October 24, 2016

Call to order 6:10pm by Andrew

•Meeting minutes (old business)

Look at Bios on website and please enter your information. Send them to Sheri and she’ll get them on website.

•Treasurer report

•Balance $6748.16. Camp money not deposited yet.

Mel Wilson has signed up the league for a GoFundMe account. Current balance $181.48 (After flat admin fee of $20)

•Due outs? None – just checks for players who coached at Champ Camp.

•Status - City of Key West $7000 from city. Application signed tonight for that amount.

•Insurance

Policy emailed out to board members.

•Equipment

•Cleaning. We need to really wash the equipment thoroughly. Laundromat?

•Inventory by size. Use multiple totes to organize by size for ease of distribution. Purchase more totes – Cher will go through the equipment and determine what we need for purchase. Cher will determine some dates that are available for her to deep clean and let the board know those dates. We will make sure people are there to help.

•Remove worn out equipment

•Registration

•Registration is currently open. Full pads for U7 and up.

•Promotion – if a new player registers and lists a current player’s name as a referral then the veteran player will receive a $10 discount. New players only for registration promotion and both new and veteran players have to be registered. All in favor of this promotion, motion passes.

•Season: Feb 4, 2017 – May 06, 2017

•Coed for U7? Dependent upon numbers.

•Sponsors

•Decision on sponsorship levels/costs of sponsorship.

$350 instead of $300 sponsorship – is an even number better?

What incentive would a sponsor have for the varying amounts? Signage at the field – a 2.5 x 6 cost $60 -

•Some decisions about what is included with sponsorships:

Full Banner – ½ banner- ¼ banner size depending upon sponsorship. For $300 sponsor you could share a banner with other $300 sponsors.

-Allow the sponsor to sponsor their kids team for specific sponsor rate. Could their name go on the jersey?

-For the $1000 sponsorship, offer a full banner, sponsor the team of their choice, big advertising on trailer

-Levels: $1000, $600, $300, $150. Display of name, sponsor a player, help with equipment.

-The $150 membership sponsorship would sponsor a player. $150 equipment sponsorship would outfit a player in full pads.

-Open donation is always an option.

•Lisa will talk to Ramona’s about outfitting coaches with dri-fit shirts that have sponsors on back. Offer those shirts to parents/players as a fundraiser at practice/games?

•Fundraisers

•Michael’s wine tasting. Sold $250 in raffle and matching sponsor offered $300, so a total of $550 given to KWYLL.

•Lisa will look on KWYLL gmail and see if we have a sponsor thank you note. If not, Lisa will create one.

•Café Sol will do a fundraising dinner. Must be done before December.

•Sebago cruise – sunset sail?

•Promotion/Website

•Registration online for Spring season (early bird until Dec 31; registration end 1/16)

•Let Sheri know if there are problems registering your children so that she can take care of that prior to advertising to general public.

•Hold off on registration signage until website is working sufficiently.

•Girls

•“Dust off your stick” weekend – recap Oct 16 and upcoming (Nov 13)

Good turnout and maybe two new players.

•Coach own children?

Board agrees that it is acceptable to coach your own children.

•Boys

•October 15th-16th Fall camp summary

UNC players/coaches were enthusiastic and money wise, we almost broke even. Loss of about $1500 but lots of interest generated.

Now that we have one camp under our belt, costs can be cut in the future (lodging, etc)

Big thanks to Mel, Andrew, Jake, and everyone else involved. People are still talking about how well run the camp was – skills and fun combined.

•One candidate

•Emu has a pool of people that can work – coach, volunteer, etc. Military E6 and below need volunteer hours and are willing to help.

•Payment per game for officials. Money can come from account and can be reimbursed quickly.

•Coaches

•We have money in the budget to send people to certification clinics

•Baltimore in January; Boca Raton January 6 – 8, 2017

•All coaches need to be certified in First Aid, CPR/AED

•Online certification camps available?

•Notes: Read Bylaws and know your job! At the next meeting, this topic will be discussed thoroughly.
