An exciting opportunity has arisen to take on the role of Admin Assistant: CPD and NQT. We are seeking a bright, enthusiastic team player with excellent communication and ICT skills. The post is varied and will include booking CPD courses, maintaining records and working with the Assistant Headteacher (CPD). Applicants should be flexible, organised, self-motivated and able to work on own initiative. A friendly disposition and the ability to work under pressure are also essential.

The post is part time, 20 hours per week, term time only, plus 5 inset days.

PURPOSE OF YOUR POST:

The Administration team provides a comprehensive support service to teachers and other support staff in the school. While not required to tutor pupils directly, the team has a marked effect on pupil learning by influencing the context in which learning takes place. This influence extends to parents and the general public for whom members of the team are often the first point of contact.

It is a responsibility of all staff to safeguard the welfare and rights both of students and colleagues. Staff should be conscious of their actions and their words and the impression and impact this may have. SHARED RESPONSIBILITIES AS A MEMBER OF THE ADMINISTRATION TEAM:

  1. Help ensure the smooth running of the school.
  1. Play a full part in shadowing each other’s role so that, in the event of staff absence and at times of pressure, roles can be interchanged flexibly.
  1. Make constructive suggestions for improvement in administration and other procedures that are conducive to efficient and effective operation and supportive of the core purpose of the school (pupil learning).
  1. Support other members of the team in the fulfilment of their responsibilities.
CONDITIONS OF EMPLOYMENT:

The Conditions of Employment for support staff are set out in the National Joint Council for Local Government Services National Agreement on Pay and Conditions of Service.

PARTICULAR DUTIES:

The following is an indicative list of duties:

  • Maintain records of staff safeguarding training, chasing up certificates, updating records and arranging courses with County or the Designated DSP Officer when necessary, informing staff, booking rooms and preparing the information booklet hand-outs. Provide up to date attendance information of Child Safeguarding for reporting to governors;
  • Preparing a Register for all staff to acknowledge and sign, confirming that they have read the Child Protection Policy on the school website;
  • Book CPD courses for school staff, chasing up the booking forms and dealing with all aspects of communication regarding booking of inset events including travel arrangements and accommodation if necessary;
  • Co-ordinate evaluations of CPD training using CPD Genie and chasing feedback comments;
  • Administer and maintain the Pit Stops process using CPD Genie; liaise with the Assist Headteacher with responsibility for training to ensure the process runs smoothly; liaise with other schools to ensure attendance is logged and monitored;
  • Admin Support to Assistant Headteacher (CPD)/Lead Practitioners for Professional Learning Days for UH PGCE Trainees hosted at Nobel and supplying the refreshments for the day;
  • Setting up and maintain a Register of eligible Mini Bus Drivers, reviewing and booking Mini Bus driving evaluations using the HCC’s systems; Ensure staff have clean up to date driving licences (annual check);
  • Administer and maintain an up to date database of staff training using the Educare Programme;
  • Administer the process for NQTs; liaise with SET and HfL to ensure training is logged; Ensure observations and feedback forms are completed by mentors; arrange NQT celebration; issue invites to NQT’s for lunch with the headteacher.
  • Administer and help organise the new staff induction day;
  • Provide administrative support for the assistant headteacher with responsibility for training.
  • Assist with the administration of the CARE system and produce certificates as required.
  • Assist with processing the data for the celebration assemblies.
  • Administer the selection process for the Stevenage Schools’ Partnership for the Schools Direct applications. This includes
  • Downloading and vetting applicants
  • Liaising with partnership schools
  • Arranging interviews to be conducted by the Assistant Headteacher: Development
  • Processing paperwork for applicants
  • Undertake other duties which the Headteacher may reasonably require.

NOTES:

This post is part time 20 hours per week term time only (including inset). The post is subject to a flexible working arrangement by arrangement with your line manager.

Current working hours: 10.00am – 2.00pm (these times are indicative only and can change depending on the requirements of the role).
