ACE-HC Meeting Minutes

January 11, 2005

Teleconference

The meeting was held in Anchorage with connection to other sites by teleconference. A list of participants will follow.

Carol Hughes and Susan Boyer participated in Anchorage with ACE-HC members and were heading to Juneau for the ASHNHA meeting and another preceptor workshop.

Topic 1: Review of Preceptor Workshop January 10 & 11, 2005

  • Educators and preceptors attended
  • Specialty groups began to form to work on checklists
  • Email list was developed for the specialty groups, Carol to forward to me for distribution list formation
  • Preceptors met, educators met to brainstorm
  • Collaborations beginning
  • Very positive response from participants

Topic 2: Members talked about what they are doing

Laurie, Valley Hospital:

-Deanne is revising the process, working on specific areas

-Administration is willing to accept the process

Liz, Fairbanks:

-COPA model is being utilized successfully. Banner is re-designing Job Descriptions. They had already begun to re-evaluate their orientation process. They are reviewing competencies as well.

-Incorporation of concepts into their existing process

Julie, ANMC:

-Started to introduce the concepts within the institution

-Working with new instructors

-Already working with HIS to develop collaboration

Bartlett:

-Revising some of their systems, merging of old and new

Topic 3: November teleconference for Administrators

The general consensus was that administrators in most participating institutions have been supportive. Liz reports that they are able to show some affect on recruitment and retention parameters.

Topic 4: Contact of institutions

It appears that all invited organizations have been contacted. Not all institutions are participating but most of them are actively involved.

Discussion:

Julie and Cindy are delivering preceptor classes from ANMC to different institutions. Suggestion was made to coordinate regional workshops and create a shared calendar so that workload stress can be avoided. This will increase the number of participants in training and open up the possibility of incorporating other disciplines into the process.

It has been difficult to evaluate preceptors properly. There is some resistance to completing this part of the process by participants. Laurie reports that they have developed a “quick and dirty” evaluation form and that they re-assure participants that the information is kept within the education department. This process has resulted in a greater number of completions and better quality evaluations. She is willing to share this with the group.

Susan Boyer has been working with HIS and suggests that information be shared between both groups (ACE-HC and HIS). The consensus of the group was that we would begin to receive and share information between the groups.

Information can be shared by sending to me and I will send to the distribution list. The specialty groups will work together and then share with the group.

Next steps:

Susan Boyer discussed how the Vermont group works. They meet on a monthly basis to discuss different topics, share ideas and keep updated on the progress of the members.

We will begin to meet on a regular basis and have asked for support from ASHNHA to continue the process. Carol will investigate what might be available and get back to us. The next meeting will be via teleconference on February 15th at 2pm (Alaska). Susan Boyer will participate as well. We will discuss the ASHNHA meeting and what the workgroups are doing.
