Administrative Assistant
DESCRIPTION OF JOB:
Serve as Administrative Assistant to the VP for Student Development/Dean of Students in activities which support the College mission, goals and programs. Provide the Student Development offices of Dean of Students and Residence Life with receptionist, clerical and general administrative support. Provide leadership with a wide variety of publications, events and projects. Coordinate campus referral and resource information and supervise office student worker staff.
Responsibilities:
Direct Service
· Serve as Administrative Assistant to the Vice President for Student Development/Dean of Students
· Provide reception and excellent customer service by phone and in person with students, parents, faculty and staff for both Dean of Students Office and the Office of Residence Life
· Ensure a welcoming office environment to all students, faculty and staff by maintaining a pleasant physical office space as well as bulletin boards, signage etc.
· Maintain and update Dean of Students and Residence Life SharePoint my.edgewood sites
· Provide clerical services to committees/groups as needed
Dean of Students Office Leadership/Administrative/Supervision
· Provide assistance for Transfer Orientation program including management of meetings; partnering with admissions STAR events; communication with students, families, Edgewood community; website and all event logistics
· Provide assistance for Freshman Orientation with publications, communication and event logistics
· Update and maintain student judicial database and files
· Provide leadership for Family Orientation during Freshman Orientation – including management of meetings; communication with students, families, Edgewood community; website; event logistics
· Work in collaboration with Student Affairs Committee to coordinate all aspects of Who’s Who awards and ceremony
· Co-coordinate all aspects of the Dominican Honors Convocation awards and ceremony
· Create and maintain ongoing outreach communication for Parents & Families, e.g. Parents & Family E-Newsletter website, other
· Recruit, evaluate and co-supervise the office student worker staff
Residence Life Office Leadership/Administrative
§
§ Provide assistance with housing assignments, housing selection, check-in, room changes, housing breaks and check-out
§ Manage database records for residence life; maintain and process housing applications, reservation fees and withdrawals; maintain residence life waitlists and files
§ Create and distribute campus wide communications regarding residence life and housing
§ Work with facilities to address residence hall maintenance needs and ensure follow through communication with the residents
§ Administer GMC (ID swipe card system) in regards to residence hall general, visitor and holiday access
Staff Membership/Community Service
· Serve as a member of the Student Development Staff by attending meetings, retreats and events as needed as well as recording and distributing minutes
· Coordinate logistics for the Student Development Retreats
· Actively support mission of Edgewood College and mission of Student Development Staff
JOB QUALIFICATIONS
Necessary Education or Work Experience:
· Bachelor or Associate degree or equivalent experience
· Five years of executive secretarial or administrative experience
Required Knowledge and Skills:
· Project management/event coordination experience
· Advanced computer skills (word, excel, publisher, power point)
· Skilled in use of electronic tools needed to communicate with community
· Excellent interpersonal skills
· Strong problem solving skills
· Strong organizational skills
· Ability to interact and work effectively with all members and guests of the College community (faculty, staff, students and families) as well as outside clients and vendors
· Ability to work independently with minimal supervision
· Work effectively as a member of a team
· Strong reception and customer service skills
· Advanced computer skills
· Flexibility and ability to work with frequent interruptions
· Higher Education experience preferred
· High level confidentiality and ability to work under time constraints
