Administrative BANNER Instructions for Program Directors and Academic Department Chairs

NOW (Northern on the Web) can be accessed at http://www.wvnet.edu/nccss

The following items can be accessed from NOW:

Review student transcripts (including transfer credit if transcript has been submitted);

Class lists for the courses you are assigned to teach;

Wait lists for the courses you are assigned to teach;

Student information for all students (address, telephone, email, major);

Student Schedules for all students;

Degree evaluations for all students.

In addition to the following information, the above information is also available through Administrative BANNER:

Class lists and Wait lists for courses other than those you are assigned to teach;

Enrollment for courses other than those you are assigned to teach;

Student Status (Health science accept, decline, etc.);

Student Test Scores;

Confirmation Payment (for Health Science Programs);

Faculty Information (name, address, telephone, email) .

Administrative BANNER Log-in Instructions

GENERAL INFORMATION:

Administrative BANNER can be accessed from any computer that has internet access. It is best viewed with Internet Explorer. http://129.71.2.90:9099/dev60cgi/f60cgi?config=nccprod

1)  Login

a)  Type your BANNER username (generally it is your first initial and last name)

b)  Type your password

c)  Type the database: NCCPROD

2)  To Logout

a)  Type Exit in the Direct Access block and press Enter.

b)  When asked if you are sure you want to end this SCT BANNER session, click Yes.

c)  Close your browser.

3)  View Class Lists

a)  Type SFASLST in the Direct Access block; press Enter.

b)  Type the Term and CRN* in the appropriate blocks and press Ctrl + Page Down.

c)  An alphabetical class list will appear.

d)  The Seq(uence) column indicates the order in which the students registered for the course.

e)  The Stat(us) column indicates the students registration status (RE=registered; RW=web registered; AW=administratively withdrawn; WL=wait listed; AU=Audit; EX=Exam Credit)

f)  If the course has mid-term and/or final grades, they will be listed in the Mid and Fin columns, respectively.

g)  To view a class list for another CRN, press the Rollback key (Shift + F7).

h)  Press Exit (Ctrl + q) to leave the form.

4)  Course Information (capacity, enrollment, wait list enrollment, dates, days, times, room, instructor)

a)  Type SSASECT in the Direct Access block; press Enter.

b)  Type the Term and CRN in the appropriate block and press Ctrl + Page Down.

c)  The first page shows the course number, section, title, credit hours; select Section Enrollment Date from the Options menu.

d)  Press Ctrl + Page Down (once or twice depending on which part of the first page you are on) to view the dates, rooms, time, building and room.

e)  Press Ctrl + Page Down to view the instructor.

f)  To view course information for another CRN, press the Rollback key (Shift + F7).

g)  Press Exit (Ctrl + q) to leave the form.

5)  Student Testing Scores

a)  Type SOATEST in the Direct Access block; press Enter.

b)  Type the Student’s SSN number* and press Ctrl + Page Down.

c)  A listing of all test scores will appear.

d)  To view another student’s test scores, press the Rollback key (Shift + F7).

e)  Press Exit (Ctrl + q) to leave the form.

f)  See attached documentation to decipher test score information.

6)  Faculty and Student information (address, telephone, email)

a)  Type SPAIDEN in the Direct Access block and press Enter.

b)  Type the SSN number* and press Ctrl + Page Down to view the individuals current name;

c)  Press Ctrl + Page Down to view any previous names;

d)  Press Ctrl + Page Down to view the address and telephone number;

e)  Select Telephone Numbers from the Options Menu; while in the Telephone Form, press Ctrl + Page Down to view. Select Exit (Ctrl + q) to return to SPAIDEN

f)  Select Email Addresses from the Options Menu; while in the Email Address Form, press Ctrl + Page Down to view. Select Exit (Ctrl + q) to return to SPAIDEN.

g)  To view another individual’s information, press the Rollback key (Shift + F7).

h)  Press Exit (Ctrl + q) to leave the form.

