Job Description
The Voluntary Services Co-ordinatorwill be responsible for the operational management and development of volunteer services to ensure the Hospice has the appropriate number and skill mix of volunteers to meet its strategic plans and its operational needs.The postholder will:
- Take responsibility for the direction of the voluntary services of the Hospice and ensuring that all voluntary services are effective, efficient and reliable.
- Establish and develop appropriate voluntary services which enhance the area they support by promoting improvement, innovation and high standards in these services to benefit patients and their families and friends and to ensure that the Hospice is seen as a ‘beacon’ of excellence in the hospice sector.
- Develop voluntary services through partnerships with external stakeholders
- Raise and promote the profile of our voluntary services.
- Support the Chief Executive and senior team, engage with and promote a positive external image for the Hospice with key stakeholders.
Duties and Key responsibilities
The main duties and responsibilities of this role are:
To develop and deliver agreed voluntary services strategy, recruiting, selecting, training and supporting volunteers so that their involvement with Rotherham Hospice is positive, effective and empowering. This will include:
- To develop and administer ongoing support networks for all volunteers.
- To devise and implement guidelines and procedures for all volunteer involvement.
- To administer an induction system for all new hospice volunteers.
- To identify, plan and deliver future ongoing training for volunteers liaising with other staff and outside agencies as necessary.
- To help deploy volunteers within the hospice services.
- To develop tools and methods which allow volunteer to receive feedback from staff regarding their involvement.
- To advocate and support volunteers in their roles and to participate in any investigations relating to any concerns/complaints either made by or about volunteers
- To monitor and undertake audits in relation to the set standards.
- To liaise with senior managers and staff to promote departmental responsibility of volunteers in their areas
- To develop and deliver training and support of staff regarding the above point
- To identify, with others, roles for volunteers at the hospice and to develop and monitor role specifications for those roles.
- Being aware of and working within agreed “good practice” standards and legal implications of voluntary issues.
- Liaison with other hospices, palliative care units, voluntary organisations in order to network and keep up to date with any changes to “good practice” within these areas.
- To join any relevant professional organisations, attending regional meetings and conferences as appropriate.
- To help develop partnerships with other bodies, for example: Voluntary Action Rotherham (VAR), colleges of further education, businesses to promote and encourage volunteering
- To use social media, press, radio and PR to promote the benefits of volunteering at Rotherham Hospice
- To consider innovative ideas for encouraging volunteering for Rotherham Hospice and for utilising the skills of the volunteer workforce as creatively as possible.
To ensure that volunteers are aware of policies and procedures pertinent to their role paying particular reference to Health and Safety and Risk Assessment.
To be responsible for devising and maintaining appropriate volunteer records to ensure compliance with our regulators and Data Protection Law.
To strengthen and promote volunteering with Rotherham Hospice as a positive, empowering and rewarding experience
To play an active part in the development and maintenance of good relationships with all who have business with the Hospice and to promote volunteering opportunities at the hospice within the local community.
Other duties
To be an active member of the Hospice Corporate Governance and other Leadership groups.
Encourage a positive team culture, positive communication and co-operation between colleagues and staff and volunteers of the Hospice.
To comply with all information governance requirements and the confidentiality necessary in relation to patient, staff and volunteer information, in line with Hospice policies.
To ensure knowledge, skills and competence are up to date and relevant to the service. Take responsibility for own professional development, identifying training and development needs to line manager.
The post holder undertake any other reasonable duties necessary to ensure effective support to the Executive Team and the Board of Trustees across the range of duties as appropriate within the grading of this post.
General requirements of the role
Required to abide by the Health and Safety at Work Act.

To work flexible hours in order to supervise and support those volunteers who will be volunteering for Rotherham Hospice out of normal office hours.
In the context of rapid and on-going change within Rotherham Hospice, the above responsibilities represent the current priorities and requirements for the post. These priorities will develop and evolve over time. Any significant changes will be the subject of full consultation with the post holder.
Person Specification
Essential / DesirableQualifications and Training / Level 3 or Level 4 qualification in Volunteer Management or General Management
Teaching or Training Qualification at Level three or above / Strong education background
