About Kensington & Chelsea TMO

The TMO was formed in 1996 when the Royal Borough's tenants and leaseholders voted to take over the management and improvement of their own homes. We were the first borough-wide tenant management organisation in the UK and the only tenant led ALMO - a not for profit company providing landlord services to almost 10,000 homes in Kensington and Chelsea.

We employ about 200 staff in offices situated around the Borough and were awarded ‘three stars – excellent prospects’ by the Audit Commission in 2006.

Over the last few years the TMO has undergone change in relation to its Constitution and Board, and more recently, in relation to the Executive Team. A new Chief Executive, Robert Black, joined the TMO in May 2009. Robert is committed to developing and continuously improving the TMO, in partnership with the TMO Board, residents, staff, the Royal Borough of Kensington and Chelsea (RBKC) and a range of external stakeholders to ensure that the TMO makes a real difference by providing excellent services and value for money.

Job Description

Job Title / Accounts Payable Assistant
Reports to / Principal Accountant
Job Purpose / 1  To process online payments with speed and accuracy of data entry.
2  To develop and maintain day-to-day financial procedures.
Salary / Range B, Scale 3 –4 (£19,032 - £22,422)
Location / The Network Hub 292a Kensal Road London W10 5BE
Responsibilities / 1  Setting up new suppliers on the accounting systems.
2  Matching, batching, coding and filing high volumes of purchase invoices on a daily basis, gaining authorisation for payment, processing the payment run & expenses, reconciling supplier statements.
3  Resolving basic enquiries from internal and external parties impacted by payment cycles.
4  Assisting with year end reconciliations and compilation of reports as required for the Audit.
5  Ensuring the supplier terms of payments is consistently met.
6  Providing clerical administrative support to the overall Finance Section and the Director of Finance.
7  Performing routine adjustment entries to the ledgers in accordance with laid down procedures.
8  Undertaking any other duties in line with the general level of responsibility of the post.

Knowledge and Experience / Purchase ledger background using electronic banking systems preferable.
Bank reconciliation experience preferable.
Attention to detail and ability to produce accurate high quality work to tight deadlines.
An effective manner in dealing with telephone and face-to-face communications.
Ability to design and use intermediate level of Microsoft Excel spreadsheets for e.g. sort, filter, totals, sub-totals, tables, search functions, etc.
Ability to prepare basic reports on straightforward matters using Microsoft Word. / Experienced in a similar role
Knowledge of JD Edwards, Great Plains accounting system and Academy housing system.

Terms and Conditions

Salary

You will be paid monthly - on the 15th of the month - and your pay is to be credited to your bank or building society.

Hours

A 36-hour week is worked, but you will be expected to work the hours necessary to discharge the duties of the position.

Annual leave

Your annual leave is dependent upon your conditions of service and length of continuous service. The annual leave for this position is 23 days per annum and 28 days after 5 years service.

Probation

All employees have a standard probationary period of six months.

Season Ticket Loan

Interest-free season ticket loans are offered from six months service, which are paid back in monthly instalments through the payroll.

Pension Scheme

The TMO is an admitted member of the Local Government Pension Scheme, which is a final salary pension scheme. The scheme provides for an employee contribution of either 5.9% on annual salaries from £15,101 to £20,800, 6.5% on annual salaries from £20,801 to £34,700 or 6.8% on annual salaries from £34,701 to £46,500. An additional contribution is payable by the employer.

Accounts Payable Assistant

£19,032 – £22,422 pa plus benefits

Playing a vital role behind the scenes, you will join a small, busy department and take responsibility for processing online payments on behalf of our clients. This is a varied role which involves setting up new suppliers on the accounting system, processing large volumes of invoices on a daily basis, resolving wide-ranging enquiries and assisting with year-end reconciliations.

Experienced in similar roles, you will bring fast and accurate data entry skills and excellent IT skills including intermediate Excel. Exposure to purchase ledgers using electronic banking systems would be an advantage, as would proven flair for bank reconciliations. Above all you are self-motivated with the ability to work well under pressure and meet deadlines and targets with limited supervision.