7)  Section Comment Form (view course notes such as software, distance education notations, etc.)

a)  Type SSATEXT in the Direct Access block and press Enter.

b)  Type the Term and CRN in the appropriate block.

c)  Press Ctrl + Page Down to view information for the course (most courses do not have text information)

d)  To view comments on another course, press the Rollback key (Shift + F7).

e)  Press Exit (Ctrl + q) to leave the form.

8)  View Faculty Schedules

a)  Type SIAASGQ in the Direct Access block and press Enter.

b)  Type the Term and SSN number* and press Ctrl + Page Down to view the individual’s teaching schedule.

c)  To view another faculty member’s schedule, press the Rollback key (Shift + F7).

d)  Press Exit (Ctrl + q) to leave the form.

9)  Look up Social Security Numbers.

a)  When in any form, go to the ID block. Blank out any SSN listed by backspacing or using the delete key. Press Enter to go to the Name field.

b)  Type in the last name followed by a comma and the first name. If you do not know a complete first or last name, enter the information you have and put a % sign in place of the information you do not know. Example, if you are not sure if the persons name is John Smith or Jonathon Smith, type: Smith,J%. Press Enter.

c)  If only one person in BANNER meets your search criteria, the name and SSN will be entered for you.

d)  If multiple people meet your search criteria, you will be brought to the ID and SSN extended search dialog box.

e)  Click drop-down arrow to the right of the Search Results box. A list of people meeting your search criteria is listed. Click on the correct person and the SSN and name will be entered in the ID box.

10)  Term Code

a)  WV Northern runs on a fiscal year. Each semester has a term code assigned. They are assigned as follows:

i)  Summer II = 01

ii)  Fall = 02

iii)  Spring = 03

iv)  Summer I = 04

v)  Example, for the 2004-2005 academic year:

(1)  Summer II 2004 = 200401

(2)  Fall 2004 = 200402

(3)  Spring 2005 = 200403

(4)  Summer I 2004 = 200404

11)  CRN (Course Reference Number) Search

a)  When in any form, go to the CRN block.

b)  Press the List of Values key (F9) to take you to the Schedule Section Query form.

c)  Enter the information you know about the course (i.e., Subj, course number, campus)

d)  Press the Execute key.

e)  All courses matching the criteria you entered are listed.

f)  Arrow to the appropriate course and click on the Select button.

g)  The CRN will be entered in the CRN field.

12)  SPACMNT (Comment Form)

a)  Type the student’s social security number and press Ctrl + Page Down.

b)  Use the Up and Down arrow keys to scroll through the comments.

c)  To enter a comment, scroll to an empty form.

d)  Enter the Comment Type (i.e., PTR if you have received a student’s petition or PTS if you have sent a student’s petition to the next person)

e)  Enter an Originator Code (i.e., Program Directors enter PROG; Department Chairs enter DEPT)

f)  Press the Enter key until you are in the Comment Block.

g)  Type your comment and press Save.

13)  Confirmation of Payment for Health Science Students

a)  Type TSAAREV in the Direct Access block and press Enter.

b)  Type the student’s SSN* and press Ctrl + Page Down.

c)  Look for the DETC code of WAHD.

d)  A $75 entry under the payment column indicates the student has submitted the appropriate payment.

e)  The Effective Date Column shows the date the payment was posted to the student’s account.

f)  To view another student’s account, press the Rollback key (Shift + F7).

g)  Press Exit (Ctrl + q) to leave the form.

14)  View a student’s acceptance into a Health Science

a)  Type SAADCRV in the Direct Access block and press Enter.

b)  Type the student’s SSN* and press Ctrl + Page Down.

c)  The top half of the screen will indicate the program to which the student has applied. The bottom half of the screen will indicate if the student has been accepted. Look under the Decision Code. An AC indicates acceptance into the program. Press Exit (Ctrl + q) to leave the form.
