlined in the Staff Manual.

HIRING POLICIES

All staff applicants must apply by the deadline stated on the application, and submit the materials listed on page 1 of the Staff Application Instructions. The CampDirector and Assistant Camp Director and other people chosen by the CampDirector evaluate applications, and judge them based on the completeness of the application, the essay, submitted references, evaluations from previous camp experience, and the personal interview (usually done by the CampDirector over the phone, but sometimes done in person).

After the staff is hired, each staff member will receive a Staff Agreement, Voluntary Disclosure Form, Medical History and Examination Form, Job Description, and copy of Camp is for the Camper. A copy of the Staff Manual will be sent to them via email.

Food service staff are hired by the food service company contracted by AntiochianVillage, according to their application and hiring procedures.

Year-round camp staff are designated and appointed by the overseeing bishop of the Antiochian Orthodox Christian Archdiocese of North America.

Year-round maintenance staff apply and are hired by the Executive Director of the AntiochianVillageConferenceCenter according to their application and hiring procedures.

STAFF PERFORMANCE EVALUATION PROCESS

Each supervisor will evaluate all Staff at least twice throughout the summer: mid-summer and at the end of the summer. Job Descriptions and expectations will be mailed to each Staff Member before they arrive at camp, and these will be explained in more detail during Staff Training Week. The Job Description and Job Expectations will be the basis for the evaluations.

PROGRAM DIRECTOR SKILLS VERIFICATION

During Program Staff Training Week, the CampDirector or Assistant Camp Director will evaluate the following Staff Members with regards to their ability to execute their assigned programs:

Head Lifeguard

Overnight Program Director

Model Rocketry Coordinator

Challenge Course Director

Canoeing Coordinator

Archery Coordinator

Horseback Program Director

HEALTH AND SAFETY REVIEW

At the end of each summer, the CampDirector and the CampNurse will review all incident reports, and health, safety, and security concerns of the campgrounds. Recommendations will be made for changes to be made before the next season.
